
This document discusses how to use the SmartList in Microsoft Small Business Financials to determine the average collection time on your accounts receivable. Average collection time tells you how many days you're acting as a banker—in other words, loaning money to—the people who owe you money. OverviewYou can use the SmartList window to search customer, vendor, inventory, banking, accounting, and payroll records and then open selected records in data entry or inquiry windows. To access the SmartList window, go to the Shortcuts menu and select SmartList. SmartList includes predefined searches you can modify to create favorites. Search results are displayed in the SmartList window; there you can sort these results. Click Search in the SmartList window to open a search window to modify search definitions. In addition, you can print search results or export them to Microsoft Word or Microsoft Excel.- Changing columns that appear in SmartList search resultsThe following steps outline how to use the SmartList on the Customers view to determine the average days until payment is made on accounts receivable. Basically, you need to add the Average Days to Pay column to any Customers view in the SmartList. Here's how: 1. | Open the SmartList window by going to the Shortcuts menu and selecting SmartList. | 2. | Select any inquiry from the Customers folder on the left pane of the window. The search results will appear in the right pane of the window. Inquiries without search definitions appear as an asterisk (*). | 3. | Click Search to open the search window; you can modify search criteria there. | 4. | In the search window, click Columns to open the Change Column Display window. | 5. | In the Change Column Display window, click Add to open the Columns window. This adds a column to the search results. | 6. | In the Columns window, select either the Average Days to Pay–Life, Average Days to Pay–LYR, or Average Days to Pay–Year column. | 7. | Click OK. The Columns window will close, and the column name will appear in the Change Column Display window. | 8. | In the Change Column Display window, you can do the following: | • | Select a column name and click Remove to remove it from the list. | | • | Select a column name and click the arrow buttons to the right of the scrolling window to modify the position of the column in the search results. |
To return the column name list to its original configuration, click Default. | 9. | Click OK to close the Change Column Display window. | 10. | Close the search window. |
Creating a SmartList favoriteTo create a favorite search, follow these steps: 1. | After creating your Average Days to Pay SmartList view, click Favorites to open the Add or Remove Favorites window to save the inquiry as a SmartList favorite. | 2. | In the Add or Remove Favorites window, enter a name for the SmartList favorite. | 3. | Click Add to save the information, and close the window. | 4. | Close the SmartList window. |
