The Emperia Trading Group is a mature company listed on the stock exchange which wanted to increase its service levels and achieve business goals more efficiently. Although it had been using OpenOffice.org, the company ultimately decided to choose Microsoft Office as it was better able to meet its requirements.
The Emperia Trading Group consists of a dozen independent companies that outsources its IT infrastructure. This way, the high level of SLA parameters for offered services have a direct influence on the level of customers' satisfaction.
In order to maintain the high level of services and increase it at the same time, Emperia developed a plan to improve communication across its constituent companies so as to boost service levels and customer satisfaction.
The first step was to unify the standard workstation equipment as that would reduce the time required for hardware replacement and significantly reduce maintenance costs. Emperia's development plan involved adjusting the IT tools to the needs of the employees in order to facilitate the achievement of business goals.
It was important for Emperia to be able to expand and easily manage the IT infrastructure, but above all, to have a unified and safe environment. Since Emperia is listed on the stock exchange, it could not afford to make any risky or doubtful business investments.
Up to that point, Emperia had been using OpenOffice.org. But with its new plan in mind, the Group decided to make a switch to Microsoft Office 2010.

In accordance with the agreed methodology, the implementation process started with the evaluation phase of the Microsoft Office 2010 suite applicability. Functional tests were performed along with hardware tests.
During the implementation phase, the whole process was automated and based on the pre-packaged version of the software. The implementation process was divided into companies and IT departments that used the network infrastructure features, to remotely set up the new software on each workstation.
“Throughout the whole process of implementation we didn't have to use our provider's support, our own internal resources were sufficient,” said Sierpień. "The most important stage for us was the setup itself. We have assigned Service Desk workers to execute it using the network infrastructure department's support."
Some of the Microsoft Office features which Emperia staff liked included: The friendly interface as well as task and calendar integration which allowed the users to allocate task completion times using simple drag-and-drop methods, instant search functions which allowed quick and easy searches for all the required information in their Inbox, easy communication between co-workers who resided in different locations.
The Office 2010 Professional Plus suite facilitated individual as well as group work and meant that Emperia could render services to their customers more efficiently.

Save Storage Space
Determining the main beneficiaries of Microsoft Office 2010 in Emperia was very clear. Sierpień said: "All the employees who use computers, including the managerial personnel, benefited from this implementation. The solution has improved everyday work in various fields. Thanks to its file handling system we can save space on the hard drives, thus prolonging the use of workstations' storage."
Emperia chose unified software packages for all the departments; with Microsoft's group license agreement, all the licenses had one product key, which boosted efficiency. “Now, no matter which company the employee works for, he or she is given a workstation, which is ready to work with our application. This example shows that the parameters of employee support have improved significantly" said Sierpień.
Employees were satisfied with the new software. “Microsoft Office 2010 allows us to communicate better within the Group, which is very important for my department,” said Joanna Żytkowska from Internal Communication Department. "What is more, it is a very friendly tool with a clear interface, which is very rewarding to work with."
The implementation of unified Microsoft software across the whole Group reduced IT maintenance costs. The employees could automate their tasks and use the same communication standards. Emperia benefited from using less space for storing documents hardware-wise, as well as finance-wise. Reduction of costs related to the licensing and maintenance of heterogeneous systems was also very important.
Microsoft Office increased the employees' productivity by simplifying the completion of tasks, including group tasks. It improved access to other co-workers and information, providing better communication and cooperation features.

Emperia Group's license agreement also included the Microsoft Software Assurance option, which offered additional benefits including access to the newer version of the software if it is available within the period covered by the license, additional training in the use of Microsoft technologies, and the option to take advantage of the Home Use Program, which allows the entitled employees to buy Office Professional Plus 2010 suite for home use for €12.95 EUR (US$17).
Microsoft Software Assurance gave access to additional training resources, implementation plan help, remote update tools and technical support; increasing the productivity of the whole organization.
