Mantrac’s most significant information technology challenges revolved around the fact that it was still operating the business using an IBM AS/400 platform which was so significantly outdated that meaningful support was no longer easily available. The serious constraints of this legacy system resulted in extensive delay and almost no operational flexibility. It also lacked effective integration between accounting, credit management, store operations, or interfaces with supplier and customer systems to facilitate automated transactions. These weaknesses became data validation and cleansing issues, including correctness, completeness, integrity, consistency and more.
The Mantrac Distribution IT Department evaluated known ERP solutions including SAP and Oracle, determining that Microsoft Dynamics AX offered significantly better functionality, business agility, scalability, and adaptability to their specific concerns. Modules deployed include Financial Management, Supply Chain Management, Service Management, Business Intelligence and KPIs. Microsoft Partner Makes Challenging Migration Happen
Amr ElHemaly, IT General Manager of the Information Technologies Department at Mantrac Distribution explains that the migration from their aging AS/400 to the contemporary Microsoft Dynamics AX platform was “extremely challenging” citing product mapping by brand, category, and manufacturer as an example. ElHemaly reports that Delta Group, the Microsoft Dynamics AX Partner supporting the project proved very adept at employing best practices to resolve all migration issues. “Delta Group needed to understand all of our systems,” explains ElHemaly. “I suspect their engineer can tell you more than we could. They did a great job understanding all of our processes and training our staff.”
ElHemaly also emphasizes the importance of reporting to the success of the migration. “Our migration was actually from two systems with many inconsistencies from front to back. Improvements began to reveal themselves immediately after implementation. Migration to the new platform had been challenged by the difficulty in preparing poorly organized and disjointed data from the old. Now, with all systems integrated, data was easy to manage, provision, share, and process.
This complete implementation of Microsoft Dynamics AX for Mantrac’s sophisticated front-end distribution and shipping business included many advanced features and functionalities including consignment stock, assemble and split part-numbers, automated work-flow processes with role based authentication, and time-limit based escalation.
The solutions allows inter-departmental and inter-company automated business and sales transactions, high level financial and operational reports and brings a very high level of flexibility to cater to user-specific, business process, and legislation changes including data consistency and integrity, thanks to the fully integrated ERP modules, a decrease in discrepancies percentages in stock taking, and elimination of data correction exercises between front and back end systems.
Mantrac took full advantage of the transition opportunity to fully develop a new and far more complex chart of accounts with intricate mappings to support a highly flexible accounting environment.
