Create a price list to use for a free sample

A promotional or sample product is a product that is sent at no cost to a qualified lead, opportunity, or customer. In many cases, the simple act of sending a promotional product can turn an undecided prospective customer into a valued addition to your sales base.

Price lists for promotional or sample products

In this article a fictitious company, Wingtip Toys, is used to illustrate an example of how to set up a promotional product in Microsoft Dynamics CRM 3.0. Using information from this fictitious company, you will create a product that contains a price list that has a 100 percent discount associated with it.

Note: The procedures in this article assume that the product units are already established in the product catalog. For more information about how to create the product catalog and add items to it, such as products, units, discounts, and pricing methods, see the Microsoft Dynamics CRM 3.0 Help.

Wingtip Toys is a growing distributor of toy products and currently is the leading distributor in their region. The company wants to expand to a neighboring region. As a part of a larger promotional effort for this expansion, Wingtip Toys decides to send free samples of their beach balls to all the major toy retail companies in the neighboring region.

By creating a separate product for beach ball samples, Wingtip Toys can monitor inventory and determine how many beach balls are given away. Additionally, Wingtip Toys can deactivate the sample product without affecting any comparable beach ball product that already exists in the product catalog.

The promotional beach ball product that Wingtip Toys will create in the product catalog will have the following structure.

To create the product, price list, and discount list for this promo beach ball product using Microsoft Dynamics CRM 3.0, follow these steps:

Step 1: Create the discount list and add the 100% discount

1.

Under Settings, click Settings. Then, in the Settings area click Product Catalog, and then click Discount Lists.

On the Actions toolbar, click New.

3.

In the Discount List form, enter the following information:

Name
Enter a name with a length of 100 characters or less. The information should be meaningful and unique, such as Promo Beach Ball Discount List.

Type
Select the type of discount that will be applied to the product. You can choose a percentage or a fixed amount. For this example, select Percentage.

Click OK. The Discount List form appears.

In the Discount List form, under Details, click Discounts.

6.

On the General tab, complete the following information:

Begin Quantity
This is the beginning quantity that the discount will be applied to. Wingtip Toys wants to be able to send a single beach ball for promotion purposes. Therefore, type 1.

End Quantity
This is the ending quantity that the discount will be applied to. To control costs, Wingtip Toys does not want to send more than 10 samples of the product for each instance of this promotion. Therefore, type 10.

Percentage
This is the percentage amount that will be applied to this discount. Wingtip Toys wants to give these beach balls away for free, therefore, type 100.

Click Save and Close to close the Discount form.

8.

Click Save and Close to close the Discount List form.

Step 2: Create the product that will be used for sending beach ball samples

1.

Under Settings, click Settings. Then, in the Settings area click Product Catalog, and then click Products.

2.

On the Actions toolbar, click New.

3.

On the General tab, complete the following information:

ID
Type an ID for this product. The ID can be numbers, letters, or characters and must be less than 100 characters in length. For example, type PBB001.

Name
Type a name, such as Promo Beach Ball.

Unit Group
Click LookupLookup to search for and select the unit group that you want. For the beach ball product, select a unit that represents a single item because the beach balls are most commonly sold individually.

List Price ($)
Type the list price for the product. For example, type 1.

Click Save and Close.

Step 3: Create the price list and add the product and discount list

1.

Under Settings, click Settings. Then, in the Settings area click Product Catalog, and then click Price Lists.

2.

On the Actions toolbar, click New.

3.

On the General tab, complete the following information:

Name
Type a name such as Promo Beach Ball Price List.

Description
Type a description such as Only use this product when sending free beach ball samples.

Click Save.

5.

Under Details, click Price List Items, and then click Add Price List Item.

6.

In the Price List Item form, enter the following information:

Product
Click Lookup and select the Promo Beach Ball product that you created earlier.

Unit
Click Lookup to search for and select the unit that you want. For the beach ball product, select a unit that represents a single item because beach balls are most commonly sold individually.

Discount List
Click Lookup to search for and select the discount list that was created earlier, which is named Promo Beach Ball Discount List.

Quantity Selling Option
Select a quantity selling option from the list. For the beach ball product, because you do not sell fractions of a beach ball, select Whole.

Pricing Method
For this example, the pricing method will be set to the default, which is Currency Amount.

Amount ($)
Enter the base cost of the product. For the beach ball product, type 1.

Click Save and Close to close the Price List Items form.

8.

Click Save and Close to close the Price List form.

Step 4: Add the promo product to an order and verify that the cost is zero

1.

Under Settings, click Sales, and then in the Sales area click Orders.

2.

On the Actions toolbar, click New.

3.

On the General tab, enter the following information:

Name
Type a name, such as Beach Ball Sample for Customer XYZ.

Customer
Click Lookup and select the customer that you want. For example, select XYZ.

Price List
Click Lookup and select the price list that you created earlier, which was named Promo Beach Ball Price List.

Click Save.

5.

Under Details click Existing Products.

6.

On the Actions toolbar, click New Order Product.

7.

On the General tab, enter the following information:

Product
Click Lookup and select the promotional product. For this example, select Promo Beach Ball.

Unit
Click Lookup to search for and select the unit that you want. For the beach ball product, select a unit that represents a single item because the promotional beach balls are most commonly sent individually.

Quantity
Type the number of beach balls that you want to send. To send a single sample, type 1.

8.

Click Save and Close to close the New Order Product form.

9.

Click Save and Close to close the Order form.

10.

Verify in the Orders list that the Total Amount column for the Beach Ball Sample for Customer XYZ order displays $0.00.
