Changing the Format of a Message You Receive

If you receive a message in HTML or Rich Text format but cannot read it, you can change the message to Plain Text format.

In the Outlook Inbox:

  • Double-click the message you want to change.

The message is displayed in a separate window.

In the Outlook Inbox:

  • Move to the message you want to change by pressing the UP ARROW and DOWN ARROW keys.
  • Press ENTER.
  • Open the Format menu by pressing ALT+O.

On the Format menu:

  • Select Plain Text by pressing CTRL+SHIFT+O.

Note:  Although the Plain Text option appears to be unavailable on the menu, you can access it by using the keyboard commands rather than the mouse.

On the Format menu:

  • Select Plain Text by pressing CTRL+SHIFT+O.

You can also change the font, font style, font size, and in some cases font color, when you are composing a new message, replying to a message, forwarding a message, and composing and reading a plain text message. For more information, see:
