These instructions can be distributed to users to teach them how to complete, send, save, and store this form.

Using a Lunch Count form
To open a form from the forms library
1. | Start Microsoft Outlook. |
2. | On the File menu, point to New, and then click Choose Form. |
3. | In the Look in list at the top of the dialog box, click Organizational Forms Library.
Note Contact your Exchange Administrator if you are unable to locate and access the Organizational Forms Library. |
4. | Click the LunchCount form, and then click Open. This opens a new form for you to complete.
Note If the custom form does not open, contact your Exchange Administrator. |
To complete the form
Complete the form by providing the requested information.
1. | In the Homeroom drop-down list, click the correct room. In the Teacher text box the correct teacher name should appear. The spreadsheet will automatically be filled with the names of the students assigned to that homeroom.
Note If the student or teacher information is missing or needs to be changed, contact your school's database administrator. |
2. | Enter an "X" in the cell under the appropriate date for the student who will be receiving a lunch on that date. |
3. | Click Send to submit the lunch count information to the folder where they will be stored temporarily before updating the database.
Note The Lunch Count form is used to display homeroom, teacher, and student information from the database. It will not update the database with student names added to the list. New student, teacher, and homeroom information must be added directly to the database. Only lunch count information is sent to the database as an update. |
Using Total Lunch Count form
The Total Lunch Count form allows you to share lunch count school wide, or with limited access to specific workgroups. The Total Lunch Count form displays the total lunch count for students by homeroom.
To view the Total Lunch Count form
1. | Start Microsoft Outlook. If the Folder List view does not appear in the Outlook window, on the View menu, click Folder List. |
2. | Click Public Folders, click All Public Folders, and then click the Lunch Count Reporting folder.
Note Contact your Exchange Administrator if you are unable to locate and access the Public Folders hierarchy. |
3. | With the Lunch Count Reporting folder selected, on the Actions menu, click New TotalLunchCount. This should open a new Total Lunch Count form. |
4. | Select the homeroom you want to view and then click the Populate Form button. The information from the database should appear in the form.
Note To further work with the information it is possible to copy and paste the information into Excel. For more advanced analysis work with your exchange administrator to work directly with the Access database. |
