Universal Drilling & Cutting Equipment, part of the £120m global Japanese Nitto Kohki group, is a leading manufacturer of broaching hole cutters and electro-magnetic drilling machines. From its head office and manufacturing base in Sheffield, it exports 90% of production via satellite sites in France, Holland and the US. Although Universal had carved a very successful position in the market, its business management software wasn’t delivering on several fronts. The decision to upgrade was accelerated when its Japanese parent insisted on a new system. Why? High profile fraud investigations, including Enron, had led to new financial laws in the US, referred to as SOX (Sarbanes-Oxley Act). Similar laws were subsequently rolled out in other countries and the Japanese equivalent – JaSOX – was put in place for organisations listed on the Nikkei, including Universal’s parent Nitto Kohki, and this calls for strict reporting and accounting governance. Another key requirement was the ability to link Universal’s manufacturing base with its three overseas satellite sites: “We wanted to bring all the sites together on one system so we could unify operations.”

Universal then turned to the task of selecting an implementation partner, and selected UK partner Azzure IT, due to their “refreshing” approach, claims Bracey: “They are superb. Azzure were highly supportive and knowledgeable, and crucially for us they were happy to be as involved as we needed them to be, training us to do tasks so that we can be more effective.”

  • Business-wide functionality

Dynamics NAV is now up and running in the UK, Dutch and French sites, with the US soon to go live. The system manages all of Universal’s activities, from purchase order, through works order and sales order, right through to accounts.

  • Integration of satellite offices

A single system with one database has also brought significant improvements “Having all the branches and head office on one database will be a massive benefit in terms of stock control. Full integration will drive more efficient planning.” Prior to the implementation of Dynamics NAV, each international site had its own system so processes were fragmented. “Now, in real time, we can see their stock and plan production from here,” says Bracey. “That will enable us to respond to customer demand much more effectively without holding surplus stock at any point in the chain.”

  • Speeding up processes

Dynamics NAV has also transformed month-end reporting for Universal –saving them a further two to three days’ work each month by automating routine processes and making the process of accessing business wide information significantly quicker and more efficient: “The ability to trace information has been vastly improved. There are many tasks that used to take us a long time to check manually and Dynamics NAV now manages all those automatically.”

  • Improved production planning

As a UK manufacturer, Universal’s success depends on its ability to flex production and offer fast lead times. Manufacturing is all about making the right product at the right time. Manufacturing benefits not only come with the detailed manufacturing capability and functionality of Dynamics NAV, but thanks to the integration of all their manufacturing facilities, they will now be able to react much more swiftly to market demand and match manufacturing capability to that demand.
