Dedeman Hotels and Resorts International is a major hotel chain based in Turkey. The company owns and operates 22 hotels and resorts in Turkey, Northern Cyprus, Bulgaria, Uzbekistan, and Syria with a total of nearly 4,800 rooms.

Creating budgets and projections is a challenging task for companies in the hospitality industry. Factors such as regional or global economic conditions, surges in the number of holiday travelers, marketing campaigns, and the skills of local hotel managers can determine how successful a chain is in filling its rooms. Historically, Dedeman performed its reporting and budget work using manually intensive and occasionally error-prone processes. These entailed entering data in Microsoft Office Excel spreadsheet software at each hotel, and then having large spreadsheets—averaging 17 megabytes or larger—transmitted by email to the chain’s headquarters. More manual data handling and consolidation was then needed to sort through the information.
“The system created a lot of problems for us,” says Saruhan Ince, Project Development Manager at Dedeman Holding, the parent company of the hotel chain. “The process was inefficient because it took a lot of time to get the information from our separate hotels, and the information was sometimes inaccurate. The managers and employees at different hotels did not always understand how to handle the information. It also created problems for me when I used to be the budget and control manager. I had to create numerous formulas and links in Excel, which makes the process prone to error.”
Working with the company’s executive management, Ince and the IT team began looking for a more efficient technology solution that could help streamline these mission-critical business processes. The goal was to make it easier for employees at the chain’s hotels to enter information and for headquarters managers to quickly view that information to make more informed decisions.Solution
Dedeman Hotels, working with Microsoft Gold Certified Partner Netron Technology, upgraded to Microsoft SQL Server 2008 R2 data management software and deployed related business intelligence (BI) products, including Microsoft SQL Server PowerPivot for Microsoft SharePoint. PowerPivot for SharePoint works with Microsoft SharePoint Server 2010 to deliver a set of server-side applications, services, and features that support collaboration among enterprise employees. The Dedeman IT staff began a pilot test of SQL Server 2008 R2, SharePoint 2010, and the related BI tools in January 2010. The company plans to make the software available to about 60 employees throughout the company later in 2010.
Additionally, Dedeman is using PerformancePoint Services in Microsoft SharePoint Server 2010 to monitor and analyze important metrics. These include scorecards, analytical charts, and key performance indicators such as monthly financial data and weekly operational forecasts. With cascading filters—part of the solution that Netron designed—IT administrators can customize dashboard views for specific job responsibilities. At Dedeman headquarters, administrators plan to use permissions functionality to carefully manage access to specific information.
Dedeman is also using Microsoft SQL Server PowerPivot for Microsoft Excel. With this free, downloadable BI technology, employees can work with hundreds of millions of rows of data inside Microsoft Excel 2010, delivering much of the analytic power of Microsoft SQL Server Analysis Services to the desktop.Benefits

What’s more, the tools are easy to use, ensuring quick adoption by hotel managers and senior corporate executives. Additionally, the IT department can carefully manage who has access to specific information, which helps to protect sensitive corporate information.
Expedited Data Delivery
Ince says the new PowerPivot tools have vastly speeded up the delivery of important information to business decision makers. “One example is our ‘pickup’ reports, which show the development in business at a specific hotel between two dates,” Ince says. “In the past, it would take 20 minutes or longer to pull information from an Excel spreadsheet to create a single report. With SQL Server 2008 R2 and the new BI tools, the information is available in just a few seconds.”
The new software provides familiar, intuitive functionality, which helps to facilitate adoption among Dedeman employees. “The PowerPivot BI tools are easy to use and make it possible to do new tasks that were difficult in the past,” says Ince. “We’ve created dozens of different reports and have built custom tables that individual hotel managers can use to do a lot more of the analysis of their own business activities. Tighter Controls over Data
The PowerPivot tools and SharePoint Server 2010 provide ways for Dedeman management to carefully control who has access to specific information. For example, managers at individual hotels see only their own data, and senior executives at company headquarters have access to a range of hotel-specific and enterprisewide information. “We’re able to carefully control the distribution of data on the SharePoint Server 2010 intranet based on management policies,” says Ince. “With SQL Server 2008 R2 and SharePoint Server 2010, we can deliver more data for business decisions while helping to protect company information.”This case study is for informational purposes only.
