Locating Your E-mail Server Settings
The following instructions will be useful to you if:
  • Your company or personal e-mail address includes a custom domain name (i.e. looks like yourname@yourcompany.com or firstname@lastname.com)
  • You tried Auto Setup on the device, and your e-mail service provider wasn’t recognized
  • You use an Exchange Server for your e-mail [anchor link to instructions for Exchange servers]

To help you set up your e-mail, we need to first determine if you use an Exchange Server or another e-mail server. This short video clip explains how to do so. If you already know what type of server you’re using, you can skip this step.

Tip: If you’re using Hosted Exchange (i.e. your server type is MAPI), please follow the instructions for Exchange Server. If you’re not using Outlook, you should contact your IT department or your e-mail service provider to identify your server type and obtain the information listed in the next step.

Step 2. Find Your E-mail Server Type and Settings

If You’re Using Exchange Server
Before you can set up your e-mail, you’ll need to get the following information from your IT department or e-mail service provider:
  • Server name (Note: this is the same as your Outlook Web Access address)
  • Whether your server requires an encrypted (SSL) connection
  • Domain name
  • Your user name (e.g., if your e-mail is kevinc@contoso.com, your user name may be kevinc, or domain\kevinc)
Note: If you have a Windows Mobile 5 device, get the information listed above, and then select the appropriate instructions here.

If You’re Using Another Type of E-mail Server

Your Windows Mobile device supports e-mail synchronization with POP3 and IMAP4 servers, which are commonly used by many e-mail service providers. Before you set up your e-mail, you’ll need to get the following information from your IT department or your e-mail service provider:
  • Server type (e.g. POP3, or IMAP)
  • Incoming mail server name (e.g. imap.e-mailprovidername.com)
  • Outgoing mail server name (e.g. smtp.e-mailprovidername.com)
  • Whether SSL connection is required
  • Whether the outgoing server requires authentication
  • Your user name. This is usually the first part of your e-mail address that appears before the @ sign. It could also be your full e-mail address.)
You can obtain the settings in the following ways:

Outlook 2003 users: Open Outlook 2003 and Select Tools > E-mail Accounts > E-mail > View or Change Existing E-mail Accounts. The name of your e-mail service provider and the server type will be listed in the first box. Select the appropriate e-mail account and then select Change to see the server names you need to enter into your device to set-up e-mail. Select More Settings > Advanced to get check if an SSL connection is required. Next, select the Outgoing Server tab, to check if your outgoing server requires authentication.

Outlook 2007 users: Open Outlook 2007 and select Tools > Account Settings. The name of your e-mail service provider and the server type will be listed the box that appears. Select Change to see the server type and names. Select More Settings > Advanced to check if an SSL connection is required. Next, select the Outgoing Server tab, to check if your outgoing server requires authentication.

Outlook Express users: Open Outlook Express and select Tools > Mail > Properties > Servers. The name of your e-mail service provider will be listed in the incoming and outgoing server fields. These are also the server settings you need to enter to set-up e-mail on your device.

If you are not using Outlook: You can still get your e-mail, but you will need to contact your e-mail service provider or check your e-mail application to get the information listed above. Outlook Express users: Open Outlook Express and select Tools > Mail > Properties > Servers. The name of your e-mail service provider will be listed in the incoming and outgoing server fields. These are also the server settings you need to enter to set-up e-mail on your device.

Step 3. Set Up E-mail on Your Device

Once you have the information listed above, you’re ready to set up your e-mail on your device. To get started, follow these steps on your device:


Windows Mobile 6:
Start > Messaging > New E-mail Account

Windows Mobile 5:
  • Touch screen: Start > Messaging > Menu > Tools > New Account
  • Non touch screen: Start > Messaging and click Outlook E-mail. Select Menu > Options > New Account

    Be sure to choose “Click here to enter your settings manually” if you see this option.
Note: If you run into unexpected problems sending or receiving e-mail from your device, please check that your settings are spelled correctly and then verify your settings with your IT department or your e-mail service provider. To review your settings: Windows Mobile 6: Select Start > Messaging. Next, scroll to the appropriate account and select Menu > Settings.
