Microsoft Office Professional Plus 2010 Boosts Indian IT Firm’s Productivity by 30 Percent
NEcX, a leading IT services and solutions company in southern India, was looking for a consolidated solution to communications and collaboration across its nine branches and 50 support locations. With brief but unsuccessful forays into Google Apps and OpenOffice.org solutions, NEcX finally found a sustainable solution for its 140 employees with the enterprise-wide deployment of Microsoft Office Professional Plus 2010, Windows 7 and the Business Productivity Online Suite.
NEcX began as an IT service provider in 1993. As their business model grew over the next two decades to incorporate solutions and distribution, they expanded to nine branches across three states in southern India and currently hire 140 employees on 120 seats. NEcX is an ISO-certified organization and a Microsoft Gold Standard Partner.

Following nearly 20 years of dramatic expansion to multiple offices across southern India, NEcX, which had been using Microsoft Office 2007, found itself facing serious challenges when it came to inter-office communications, document exchange and collaboration. With locations across the states of Goa, Andhra Pradesh, and Karnataka, the NEcX team was finding it difficult to foster a productive, enterprise-wide, homogenous environment.
NEcX explored alternatives, including Google Apps and OpenOffice.org, but these lacked the features necessary to effectively facilitate communications across their sizeable network. “There was no true collaborative work [in previous solutions],” says YS Rao, Managing Director of NEcX.
Time-saving features were also in short shrift with the solutions they had tried in the past, says Rao. “It was complicated… There were too many steps.” Man hours were being wasted on inefficient solutions, affecting the company’s bottom line.
“Google Apps and OpenOffice.org… they were not flexible. [Compared to Office 2010], it was the difference between using a beat-up car and a luxury car,” he says.
After running a trial version of Microsoft Office, NEcX finally decided to deploy Microsoft Office Professional Plus 2010 with Windows 7 to over 300 seats across their enterprise in August 2010.
They also chose to subscribe to Microsoft’s Business Productivity Online Standard Suite (BPOS), which gives them access to a rich messaging and collaboration tools – including Microsoft Exchange Online email services, Microsoft SharePoint Online collaboration services, Microsoft Office Live Meeting for web conferencing and Microsoft Office Communications Online for presence and instant messaging -without the need to deploy and maintain software and hardware on-premise.
The positive reaction was immediate. “We’ve had a lot of enthusiasm from our employees using this product,” says Rao.
The usability, efficiency, and flexibility of NEcX’s new tool were also evident right away to Rao. “It’s elegant. It’s like using a gadget, a lovely gadget.”
The changes Microsoft Office Professional Plus 2010 brought to the work environment were just as quick in coming. Rao says: “After deploying Microsoft Office Professional Plus 2010, we could collaborate readily across all our offices more easily.”
Productivity increased across the enterprise thanks to the collaborative tools in Microsoft Office Professional Plus 2010 and BPOS. Seamless integration between the desktop and the online world gave NEcX the unified front they had been looking for.
For the first time, NEcX was working as a cohesive unit, despite the hundreds of miles between its branches.
A Streamlined Solution
One of the great strengths of Microsoft’s Office Professional Plus 2010 solutions was their clear understanding and implementation of shortcuts and other timesaving features. Microsoft’s offerings were streamlined and efficient. “In general, it is much more flexible. I can now navigate easily. It’s not a process,” says Rao.

Rao cites Outlook’s new Quick Steps and enhanced access via Exchange Online as some of the great time savers in his personal daily workload.
“I get close to 300 emails per day, “ says Rao, “out of which I need to recall maybe 10 percent every week… with the new connectivity features and using Outlook’s new Quick Steps to find the sender, I can clearly see 20 percent in my time savings.”
Microsoft Excel’s new Power Pivot Features were also a tremendous asset. “We were putting a lot of effort into converting numbers into graphs… it was quite complex. After the new Power Pivot features which [Microsoft has] introduced, I can convert tables easily and I can bring in, drag and drop.”
Microsoft Office Professional Plus 2010 is a more “flexible” tool, Rao says. “It makes it easy to represent then and there what you need, when you need it.”
This is especially clear via the enhanced graphic tools Microsoft Office 2010 has implemented across many applications. ”Now when I’m creating a presentation,” says Rao, “it’s much easier to just plug in and trim what I need for my requirements. It creates much more effective presentations. It’s fantastic.”
The easy access to online help NEcX gets has made a sizeable difference to efficiency as well, streamlining troubleshooting for the company. “Now the online support that we are getting from Microsoft is right at our fingertips. We are getting great help now.”
30 Percent Increase in Productivity
After implementing Microsoft Office Professional Plus 2010 and BPOS, Rao estimates that the company has experienced a 30 percent increase in productivity across the NEcX enterprise, thanks to improved inter-office communications using Microsoft Office Communications, Microsoft Office Live Meeting and Microsoft SharePoint Online.

Rao says: “BPOS has brought a lot of visual presence to our interactions across the company. Now we can easily submit and upload our internal reports to the Microsoft Server via SharePoint Online, and share these reports with our offices all over India for instant collaboration.
“SharePoint Online has made our lives much easier. For extending our work online, it’s much friendlier than any other automation out there today,” says Rao.
A Healthy Bottom Line
The net gains have been sizeable for NEcX, across the board. The increase in efficiency and flexibility in the workplace has translated directly to NEcX’s bottom line.
Rao cites the revenue benefits from his own increased efficiency as just the beginning of the uptick NEcX has experienced with its migration to Microsoft Office Professional Plus 2010. “Being the Managing Director of this company, my time is money. Saving 10 percent of my time with Microsoft translates to saving 10 percent for the bottom line of my company. And it goes on from there.”
A Productive Future
NEcX’s future technological deployments are bound to involve Microsoft solutions. The next deployment in line, will likely involve Microsoft’s latest cloud solution.
“We are eagerly awaiting Office 365 and we fully intend to deploy it internally,” says Rao. NEcX also intend to incorporate Office 365 into their current Dynamics CRM solution for servicing customers on demand in the cloud.
As NEcX moves into the future, they are looking forward to maintaining their productive relationship with Microsoft Office solutions.
