  • Get a quick snapshot of all your licenses. Fast access to your Microsoft License Statement provides a comprehensive overview of your volume licenses.

  • Estimate technology budgets more accurately. A quickly accessible overview of when you purchased each license enables you to estimate your technology budget more accurately.
  • Renew your contracts on time. Track your licenses to quickly see which ones are active and the date they expire.
  • Discover whether a license is covered by Software Assurance and for how long. Check to see if your license for a newly released software product is covered by your Software Assurance benefits. If the product is covered, you already own rights to the new version, and you may be entitled to other benefits, such as desktop deployment planning services.
  • Accurately plan installations. Organizations often purchase rights to software in advance of the release. Now you can see the starting date for each license, so you can calculate deployment strategies and training time.

The MLS tool is available to all eOpen members (organizations with 5 to 250 desktops). The tool provides fast access to your critical licensing information. This quick access complements the volume license management capabilities of the eOpen site. On the site, you can view your license agreements and Product Use Rights, update license contact information, access your Volume License Keys, download software, print licenses, and transfer licenses.

If your organization has more than 250 desktops, you can find an online tool that enables you to manage your software licenses for Open License Value, Select, and Enterprise agreements at Microsoft Volume Licensing Services (MVLS). From the MVLS site, you can view license purchases, obtain Volume License Keys and download software, activate and use Microsoft Software Assurance benefits, and manage access rights.

Step one: Collect your licensing information

Before you sign in for the first time, collect all your licensing information. The MLS tool works only if you enter all of your organization's contract information. It's easy to obtain this critical data.

  1. Start by contacting your current reseller (or one you plan to work with) and asking them to request the information from the distributor. With only 1,000 small resellers overall, just 10 Microsoft government resellers, and only 4 distributors for volume licensing in the United States, you can find the information you need quickly.
  1. If you need additional help, call the Microsoft Hotline (1-800-426-9400) to get live information about your purchasing history and other details.

Step Two: Enter your relevant licensing information into the MLS tool

Sign in to the MLS tool site, and create a password. On the License Statement page, identify your volume license programs, and then enter the authorization and license number for each license Agreement you want to appear in your Master License Statement.


Step Three: Manage your licenses across programs and agreements with the MLS tool

Get a quick snapshot of all your licenses. Just sign in, click License Statement, and then click the License Summary tab. A statement appears, calculating the license entitlements for all the license agreements in your account, including the license version you own, the number of licenses for each product, and whether the license is covered by Software Assurance benefits. You can easily calculate a new statement every month to reflect new agreements you have added.

Enter specific authorization and license numbers to quickly get information for one or more of your agreements, including the license agreement type, status, start and end dates, and the customer name associated with the agreement.
