University of Central Florida University Gains Enterprise Scalability; Saves More Than 50 Percent Per Desktop License

“Software Assurance really facilitates the ability of the university, moving forward, to keep current on the software platforms that are critical to our enterprise.”
—Dr. Joel Hartman, Chief Information Officer, University of Central Florida

Business Needs
The University of Central Florida (UCF) will celebrate its 50th anniversary in 2013, and in that short time has become an academic and research leader. It relies on technology to enhance the educational experience, improve administration, and efficiently manage growth. One of UCF’s biggest IT challenges is to cost effectively provide all employees with the latest technology, and incorporate cloud services in the future.

Solution
UCF licenses its Microsoft software under a Microsoft Campus Agreement with separate enrollments for 20 colleges and departments. Those enrollments cover the Microsoft Campus Desktop with the Enterprise Client Access License (CAL), which includes Windows 7 Enterprise, Microsoft Office Enterprise, Microsoft Office for Mac, and the Microsoft Enterprise CAL Suite. The university also uses valuable Microsoft Software Assurance training, upgrade, and product support benefits included in the Campus Agreement and can add cloud services when it is ready.

Benefits
With a Microsoft Campus Agreement, UCF gains several benefits:

Eases Deployment and Saves Training Time and Costs
Having all employees running on the latest version of productivity software at the same time eases adoption and life cycle management. UCF also saves training costs with the E-Learning self-paced end user training available through Software Assurance.

Adds Predictable Budgeting
UCF secures licensing prices for three years, so it can plan software deployments without worrying about price increases.

Reduces Costs and Increases Flexibility
By having multiple enrollments under an umbrella Campus Agreement, UCF gains enterprise scalability and saves approximately 50 percent per desktop license. Individual departments also have the flexibility to obtain products needed for specific academic or research programs.
