Postal Services Company Introduces In-Place Archiving and Upgrades Messaging Solution

Pošta Slovenije, established in 1995, is owned by the Republic of Slovenia and provides postal, logistics, and secure cloud-based services. Employees at Pošta Slovenije rely on email messaging for business-critical communications. The company recently upgraded its Microsoft messaging solution to Microsoft Exchange Server 2013 to improve availability, ease administration by implementing archiving, and help employees be more productive at their jobs.

Business Needs
Pošta Slovenjie is the official postal service of the Republic of Slovenia. In addition to national postal services, it also provides international shipping and email messaging services. It employs almost 6,400 workers at more than 530 post offices across the country.

Over 2,000 employees at Pošta Slovenije rely on messaging for communication and collaboration throughout the business day to help customers, track postal information, and resolve issues. Pošta Slovenije has long relied on messaging solutions from Microsoft to provide this service. For its most recent deployment, it used Microsoft Exchange Server 2007.

Pošta Slovenije faced a few challenges with its messaging environment. Employees were granted Microsoft Outlook mailboxes with 1.5 gigabyte (GB) quotas, and they used Outlook data (PST) files to archive messages and frequently stored the files on their computers or on network shares. If anything happened to the files—if they were lost or corrupted—Pošta Slovenije had no way to recover data that might be critical for business. In addition, it was forced to accommodate large PST files on the network.

Because messaging is so critical to daily business, Pošta Slovenjie wanted to provide larger mailboxes to help improve productivity. When it learned that with the latest Microsoft messaging solution, Microsoft Exchange Server 2013, it could accommodate larger mailboxes and provide robust archiving capabilities, it decided to join the Rapid Deployment Program and run a pilot program to evaluate the latest offering.

Solution
As part of a pilot program, Pošta Slovenije migrated 150 employee mailboxes to Exchange Server 2013. The test was successful, and the postal service plans to migrate the remaining employee mailboxes by summer 2013. Pošta Slovenije deployed Exchange Server 2013 at its two main data centers. At each site, it deployed two Client Access servers and two mailbox servers. The mailboxes servers are configured in a database availability group for redundancy, disaster recovery, and backup. IT staff at Pošta Slovenije will use the Exchange Administration Center and Windows PowerShell 3.0 to perform administrative tasks and manage user configurations.

For storage, Pošta Slovenije uses a storage-area network (SAN) solution with tiered storage. Because Exchange Server 2013 manages data efficiently and delivers a 50 percent IOPS (I/O operations per second) reduction relative to Microsoft Exchange Server 2010 and continues to support low-cost storage options, Pošta Slovenije will consider using lower-cost serial advanced technology attachment (SATA) hard disk drives for Exchange Server 2013 data. It may also use direct-attached storage.

For employees, Pošta Slovenije will increase employee mailbox quotas to 2.5 GB and offer additional space in the archive mailbox. Employees can also take advantage of the In-Place Archive, which appears alongside the primary mailbox folders for easy access through Outlook or Outlook Web App and eliminates the need for PST files.

To help employee productivity, Pošta Slovenije plans to upgrade to Microsoft Outlook 2013. To access email and calendars on their mobile phones, employees can use Exchange ActiveSync. Pošta Slovenije also likes Microsoft Outlook Web App, which enables employees to access email through most popular browsers. Outlook Web App provides a consistent user experience with the Outlook client on the desktop. With Exchange Server 2013, Outlook Web App also provides offline access for employees in remote locations, so they can still be productive at locations with intermittent network connectivity.

Benefits
By running a pilot program of Exchange Server 2013, Pošta Slovenije was able to understand how the latest capabilities can help improve its Microsoft messaging environment.
  • Increase redundancy. By implementing database availability groups, Pošta Slovenije can improve availability and reduce recovery time when failures occur. “By implementing database availability groups in Exchange Server 2013, we believe the risk of failure is much lower,” says Damijan Goropevsek, System Engineer at Pošta Slovenije.

  • Improve productivity. Pošta Slovenije will increase mailbox sizes for employees, which will help ensure that they spend less time managing their inboxes and more time focused on business. “With Exchange Server 2013, employees can spend less time managing their messaging data, which gives them freedom to focus on other tasks,” says Goropevsek.

  • Ease administration. Using Windows PowerShell, the IT team at Pošta Slovenije can ease administration by automating daily tasks. With the In-Place Archive, Pošta Slovenije also no longer has to manage PST files on network shares or worry about trying to recover and repair PST files for employees.
