Fine-tune your marketing lists with Advanced Find

Making sure that your marketing lists are up to date and include the correct customer or contact records can be a challenge. Using Advanced Find, you can filter the records in the Microsoft Dynamics CRM database and add or remove the records that match your criteria.

For example, if you want to run a campaign to remind your insurance customers that their children who are turning 18 soon will need a change of coverage, you might send a mailer to all your contacts who have children approaching their 18th birthday. To locate those customers and add them to the marketing list, you can search the Microsoft Dynamics CRM database to find only those contacts that meet the following criteria:

The contact has at least one child.

The child is turning 18 in the next six months.

To use this scenario, both the parent and the child must have separate contact records in the Microsoft Dynamics CRM database, their relationship to each other must be defined as part of their records, and the child contact’s Birthday field must contain a date.

To add contacts with children who are turning 18 in the next six months to a marketing list:

1.

In the Navigation Pane, click Marketing or Sales, and then click Marketing Lists.

2.

Open the contact record marketing list to which you want to add more contacts, or create a new contact record marketing list.

3.

Under Details, click Marketing List Members.

4.

On the Actions toolbar, click Manage Members.

5.

In the Manage Members dialog box, click Use Advanced Find to add members, and then click OK.

On the Find tab, select options to search for contacts that match your criteria:

In the Look for list, verify that Contact is selected.

If Show Details is visible in the criteria toolbar, click it.

3.

On the first line of the query, click Select and select Customer Relationships (Party 2). A new section appears.

Under Customer Relationships (Party 2), click Select and select Role 1 under Fields, and then click the Lookup icon next to Enter Value. The Look Up Records dialog box opens.

Click Find. A list of available relationship roles appears.

6.

In the Available records list, select the names of any child relationship roles (such as Son or Daughter), click  moveright to add them to the Selected records list, and then click OK.

7.

Under Role 1, click Select and select Converse Relationship. A new sub-section appears.

8.

Under Converse Relationship, click Select and select Party 2 (Contact). Another sub-section appears.

9.

On the first line under Party 2 (Contact), click Select and select Birthday, change On to On or After, and then type an appropriate date into the text box, such as 10/01/1988 for someone turning 18 after October 2006.

On the second line under Party 2 (Contact), click Select and select Birthday, change On to On or Before, and then type a date six months after the date you typed in the previous step, such as 04/01/1989 for someone turning 18 before April 2007.

These steps create the following Advanced Find query.

Click Find.

8.

Click Add all the members returned by the search to the marketing list, and then click Add to Marketing List.

9.

Click Save or Save and Close.
