Open the .pst file

To open the .pst file in Outlook 2000

1.

Start Outlook 2000.

2.

On the File menu, point to Open, and then click Personal Folders File (.pst).

3.

In the Open Personal Foldersdialog box, navigate to the folder that you wrote down during installation. (For example, if you installed the files to c:\, in the Look in list, click (C:).)

4.

Click LunchCount.pst, and then click OK. The Microsoft Education Forms folder appears in your folder list.

Running the Outlook form installer

The Outlook form installer installs the form in the Organizational Forms Library.

To install your Outlook form in your Organizational Forms Library

To make the form available to everyone, you can publish the form in the Organizational Forms Library.
To install your Outlook forms in your Organizational Forms Library, you must have:

1.

Microsoft Exchange Server 5.5 or later installed on your network.

2.

Network access to the Organizational Forms Library in Exchange.

3.

Permission to publish forms in the Organizational Forms folder.

4.

Outlook set up with the Corporate or Workgroup configuration. (To check the configuration, open Outlook, and then on the Help menu, click About Microsoft Outlook. The second line of text should read Corporate or Workgroup.)

Note If these conditions are not met, contact your Exchange Administrator to get permissions.

To publish (distribute) your form using Exchange

1.

Click the new Outlook folder named Microsoft Education Forms. (If Folder List does not appear in the Outlook window, on the View menu, click Folder List.)

2.

Double-click the message that appears in the window on the right to open it.

Note The message also includes these directions.

3.

Double-click the attachment inside the message to open it.

4.

In the Select Folder dialog box, click any folder, and then click OK.

5.

Click Enable Macros to open a custom installation form.

6.

Click Install to copy the Lunch Count form in the Organizational Forms Library. Click Disable Macros each time you are prompted to enable or disable macros. (Disabling the macros prevents the built-in macro code from running during installation.) Your files are copied, and the install form and message window automatically close.

7.

After installation is complete, right-click the Microsoft Education Forms folder, and then click Close.

You have now installed, stored, and published the Lunch Count form in your Organizational Forms Library. Everyone with permission to see the Organizational Forms Library can now use this form. This form includes generic elements for typical Lunch Count forms. For information on modifying these elements for your specific use, see "Customization Instructions."

You have also published the Total Lunch Count form to the Organizational Forms Library. This form allows you to share the Lunch Count information school wide or with limited access to specific workgroups. The Total Lunch Count form will display the total lunches requested for the school and by homeroom. The form will also calculate the lunch count percentage by homeroom. See "End User Instructions" for specific information on using the Total Lunch Count form.
You will want to limit access to this form by following the below instructions.

Using the Lunch Count Public Folder

The Lunch Count form installer created a new Public Folder called Lunch Count. This folder acts as a temporary storage for the lunch count data before it is submitted to the database. Sending this information to a Public Folder first, allows users to use the Lunch Count form offline and then send the updated information when they connect to the network. To minimize confusion, you can remove the Lunch Count Public Folder from the folder view by limiting who can see the folder.

To limit who can see the Lunch Count folder

1.

Right-click the Lunch Count folder, and then click Properties.

2.

Click the Permissions tab.

3.

To set permissions that apply to everyone who can use the folder, click Default in the Name list.

4.

On the Permissions tab, in the Roles drop-down list, select Contributor.

5.

Click to clear the Folder visible check box. This prevents default users from seeing the folder.

6.

Click OK to save the new folder permissions, and then close the Properties dialog box.

You have now set specific permissions of who can see, contribute, and edit items in the Lunch Count Public Folder.
You can also use a Public Folder to allow for secure reporting of the Total Lunch Count information to administrators and other approved viewers. To create a secure environment you must first create a Public Folder and then set permissions for the folder. Once the folder has been created, you can publish the Total Lunch Count form to the folder and remove the Total Lunch Count form from the Organizational Forms Library. This will prevent everyone from accessing the Lunch Count information with the Total Lunch Count form.

To create a Public Folder

Note To create a Public Folder, you must have permission to create folders in an existing Public Folder.

1.

On the File menu, point to New, and then click Folder.

2.

In the Name box, type a name for the folder. In this case, name the folder Lunch Count Reporting.

3.

In the Folder contains box, click the type of folder you want to create. For the Total Lunch Count form, click Mail Items.

4.

In the Select where to place the folder dialog box, click the plus sign (+) next to Public Folders, and then click All Public Folders.

5.

Click OK. The new folder appears in the All Public Folders folder.

Because you created this new folder, you have Owner permissions in it.

To limit who can see the folder and edit the items in it

1.

Right-click the Lunch Count Reporting folder, and then click Properties.

2.

Click the Permissions tab.

3.

To set permissions that apply to everyone who can use the folder, click Default in the Name list.

4.

On the Permissions tab, in the Roles drop-down list, select the role you want to assign to everyone. In this case, select None so that not everyone will be able to add to or change this folder.

Note To prevent default users from seeing the folder, clear the Folder visible check box.

5.

Repeat steps 3 and 4 for the name Anonymous.

6.

To give permission to a specific user (for example a kitchen or cafeteria), click Add.

7.

In the Type Name or Select from List box, type the name of the user whose permission level you want to change. Click Add, and then click OK.

8.

In the Names box, click the name you added.

9.

In the Roles drop-down list, click the role you want to assign to that user. In this case, it is recommended that you select a distribution list that includes everyone who might be involved in tracking student lunch count. Once you have selected the user or distribution list, assign the role of Author. This allows the user or distribution list members to see the folder and to create and read items in the folder.

10.

Click OK to save the new folder permissions, and then close the Properties dialog box.

You have now set specific permissions of who can see, contribute, and edit items in the Public Folder.

To publish a form in the forms folder library

1.

Right-click on the Lunch Count Reporting folder, and then click Properties.

2.

On the Forms tab, click Manage.

3.

In the Forms Manager dialog box, click Set to set the forms library to the Organizational Forms Library.

4.

In the Set Library to dialog box, click Organizational Forms Library, and then click OK.

5.

In the Forms Manager dialog box, click the TotalLunch Count form, click Copy, and then click Close.

You and those with permission can now open a new Total Lunch Count form from the Actions menu when the Lunch Count Reporting folder is selected.

To remove the Total Lunch Count form from the Organizational Forms Library

1.

In Outlook, on the Tools menu, click Options.

2.

In the Options dialog box, click the Other tab.

3.

Click Advanced Options to open the Advanced Options dialog box.

4.

Click Custom Forms to open the Options dialog box, and then click Manage Forms.

5.

In the Forms Manager dialog box, make sure that the appropriate forms library is showing. If not, click Set. In the Forms Library list, click the Organizational Forms Library.

6.

Click TotalLunch Count, and then click Delete. This removes the Total Lunch Count form from the list of available forms in the Organizational Forms Library.

Note The form still exists in the folder forms library for the Lunch Count Reporting folder.

Next are the instructions to activate Event Scripting. These steps enable the Exchange Server to transfer the data collected on the form into the database.

Activating Event Scripting

To create client permissions for Event scripting in Microsoft Exchange Administrator

1.

Open Microsoft Exchange Administrator:

2.

Click the plus sign (+) next to Folders.

3.

Click the plus sign (+) next to the System folder.

4.

Click the plus sign (+) next to the Event Root folder.

5.

Select the Event Config _name of server folder.

6.

On the File menu, click Properties.

7.

On the General tab, click Client Permissions.

8.

In the Client Permissions dialog box, click Add to add the person who created the folder.

9.

In the Add Users dialog box, select the user name from the list, click Add, and then click OK.

10.

In the Client Permissions dialog box, select the user name, and then in the Roles drop-down list, click Editor. Click OK.

11.

Click OK to close the Properties dialog box.

Note You will only need to create client permissions for each user once in the Event Config_name of server folder. You have now activated Event Scripting on the server. You will next use your Outlook client to set up the actual script that will run when the form is sent to the public folder. You do not need to repeat these steps on each users machine.

To install Server Scripting on the client machine

1.

In Outlook, on the Tools menu, click Options. Under the Other tab, click Advanced Options.

2.

In the Advanced Options dialog box, click Add-In Manager.

3.

In the Add-In Manager dialog box, click to select Server Scripting.

4.

Click OK to close all open dialog boxes.

To update scripting in Lunch Count folder

1.

In Outlook, double-click Public Folders and then double-click All Public Folders.

2.

Right click on the Lunch Count folder and choose Properties.

3.

Under the Agents tab, click New, and enter a name in the Agent Name text box.

Note If Server Scripting was not installed correctly, you will not see the Agents tab. You may need to close and re-launch Outlook to see the Agents tab.

4.

Under When the following event(s) occur: click to select A new item is posted in this folder. Under Run the following action: click to select Script.

5.

Click Edit Script. This will open Notepad and display the default script code (*.asp file).

6.

In Notepad, delete all the text from this .asp file.

7.

Open the LunchCountScript.txt file from the directory you specified during installation.

8.

Copy and paste the text from the LunchCountScript.txt to the default .asp file.

9.

Close LunchCountScript.txt.

10.

Save and close the default .asp file. Click OK to close all open dialog boxes.

To add the Lunch Count folder to the global address list

1.

On the Start menu, click Programs, click Microsoft Exchange, and then click Microsoft Exchange Administrator.

2.

In Microsoft Exchange Administrator, click Folders, click Public Folders, and then click Lunch Count.

3.

On the File menu, click Properties.

4.

On the Advanced tab, click to clear the Hide from address book checkbox.

5.

Click OK and close Microsoft Exchange Administrator.

Once you have updated the script in the Lunch Count folder, you have two options for the script to take effect:

1.

Restart Microsoft Exchange Server.

-Or-

2.

Stop and restart certain Microsoft Exchange Services.

Note Performing either of these actions may temporarily prevent your users from accessing their E-mail. It is recommended to plan this outage carefully.

To stop Microsoft Exchange Services

1.

On the Microsoft Exchange Server, click the Start menu, click Settings, and then click Control Panel.

2.

In the Control Panel window, double-click Services.

3.

In the Services dialog box, click Microsoft Exchange Information Store and then click Stop.

4.

The Stopping dialog box will appear. Under The following services will also be stopped:, you will see a list of what services will be stopped. Make note of which services will be stopped so you can restart them in a couple steps.

5.

Click OK.

6.

The following message will appear "Attempting to stop the Microsoft Exchange Information Store service on server_name."

To restart Microsoft Exchange Services

1.

After the services are shut down, you will need to restart each service individually.

2.

In the Services dialog box, select one of the services that was stopped and click Start.

3.

The following message should appear "Attempting to start the first_service_you_selected service on server_name."

4.

Repeat steps 1-3 for the remaining stopped services.

5.

When all the services are restarted, close the Services dialog box.

6.

Close Control Panel.

Setting the Data Source Name (DSN)

When the Lunch Count form is installed, the Student Information database is installed in the directory that was selected during the installation. If this directory is not accessible by everyone using the form, the database should be relocated to a shared server location. After you relocate the database to the server, you must set the Data Source Name (DSN) before using the form.

To set the Data Source Name (DSN)

1.

From the Start menu, click Settings and then click Control Panel.

Note If you are using Windows 2000, in the Control Panel window, double-click Administrative Tools.

2.

Select ODBC Data Sources.

3.

In the ODBC Data Source Administrator dialog box, click Add.

4.

In the Create New Data Source dialog box, click Microsoft Access Driver (*.mdb) from the list and click Finish.

5.

In the ODBC Microsoft Access Setu p dialog box, under Data Source Name, type StudentInformation.

Note Make sure you enter the DSN as StudentInformation, or the code that connects the form's folder to the database will not work.

6.

Click Select, browse to the database location and then click StudentInformation.mdb, click OK.

Note If you have already installed the Microsoft Lunch Count or Grades Education forms you may get the error "The data source named 'StudentInformation' already exists. Replace it with this definition?" Select No as these three education forms share this same database.

7.

Click OK to close any open dialog boxes, and then close Control Panel.

To update the Lunch Count form with the Lunch Count folder address

In the Lunch Count form the Folder Location: textbox identifies the folder address for the Lunch Count form to go to. The Exchange Server will create the e-mail address for the Lunch Count folder. Follow the instructions below to set a default address in this text box. This will ensure that the form works correctly for your users.

1.

In Design view, right click the text box next to Folder Location: 

2.

Click Properties, click the Value tab, and then under Initial Value, click to select Set the initial value of this field to: and inside of quotations type the email address in the box below. (For example "StudentLunch Count@anyschool.edu").

Note The exact address for the folder can be found in Exchange Administrator With Exchange Administrator open, click Folders, click Public Folders, and then click StudentLunch Count. On the File menu, click Properties. On the Email Addresses tab, under SMTP Address, you will find the Lunch Count Public Folder address.

3.

Click Apply.

4.

Click OK.

5.

When done, click the Tools menu, click Forms and Publish Form to publish your updated form.

Adding information to the Student Information database

The StudentInformation.mdb file is an Access 2000 database that includes an Access form for easy data entry. Before using the Lunch Count form, you must enter student and teacher information into the database. The database will be located on the server share you designated during installation. The file name is StudentInformation.mdb. When you open the database you choose from the menu to input Home Room and Class information, or Student information.

If you have the required data stored electronically in a tab delimited or Microsoft Excel format, you can import this information directly to Microsoft Access. For more information on importing data to Access, see Microsoft Access Support.

Note that these forms and databases are intended as samples of what is possible with Exchange Server and Office. You may want to create your own forms and databases or work with a certified Microsoft Certified Partner to meet the specific needs of your organization.

Troubleshooting FAQs for Exchange Administrators

I cannot open the Lunch Count form.

Make sure you have the appropriate permissions to access the Organizational Forms Library or the appropriate public folder.

Microsoft Exchange Event Service is not available.

By default the Microsoft Exchange Event Service is installed when you install Exchange Server 5.5. However, if you have upgraded from a previous version of the Exchange Server, you may need to add the Event Service from the Microsoft Exchange Server installation disk.

To activate Microsoft Exchange Event Service

1.

On the Start menu, click Settings, click Control Panel, and then double-click Services.

2.

In the Services dialog, double-click Microsoft Exchange Event Service.

3.

In the Services dialog, under Startup Type, make sure Automatic is selected.

4.

Under Log On As, select This Account, and choose the Windows NT account that the Event Service runs under.

Note Before changing the Windows NT account for the Event Service, make sure that the account you specify for the Event Service has permission set in the User Manager to Log On As A Service For Domains, and follow these instructions.

5.

Click OK, and then click Close.

6.

Close Control Panel.

I cannot access the Lunch Count or Lunch Count Reporting folder.

Make sure you have the appropriate permissions to access these Public Folders. To change permissions on a Public folder, see the "Using the Lunch Count Public Folder".

The drop-down boxes are empty.

You may need to open the Access database for your form and add appropriate drop-down information. For more information on configuring drop-down boxes, see "Adding information to the Student Information database".
Or you may need to update the database path location. To do so:

1.

Select the Microsoft Education Forms public folder from in your folder list under All Public Folders.

2.

Click the plus sign (+) next to the folder.

3.

Click the folder named dbPathLocation 

4.

In the screen to the right double click the task with StudentInformation in the Subject line.

5.

In the notes area of the task ensure that the path and file name point to the correct location for the file StudentInformation.mdb.

6.

Save and close the item and open the form again to verify that the drop down boxes populate with information from the database.

I updated the folder address and re-published the form, but the folder address is not visible on the new forms.

Make sure when you update the folder address on the form that you click Apply and then click OK. Also, if you are making changes to the form and publishing it in the Organizational Forms library, you can also publish the form with a new name. If you publish with a new name be sure to notify your users.

Uninstall Instructions for Exchange Administrators

To remove the form from your forms library

1.

In Outlook, on the Tools menu, click Options.

2.

In the Options dialog box, click the Other tab.

3.

Click Advanced Options to open the Advanced Options dialog box.

4.

Click Custom Forms to open the Options dialog box, and then click Manage Forms.

5.

In the Forms Manager dialog box, make sure that the appropriate forms library is showing. If not, click Set. In the Forms Library list, click the appropriate library.

6.

Click StudentLunch Count, and then click Delete. Repeat for the TotalLunch Count form. This removes the Lunch Count and Total Lunch Count forms from the list of available forms in the library.

To remove the Lunch Count folder from the Public Folders hierarchy

1.

From the Outlook Folder List view, right-click on the Lunch Count folder.

2.

Select Delete " Lunch Count " to remove the folder and form from the Public folder hierarchy. Repeat for the Lunch Count Reporting folder.

You have now deleted the form from your forms library; however, the installation files may still exist on your computer. To delete these files, close Outlook, and then go to the folder where you installed the files. Delete the following files:

LunchCount.exe 

LunchCount.pst

LunchCount_Readme.rtf 

LunchCountScript.txt 

The file StudentInformation.mdb is also used by the Student Attendance education form. Before deleting be sure you do not need the information for the other form to work properly.
