By activating and using the Software Assurance training benefits, you can optimize key performance criteria, including business productivity, the application platform, and the core infrastructure. These benefits may include Software Assurance training vouchers and select Microsoft E-Learning courses, depending on the type of licenses purchased from Microsoft. Training benefits included with your Software Assurance coverage carry no additional cost.

Employees can take e-learning courses from any location, at any time. Employees can use training vouchers for classroom training at a time that is convenient for them.

IT professionals, developers, and information workers can find training that fits their specific needs.

You can choose Software Assurance at the time of software purchase, and you can begin using your benefits immediately for the term of your licensing agreement.

Products

Software Assurance E-Learning

Software Assurance e-learning is primarily designed for information workers, but there are also some courses available for IT professionals and developers. This benefit provides access to self-paced, interactive training that is approved by Microsoft technology experts. The training can be taken at a flexible time and location, minimizing the need for travel.

The Software Assurance e-learning benefit entitles organizations to receive select Microsoft E-Learning courses for a specific number of users. The number of users given access varies by product and by the number of qualifying software licenses with Software Assurance. For details, refer to the Microsoft Product List for Volume Licensing.

Software Assurance e-learning is divided into three categories:

  • Applications—Microsoft Office 2007, Office 2003, and other products

  • Systems—Windows Vista, Windows XP, and other products

  • Servers—Microsoft SQL Server, Microsoft Exchange Server, BizTalk Server, and other products

    It is important to note that if the Software Assurance E-Learning benefit does not offer the technical courses that meet your organization’s needs, different additional courses may be purchased at a discount under your Volume Licensing Agreement. Systems and Applications courses are offered in English, Chinese (Traditional and Simplified), Czech, French, Danish, Dutch, German, Italian, Japanese, Korean, Polish, Portuguese (Brazil), Russian, Spanish, and Swedish.

Server courses are offered in English, French, German, Japanese, and Spanish.

How to activate

Your organization's Software Assurance benefits manager activates the Software Assurance e-learning benefit through the Microsoft Volume Licensing Services site.

The benefits manager gives you an access code so that you can begin training. You can have up to three codes— one for each of the three e-learning categories: applications, systems, and servers.

The right to access the Software Assurance e-learning benefit expires with your Software Assurance coverage. If you start a course before the contract expiration, you have one year to complete it, regardless of your contract expiration date.

Software Assurance training vouchers

Software Assurance training vouchers enable IT professionals and developers to take classroom training courses ranging from Planning and Administering Windows Server 2008 Servers to Advanced SharePoint Development. Courses are taught by Microsoft Certified Trainers (MCTs) at Microsoft Certified Partners for Learning Solutions locations.

Eligible courses:

  • Those created for IT professional or developer audiences

Ineligible courses:

  • Those created for information workers—for example, Microsoft Office Excel, Word, and PowerPoint.

  • Hands-on labs, First-look clinics, or beta courses

Training vouchers entitle you to receive courses from a Microsoft Learning Solutions partner for a specific number of training days. The number of days given to an organization varies by product and by the number of qualifying software licenses with Software Assurance. To be eligible for training vouchers, you must have a minimum number of licenses covered by Software Assurance; this number varies by licensing program.

How to activate

Your organization's Software Assurance benefits manager activates training vouchers through the Microsoft Volume Licensing Services site.

The benefits manager then assigns training days and associated training vouchers to designated individuals.

The right to access training vouchers expires with your Software Assurance coverage. If you create a training voucher and reserve it with a qualified Learning Solutions partner before the expiration of your Software Assurance coverage, the voucher remains valid for 180 days after the date it was created. Any training voucher not reserved with a Learning Solutions partner before the end of your Software Assurance coverage will expire and be forfeited.

The courses are designed to help students gain a full understanding of Microsoft application, system, and server products that are available through their organization's Software Assurance coverage.

There are two distinct generations of courses:

  • The first generation of e-learning was developed for technologies such as Windows Server 2003, Windows XP, and Microsoft Office 2003.

  • The second generation of e-learning courses was developed for technologies such as Windows Vista, the 2007 Microsoft Office system, and other newer products.

Microsoft Software Assurance e-learning courses are arranged by:

  • Pool—A group of courses that represent a discipline, such as applications, systems, or servers.

  • Collection—A recommended grouping of courses that comprise a curriculum, such as "Core Training for Microsoft Office Word 2007."

  • Course—An individual course that can either be taken as a stand-alone subject or as part of a collection, such as "Getting Started with Microsoft Office Word 2007."

Not all courses are available in all languages.

Your Microsoft licensing agreement determines which courses are included with your Software Assurance e-learning benefit. In general, most Software Assurance customers have access to all three Microsoft e-learning categories: application (also known as information worker), system (also known as client), and server. Course access is dependent on the type of product licenses the organization acquired from Microsoft.

Application courses: Software Assurance customers have access to all application courses offered by Microsoft Learning. Examples include Microsoft Office 2003, the Microsoft Office 2007 system, and Microsoft Office SharePoint Server.

System courses: Software Assurance customers have access to a select number of system courses, including Windows XP, Windows Vista, and Microsoft Office SharePoint Server.

Server courses: Software Assurance customers have access to a select number of server courses. These are generally in the Designing series of courses on select Microsoft technologies. Additional IT professional and developer courses on server technologies are available for acquisition through Volume Licensing.

Application and system courses typically take about one hour to complete. Server courses take approximately two hours.

Courses are available in up to 15 languages other than English. These include Portuguese (Brazil), Chinese (Simplified), Chinese (Traditional), Czech, Danish, Dutch, French, German, Italian, Japanese, Korean, Polish, Russian, Spanish, and Swedish.

Online users can search the e-learning catalog by keyword, technology, language, collection, or audience.

Delivery options

There are three e-learning delivery options available to Software Assurance customers at no additional charge, depending on the type of licensing agreement:

  • Online access

    • Unmanaged access: Available online through the Microsoft E-Learning site. Employees manage their training.

    • Managed access: Available through the Microsoft Learning Central Business Web site. The manager or administrator creates customized training plans.

  • Sharable Content Object Reference Model (SCORM) downloads: Available through the Microsoft Volume Licensing Services site*

* Available only to Enterprise Agreement (EA) and Select Agreement customers

Other options are available for a fee. They include:

  • System integration solutions: Third-party vendors can integrate e-learning content with your existing Learning Management System.

  • Microsoft Learning reseller channel solutions: Third-party vendors can host e-learning content for you.

  • ContentHub solutions: Third-party vendors can integrate e-learning content with your existing AICC-compatible Learning Management System.

  • SCORM package files on DVD: Large account resellers may provide for a nominal fee.

Access

When you activate your Software Assurance e-learning benefit, you will receive an e-mail message from Microsoft with the access code for applications, systems, and/or servers course pools. The same access code is used by all students for the assigned pool, up to the number of licenses allocated to your company. For example, if your organization is allocated 50 licenses in the applications pool, a single access code can be used for up to 50 students.

Occasionally, corporate spam filters intercept e-mail from Microsoft. Check the junk mail folder of your e-mail software, or consult your e-mail administrator. Also, please ensure that the benefit has been activated.

Still can’t find the e-mail?

A.

First-time users can activate their access code by going to the E-Learning for Business page on the Microsoft Learning site. Returning users can access courses directly from the Software Assurance e-learning site.

A.

E-learning course assistance is available in various languages from Microsoft Regional Service Centers worldwide.

A.

From the time students start a course, they have up to 12 months to complete it before access expires. Courses must be started prior to expiration of their organization’s Software Assurance coverage.

Changing users

Access codes cannot be reassigned. After a user has activated an access code with their Windows Live ID, the code cannot be transferred to another user.

For those users that have access to all Software Assurance e-learning courses related to an access code(s), or pool, they have access until the Volume License Agreement expires. For users that have been assigned a customized training plan in the Microsoft Learning Central Business Web site, the administrator can revoke access to the e-learning courses.

Unused allocations

E-learning course subscriptions are available for the length of an organization’s Volume License Agreement with Microsoft. Unused subscriptions are not redeemable or refundable after expiration of the organization’s Software Assurance coverage.

Managing benefits

Yes. Benefits managers or training managers may use Learning Central to manage learning with customized training plans.

For anyone with access to Microsoft Volume Licensing Services, reporting is available at the Business Administration Center.

You can track the Software Assurance e-learning benefit for employees in your organization by using three primary reports:

Assessment Activity report: Presents an employee’s assessment associated with a particular course, including, but not limited to, start date, finish date, and the score, date, and time of the assessment attempt.

Course Activity report: Shows an employee’s progress associated with a particular course, including, but not limited to, course title, topics completed, and the date and time the course was accessed and completed.

Login Activity report: Reports an employee’s sign-in dates and duration of sign-in (in minutes).

Until employees have accepted the Data Sharing Notice, data is available only for e-learning courses in use, not courses related to specific students.

Windows Live ID

When employees create their Windows Live ID, they can use a personal or a corporate e-mail address—or they can create a new e-mail address.

A.

The Windows Live ID, combined with an e-learning access code, helps Microsoft manage student progress. This tracking enables Microsoft to return the student to the location where they left off in a course, to provide the transcript of training they have completed, and to list the courses they have selected from the catalog.

Companies with Software Assurance coverage can download SCORM 1.2 package files directly from Microsoft. This allows e-learning to be used without a Windows Live ID. SCORM 1.2 package files must be hosted in a SCORM-compliant Learning Management System (LMS). The Server pool of courses is not available with this option.

Offline use

The offline player cannot be distributed across an organization's network.

The offline player requires that students initially activate and access Software Assurance e-learning content online, and then students can download courses for offline use. This option is useful for people who want to continue training without Internet access—for example, while traveling. Student records from offline work are updated to the server with each new online session.

The offline player is not a substitute for online e-learning, but is an option for using online content while disconnected from the Internet.

Behind-the-firewall solutions

One option is available: Software Assurance e-learning via SCORM 1.2 packages. SCORM 1.2 packages must be hosted in a SCORM 1.2-compliant Learning Management System (LMS).

The SCORM 1.2 content-only files can be purchased as a media kit for a small fee from your Large Account Reseller (LAR). In most cases, the media kit contains one or two DVDs that contain all courses for a pool. Microsoft has limited staffing for SCORM support. Please contact your Learning Management System (LMS) vendor or consultant regarding loading or using your LMS. Microsoft has made every effort to ensure operability with most commercial LMS products that comply with SCORM 1.2 standards. SCORM 1.2 package files are licensed for use for the duration of your Software Assurance coverage with Microsoft. If your Software Assurance coverage expires, access to SCORM 1.2 content must be disabled and the course files deleted from your LMS.

The courses are Microsoft intellectual property and are provided as a complete course. No part of the course can be removed, replaced, copied, reproduced, distributed in any format, or modified.

Microsoft defines the SCO at the course level. The entire course is a single SCO.

MeLL is the acronym for Microsoft E-Learning Library. It is a discontinued e-learning product that Microsoft provided as a behind-the-firewall solution without the need for a Learning Management System. MeLL was discontinued in June 2006. Currently there is no solution for a behind-the-firewall solution without using an LMS.

Although MeLL is discontinued, and generally the courses are not available online, downloadable versions of MeLL (Microsoft Office 2003 and earlier) are available to Software Assurance customers through Microsoft Volume License Services.

Microsoft does not sell Learning Management Systems, but Microsoft does provide a free Web site, called Learning Central, which you can use to manage your Official Microsoft E-Learning courses. Additionally, you can find several LMS vendors in the marketplace. Also, a community-supported SharePoint Learning Kit (SLK), originally developed by Microsoft, is available at the SharePoint Learning Kit site (English only).

Note This is a community-supported LMS, and Microsoft does not provide support for the SLK.

  • Guaranteed pricing: Microsoft has already set the pricing for the training with the Learning Solutions partners. Customers only need to know that one training voucher day equates to one classroom training day.

Yes, all courses offered through Microsoft Learning Solutions partners must be led by MCTs.

The training days given to your organization last the duration of the agreement. For example, if you have a three-year agreement, you have three years to use your training days.

Training vouchers remain valid for 180 days from their creation date. If a voucher is not used by the designated employee within 180 days, it is revoked automatically, and the days go back into the company pool of days to be used by someone else.

The number of training days depends on the number and type of product licenses purchased from Microsoft with Software Assurance coverage.

How it works

First, ensure that you have a list of employees for whom you wish to create training vouchers. Second, know the length of the courses for which you want to create training vouchers. Finally, go to the Microsoft Volume Licensing site to create the vouchers.

Note You will not be required to enter the name of the course—only the length.

A.

The training voucher must be created for the length of the course. If the voucher was created for fewer days than the length of the course because your organization has no additional days to add, the difference in days must be paid directly to the Learning Solutions partner.

A.

If a designated employee uses their voucher with a value greater than the course duration, the Learning Solutions partner will only be reimbursed for the actual length of the course. Unused training voucher days will be automatically credited to your organization after the voucher is paid to the Learning Solutions partner.

A.

To change the status of a training voucher from assigned back to the eligible pool of days, you must revoke it in the system.

A.

The trainee must provide the training voucher number and the e-mail address they used when they created the voucher. If one of these items is incorrect, the Learning Solutions partner will not be able to validate the voucher.

Employees must provide the benefit manager’s e-mail address, along with the voucher number, when reserving the voucher. They must also provide their own work e-mail address to the Learning Solutions partner.

No, Software Assurance training vouchers exist in electronic format only. A designated employee could print out the reservation confirmation page and submit it to the Learning Solutions partner for verification if requested. The reservation confirmation page is sent to the employee automatically when the voucher is created.

Eligible courses

No, only those courses that are for the IT Professional or Developer audience that are not First Look Clinics, hands-on labs, or on Beta material are eligible at this time. In addition, Dynamics CRM courses are also eligible. Courses for Information Workers such as Excel, Word, PowerPoint, etc., are not eligible at this time. Some Dynamics CRM courses are eligible to be taken using SATV.

Class cancellation

The trainee contacts the Learning Solutions partner to indicate that he or she is no longer taking the class. The individual Learning Solutions partner's cancellation policies apply.

The employee’s organization is responsible for the costs associated with a late cancellation. It is important to understand the individual Learning Solutions partner’s cancellation policies before cancelling a course after the course cancellation date.
