Personal customizations

Part 4 of "11 things to know about customization"

It is important to recognize that there are personalization options available to Microsoft Dynamics CRM 3.0 users. Instead of implementing a system-wide customization that only benefits several users, show users how to personalize the application to fit their needs.

Personal options

On the first screen of the Web application, all users can access personal options by selecting Options on the Tools menu or by clicking Personalize Workplace in the Navigation Pane. In Microsoft Dynamics CRM for Outlook, a smaller set of options is available by selecting Options from the CRM menu. This displays the Set Personal Options dialog box.

In the Web client each user can select:

Their default start page and tab

How many records to show per page in any list of records

How they want their Advanced Find view to start

Their time zone

Workplace options:

This controls which groups appear within the Workplace area.

You can change the options available to users here.

Their Default Calendar view (Day, Week, Month)

Their default work hours (Start and End Time)

Whether they want to track all their e-mail messages in Microsoft Dynamics CRM

Any custom e-mail templates they want to use

Personal views

Users sometimes will ask you to change the columns displayed in a view or other view criteria. They may not realize that they can create and save their own views. Unless the whole organization needs the view, encourage them to create their own views by saving Advanced Find queries. This creates a personal view that they can define and manage on their own. They can even share it with other users. It will appear in the list of views grouped under the heading “My Views”, as shown below.

E-mail templates

In a manner similar to views, you can create system-wide e-mail templates that are available to everyone. But users can also create and manage personal e-mail templates, and even share them with the organization. For more information, see Set your e-mail messages apart with a signature.
