Work integration between headquarters and overseas offices via the cloud

With Office 365 as a focal point, many business tools are able to safely connect to each other, and each user's work environment is not limited, but has become available anywhere.

Nexstreaming is a software company that provides multimedia solutions for mobile devices to worldwide ICT corporations. The company has focused on multimedia for mobile devices and continued growing with the trend of smart phones, tablets, and smart TVs. Nexstreaming needed to upgrade its LOB (Line of Business) environment, including email, instant messaging, file-sharing, and project management, all of which are utilized by users at the headquarters and overseas offices.

When considering the organization structure and the business field, Nexstreaming decided that the cloud has an advantage over on-premises solutions, and adopted Microsoft Office 365. With Office 365, they are able to provide a standardized, integrated work environment to both the corporate headquarters and overseas offices, as well as to ensure always-available services 24 hours a day, 365 days a year.

Situation

Nexstreaming had provided users at headquarters and its overseas offices with email services operated on premises. The company also provided Google Apps for Business to those who frequently went on business trips. For communication, Skype was used for video meetings, and standard instant messaging inside of the company.

For document-sharing, the company took advantage of the ability to create public folders with the Microsoft Exchange Server email server. The sales department also shared some documents using Google Apps for Business. Due to the hybrid environment, it was not easy to increase efficiency and convenience throughout the organization.

It was clear to Nexstreaming that it was time for a new solution, and the replacement cycle of its email servers had come at the perfect time. Nexstreaming was determined to change its overall workflow infrastructure into a next-generation environment. The company heard about Office 365, and carefully examined it prior to its official release in South Korea.

Solution

In order to improve processes throughout its global business hub, from headquarters in Seoul, South Korea to the US, Europe, China, and Taiwan, Nexstreaming selected 'Plan E3' of Office 365. It provided a single solution for email, instant messaging, and collaboration, plus included business and technical support, an important factor for Nexstreaming.

Nexstreaming had been permanently archiving emails under their backup policies. When operating its on-premises email servers, extra backup storage just for emails was maintained separately. Plan E3 of Office 365 successfully satisfied all of the company’s data storage policies.

"Office 365 supports putting a feature of mailboxes on litigation hold. Once the feature is activated, the original mailbox items are still preserved on servers in the Microsoft data center, even if users delete emails from their mailbox," says Gu-Hyan Kim, IT Manager at Nexstreaming. While taking advantage of this feature, Nexstreaming is also able to permanently keep email messages, schedules, and mailbox items for retired accounts on its own servers by downloading them as PST files under the backup policies.

After it finished building the foundation for Office 365, Nexstreaming prepared to transition to Microsoft Lync Online as its standard instant messaging instead of Skype. At the same time, the company placed each Organizational Unit (OU) on Microsoft SharePoint Online, and each department built a team website so that it could seamlessly share files. After preparing the overall work environment, the Office client version was standardized as Office Professional Plus 2010 under Plan E3.

Even at the headquarters in Seoul, people from Canada, China, and Russia are working. At overseas offices, there are local employees as well as staff dispatched from South Korea. In the past, we provided services in English as a standard language; however now they can set up their work environment with their own language using Office 365,” says Gu-Hyan Kim.
