As one of the largest bottlers of non-alcoholic ready-to-drink beverages in the Asia-Pacific region, Coca-Cola Amatil has 9,000 staff across its Australia and New Zealand offices alone. While electronic mail is its communications lifeblood, its older Lotus Notes messaging platform was slow, unreliable and costly to maintain. Since migrating to the Microsoft Business Productivity Online Standard Suite, eMail availability has increased. With a highly reliable and modernized communications infrastructure, overall productivity has also increased.
Coca-Cola Amatil Limited (CCA) is one of the world’s top five bottlers in The Coca-Cola Company’s global network of more than 300 bottling partners. As one of the largest bottlers of non-alcoholic ready-to-drink beverages in the Asia-Pacific region, CCA has been focused on executing strong growth over the past few years.
According to Mr Warwick Hutton, General Manager – IT Services, Coca-Cola Amatil Limited, one way to remain agile in the capital intensive industry is to constantly look for new ways technology can support the business, while maintaining high levels of business efficiencies and customer responsiveness. He said, “To better support our growth plans, we needed a reliable and highly scalable messaging solution that would help to increase our service levels, improve our business efficiencies and enhance our business agility to respond quickly to new opportunities.”
With access to more than 265 million consumers via more than 700,000 active customers ranging from grocers, vendors to restaurants, CCA’s email messaging system is its communications lifeblood. However, its Lotus Notes messaging environment was slow, unreliable and costly to maintain. Having a large pool of in-house Notes developers also proved a drain on its IT operation costs. CCA required an open messaging platform to assimilate existing companies in the group such as SPC Ardmona, Neverfail, Grinders Coffee and Pacific Beverages.
CCA evaluated several solutions in the marketplace and chose the Microsoft® Business Productivity Online Standard Suite (BPOS), for the following reasons, “Microsoft BPOS differentiates itself from the competition with its hybrid offering, giving us the flexibility of implementing it in the cloud or on-premise. Its offerings, which include mobile access to key services such as email, calendar, and shared content, meets the needs of our highly mobile workforce,” said Mr Hutton.
Another key driver which helped to seal the decision, were the demands from its staff. “With the rapid consumerization of IT, the preferences of our employees are influencing our IT adoption decisions. Being more familiar with the user-friendly Microsoft Windows graphical user interface, many are urging the company to adopt the Microsoft BPOS cloud offering. They wanted more mobility and flexibility,” said Mr Barry Simpson, Chief Information Officer, Coca-Cola Amatil Limited.
Faced with the deployment of a new technology, CCA chose to engage directly with Microsoft, so Microsoft could be fully accountable for the migration. ”At Microsoft, we have made significant investments to ensure the customers can transition to the Cloud operating model with peace of mind... The Microsoft Premier Deployment team is one such investment where we help our Enterprise customers securely migrate to our Cloud platform. The CCA project was a great example where we completed this migration successfully using a combination of our onsite Microsoft Services project management teams together with our remote migration factory,” explained Mr Vajira Weerasekera, Practice Manager, Microsoft Premier Deployment Services for Asia Pacific.
For CCA’s deployment, Microsoft Services provided end-to-end project management services which included the migration of CCA’s email data, including mailboxes, addresses and email contacts; network remediation services and advise, on-premise re-architecting, upgrading of desktop operating systems and the installation of single-sign-on (SSO) on desktops. In addition, the Microsoft team also helped to boost CCA helpdesk’s readiness to support the new hosted communications infrastructure.

The Microsoft BPOS suite is a set of messaging and collaboration tools delivered as a subscription service. It includes Microsoft Exchange Online for email and calendaring; Microsoft SharePoint Online for portals and document sharing; Microsoft Office Communications Online for presence availability, instant messaging, and peer-to-peer audio calls; and Office Live Meeting for web and video conferencing.
The first phase of CCA’s deployment involved the migration of Notes messaging onto the Microsoft BPOS suite. After the successful pilot of the first 500 users by Microsoft Premier Deployment Services, Microsoft Global Services handled the full deployment of 9,000 seats across CCA’s Australia and New Zealand offices using Microsoft’s remote migration factory model. The migration took approximately six months and went live in September 2010.
CCA workforce demanded more mobility and flexibility with the messaging solution. The migration successfully integrated myriad mobile devices, including 700 BlackBerry devices, iPhones, Windows Mobile smartphones and even staff computers used from home, with existing Microsoft applications.
Having its communications infrastructure in the cloud has increased CCA’s eMail availability, and kept CCA at the forefront of technology with constant product updates. With enhanced privacy and disaster recovery protection, CCA enjoys true peace of mind, knowing that its critical communications infrastructure enjoys the highest levels of reliability and scalability.
“When companies run their own email infrastructure, you tend to have large capital spikes and it’s very hard to keep current with the releases that software companies are bringing out. Key benefits have been in keeping up to date with the raft of features flowing from Microsoft,” said Mr Barry Simpson.
Enhance eMail Availability, Reliability and Scalability
With Microsoft Online Services running on a global network of data centers, eMail availability is at an all-time high at CCA. The use of HTTPS enhances Internet access security, while virus and spam filtering via Microsoft Forefront™ Online Security for Exchange keeps mailboxes safe. In addition, CCA’s staff now enjoys new email accounts with five gigabytes of storage - a significant increase from the previous 300 megabytes.

Enhance IT Productivity and Optimize IT Resources
With better eMail uptime, IT productivity has been enhanced. As a result of the Microsoft Cloud solution, there is now an 80% drop in time spent troubleshooting eMail issues specifically. With Microsoft BPOS, CCA gains business capabilities without the need to deploy and maintain software and hardware on-premise.

Mr Hutton said, “We recognize the value of Microsoft BPOS in the cloud and have seen productivity benefits since the migration. We believe we will be able to maximize the value of our investment when we complete the undergoing migration of our Notes applications to Microsoft collaboration technologies via Microsoft BPOS.”
Looking ahead, plans are underway to migrate to a hosted SharePoint solution and transition to the enhanced online services and capabilities on Office 365.
