
OverviewTo set up task-level security for your users in Microsoft Small Business Financials, you use the Security Setup window. From this window, you can grant or deny individual users access to specific tasks and features within a company. For example, if one person on your team enters sales transactions and another enters purchasing transactions, you could limit access for the first person to customer-related tasks and features, and limit the second person’s access to vendor-related tasks and features. Each time you create a new user record, you should follow the procedures outlined on this page for setting up company-level user security and task-level user security. When you create a new company record, however, the Create Company window gives you the option to copy this security information from an existing company. Setting up company-level user securityUse the User Access Setup window in Microsoft Small Business Financials to grant users access to various companies that you have set up. Complete this procedure each time you create a new company or a new user record. To set up company-level user security: 1. | Open the User Access Setup window. (Go to Setup and select System. Then select User Access.) | 2. | Select a user ID. Select the check box adjacent to a company name to give the user access to the company. Clear the check box to deny the user access to the company data. | 3. | Click OK to save the information, and close the window. |
Setting up task-level user securityOnly the system administrator using the sa user ID can set up task-level user security, so be sure you are logged into Microsoft Small Business Financials with the sa user ID. To set up task-level user security: 1. | Open the Security Setup window. (Go to Setup and select System. Then select Security.) | 2. | Select the user ID of the person you’re setting up security for. Clear each check box to restrict the selected user’s access to a specific task or feature. The default setting has all areas and features selected, which gives the user access to the entire system and all its data. | 3. | Click OK to save the information and close the window. Complete this procedure for each user that will work in the company. |
