Employees at Russian Distributor Process Orders 25 Percent Faster with Web Solution

Business Needs

IRITO Group has enjoyed more than 10 years of successful expansion in the automobile industry. When it extended its market reach in 2005, it became Russia’s leading distributor of brands that include Great Wall, FAW, Foton, Dong, Feng, and Hafei. This new business direction put it on track for even greater business achievements.

However, the custom-built Web application the company was using began to impede further growth and development opportunities. Using this application, car dealers could choose a vehicle, its configuration, additional features, and color options, plus request delivery. But, they didn’t have access to real-time information about configured vehicles in stock and delivery dates. IRITO managers had to process requests and match them to delivery orders for manufacturers manually.

Andrey Reznikov, Director of Business Development, IRITO says: “To continue our growth, a flexible easy-to-use system was needed. We aimed to reduce the amount of time our managers and dealers spent creating and processing purchase requests, and receiving delivery information.”

IRITO wanted to boost efficiency by automating its current system and reducing paper-based processes. It wanted to send requests to the manufacturer on the basis of dealers’ orders, including its own needs. Andrey Reznikov, Director of Business Development, IRITO says: “We also wanted the ability to track each car on control points—from the manufacturer up to the trading platform of the dealer, to before being purchased by a customer.”

This would also help final buyers’ access information about the presence of spare parts at dealers, or terms of delivery of spare parts in the distributors’ absence. Tracing the monetary streams between dealers, distributors, and manufacturers would make it possible to implement penal sanctions for late payment of invoices and shipments. This would act as a deterrent for late deliveries and create a better overall service for customers.

Solution

IRITO examined a variety of business system solutions for the automotive industry in Russia. They chose to work together with Microsoft Gold Certified Partner, BrightConsult, implementing Incadea, which based on Microsoft Dynamics™ NAV, and Spellabs Web.Agent technology. It was then integrated into the company’s existing accounting system.

Microsoft Dynamics NAV offers the growing company a powerful, yet cost-effective solution. The add-in software of Spellabs Web.Agent has helped IRITO tailor a Web site to meet its specific industry needs. What’s more, the solution’s ability to grow with the company’s needs means it won’t limit future development and growth.

Primarily a Web solution, INCADEA connects all 120 IRITO dealers from 52 Russian cities with rapid access to real-time information. It also provides the company with connection and several useful functions and abilities to IRITO service departments.

Remote clients can access the interfaces and functionalities of Microsoft Dynamics NAV over the Web from any location in the world. Spellabs Web.Agent allows clients to work with Microsoft Dynamics NAV using Internet Explorer browser. The look and feel of the interface is similar to the Microsoft Windows® implementation of Microsoft Dynamics NAV clients, which means they are familiar to users and therefore easy to use. Konstantin Shlyapkin, Head of IT at IRITO, says: “The system operates extremely reliably and deals with 20,000 requests every hour.”

Both dealers and distributors use INCADEA to find automobile configuration among six brands from more than 100 models. They can look through characteristics and prices of motors and parts for more than 1,500 vehicles and quickly access a registered dealer who has the desired cars in stock.

Employees at IRITO immediately recognized the benefits of Microsoft Dynamics NAV when it went live. They can now operate orders and trace deliveries faster than before. Paper-based processes have disappeared and speed of processing dealer requests has increased by 25 percent.

Microsoft Dynamics NAV is used to solve tasks of short-term and long-term planning, which is helping IRITO grow faster than its competitors. Managers spend 20 percent less time overseeing the ordering and delivery process, because all the information is more accurate and easily accessible.
