Headquartered in Chicago, Illinois, U.S.A., Exelon Corporation is the largest competitive U.S. power generator. Its Constellation business unit provides energy products and services to approximately 100,000 business and public sector organizations and 1
million residential customers.
Energy enterprises are burdened with strict compliance regulations, such as the policies imposed by the Federal Energy Regulatory Commission (FERC) or North American Electric Reliability Corporation (NERC) in Exelon’s case. FERC regulates the interstate
transmission of electricity, natural gas, and oil and NERC prescribes compliance standards, adjudicate compliance, and levy monetary penalties. The cost of non-compliance in the energy industry can be significant – approximately US $1million per day, per incident.
A series of failures or systemic breakdown in controls can generate even bigger fines.
The challenge is that most compliance processes are manual and require ongoing monitoring. The more compliance tasks are managed by people, the higher the risk associated with a failure. Exelon came to the realization that it is critical to build an automated
compliance solution to reduce those risks.
Exelon selected AgilePoint, a Business-Critical SharePoint partner to help improve its compliance processes. AgilePoint implemented a solution where the AgilePoint BPMS (Business Process Management Suite) connects Microsoft SharePoint 2010 with Exelon’s
existing line-of-business (LOB) systems, such as, Oracle®, PeopleSoft, Microsoft Dynamics® CRM, and Salesforce. While SharePoint provides a familiar productivity-driven platform and access to business-critical data, AgilePoint adds end-to-end cross-LOB automation
and robust workflow. Automated compliance applications were built on the platform to improve processes, reduce risk, optimize resources, keep “know-how”, and meet regulations.
NERC Access Compliance Qualification Reporting
The business challenges included access to compliance data from multiple LOB systems, lack of standardization throughout the company, and risk of compliance violations. Providing a dashboard view of one’s active NERC access, the solution leveraged the SharePoint
platform to bring all the data together and created a profile user interface on SharePoint for real-time access. This in turn resulted in decreased business risk against NERC violation and facilitated quick decision-making.
NERC CIP Access Control Process
Previously manual processes dominated employee terminations and transfers. The new solution leverages SharePoint lists to track access information in real-time AgilePoint BPMS automates control processes. This results in an automated workflow with integration
to LOB systems, low cost development leveraging “no code” concept, better pre-screening process, and faster access requests.
FERC SOC Notice to Critical Transfers
The compliance group closely monitors transfers between business segments. Before the AgilePoint solution, an e-mail had to be sent to a manually pulled list of transferees on a weekly basis as a reminder about FERC Standard of Conduct rule regarding sharing
of information between different functional groups. This process is automated now with on-time auto-identification and notification. The transfer information is imported to the SharePoint view that can be consumed on a daily basis. It triggers an AgilePoint
BPM model on new critical transfers that sends an email. It also provides a tracking system and reporting, eliminating manual errors and low value tasks.
NERC Read & Sign Acknowledgement
NERC related policies and procedures require acknowledgement from employees/contractors to strengthen compliance culture within the organization. It has been challenging incorporating contractors to the existing process, and cumbersome to track e-mails and
send manual reminders. The solution automated the tracking of new hires with a timely acknowledgment, therefore, reducing compliance risk.
Merger Related Compliance Business Process Tracking
In case of mergers, Exelon had to track compliance actions manually, create multiple reports, and send e-mail reminders. Providing visibility, efficiency, and proof, the SharePoint-based solution leverages out-of-the-box SharePoint features as well as custom
reminders and a tracking system. Containing a list of re-occurring merger-related compliance action items, it maintains an audit trail. Users automatically receive e-mails when an action item is due or overdue and the system automatically resets the start
and end dates upon completion.
Providing a platform that empowers business users, the Business-Critical SharePoint solution helps leverage SharePoint as a common point for data and processes. It surfaces the right information to the right people at the right time, incorporating LOB data
into a process without big investments. The system automates processes, handles exceptions, and fosters collaboration across teams and functions. Most importantly, Exelon is now able to achieve its goal of reducing compliance risk, which translates into real
savings for the company.
