Genetics company sees efficiency gains through sales and accounting system overhaul

Business Need
Trans Ova Genetics, of Sioux City, Iowa, is a high-tech company that was hindered by low-tech accounting processes. Trans Ova uses advanced reproductive technologies, such as embryo transfer and in-vitro fertilization, to allow cattle breeders to choose and produce more calves of the desired gender and improve the efficiency of the breeding process. Its Genetic Advancement Center is a global leader in the application of transgenic technology for delivering animals, tissues, cells and bio-proteins for the biomedical industry.
While its labs and technologists were improving breeding techniques, however, the company was operating with paper forms as it maintained its accounting system. Staff members constantly were required to re-key information that previously had been entered electronically in other applications. As the company grew, this manual system—and the inaccuracies inherent in any re-keying operation—created the potential for slowing and degrading Trans Ova’s sales and invoicing processes.

“We have eliminated the tremendous amount of time we spent re-entering information into multiple applications. Now, with Microsoft Dynamics GP, our data is integrated and shared within all our processes; and it integrates with all our other applications.” |

Trans Ova Genetics met with Microsoft Gold Certified Partner Summit Group Software, headquartered in Fargo, North Dakota, to find a way to automate, share and streamline its accounting system. The company chose to implement Microsoft Dynamics GP 10.0 as its business management solution. Microsoft Dynamics GP integrates data and offers deep business intelligence, extensive reporting, budgeting and forecasting; and it is highly scalable so it can grow easily as the company expands.
Integrated into the solution for Trans Ova Genetics was the Microsoft Dynamics GP10.0 Sales Order Processing module that brings new flexibility and power to general ledger postings. Summit Group Software used eOne’s eXtender to customize forms, enabling them to offer more information on a line-by-line basis on Trans Ova’s sales invoices. Further, with Microsoft Dynamics GP 10.0 Integration Manager, Trans Ova was able to integrate other systems—such as external databases and desktop applications—to the new accounting technology, safely and easily importing all of its existing records.
Trans Ova Genetics started using the Microsoft solution right out of the box and continues to add its integration capabilities to other lines of its business that require the importing of data.
Benefits
With Microsoft Dynamics GP 10.0, Trans Ova Genetics gained considerable time savings while improving customer relations as a result of a number of benefits:
• Elimination of duplicate keying. The company now spends far fewer hours entering information, because data needs to be keyed in only once to become available to all the sales and accounting processes.
• Improved accuracy and visibility. Trans Ova is providing better information to its customers, now that it has so much greater visibility into the data and has all customer data in one place. Information is up-to-the-minute and, therefore, more accurate. With Microsoft Dynamics GP’s 10.0 business intelligence capabilities, the staff has a much better overall view of each customer’s status and needs and, as a result, a much better view of the company’s trends and likely customer requirements.
• Heightened efficiency. The company is able to run its monthly invoicing and statement processes much more rapidly and efficiently, offering more comprehensive and timely information to customers regarding their investments in Trans Ova Genetics services.
“Microsoft Dynamics GP has enabled us to create a world-class sales and accounting system that matches the level of sophistication and technology that we employ in our genetic services,” said Trans Ova Genetics Information Technology Manager Harry Groenendyk. “Our customers now are much happier and our own people are far more efficient.”
