Publishing the form

Publish the form in the Organizational Forms Library to provide many users access to the form. To edit and customize the form, it is recommended that you install the form in the Personal Forms Library. Publishing to the Personal Forms Library limits access to the form during the development and testing process. To allow multiple user access to the form once the form is complete, you must publish it in the Organizational Forms Library.

In order to publish this form into the Organizational Forms Library on the Exchange Server, you must have the following:

1.

Microsoft Exchange Server 5.5 or greater installed on your network.

2.

Network access to the Organizational Forms Library in Exchange.

3.

Permission to publish forms to the Organizational Forms folder.

If these conditions are not true, see your Exchange Administrator to get permissions or publish the form in your Personal Forms Library.

To publish the form:

1.

If it is not already highlighted in your folder list, select the POForm folder.

2.

Click on the + sign in front of the POForm folder, and then click on the message Purchase Order.

3.

Select New Purchase Order Request from the Actions menu.

4.

On the form, click on the Tools menu.

5.

On the Tools Menu, click on Forms.

6.

On the Forms submenu, click on Publish Form As.

7.

In the Look In box on the Publish Form As dialog box, select Organizational Forms Library or Personal Forms Library as appropriate.

8.

In the Display Name field, type Purchase Order Request.

9.

Click the Publish button.

10.

In the Microsoft Outlook dialog box, click Yes to clear the Save Form Definition with Item checkbox.

11.

Close the Purchase Order Form without saving changes.

You have now installed, stored, and published the Purchase Order Request form to a forms library. If you selected the Organizational Forms Library, everyone with permission to see this library may now use this form. If you selected the Personal Forms Library, the form is not available to other users. This form includes generic elements for typical Purchase Order Request forms. See Customization Instructions to modify these elements for your specific use.
