Link Excel data to Powerpoint ? in PowerPoint General Questions

  Question
  I have a map of the USA in a PPT presentation and a text box placed in each
state. Once a month, I receive an excel spreadsheet with sales data for each
state. Is there a way to link the text boxes with the excel spreadsheet so
the data will update automatically instead of me having to go into each
state, each month, and update manually?

  Answer
  In Microsoft Excel, select the range of cells you want to link, and then
click Copy.
Switch to Microsoft PowerPoint, and then click the slide or notes page where
you want to insert the linked copy of worksheet cells.
On the Edit menu, click Paste Special.
Click Paste link.

  Just keep in mind that the XL file must first be saved for linking to
stick.

AND, don't move your files or your links will break.

  I did the above suggestions to link Excel worksheets to Powerpoint which
works when I'm in Normal view in Ppt. However, when I'm in Slideshow view,
the links don't work. You say the Excel file must be saved for linking to
stick? What does this mean/how do I do that?

  What do you mean, the links don't work in slide show view? Are you trying to
click the cells and open an Excel workbook during a presentation? If so,
that's different than the kind of links Brian and John are describing.

  Yes, I have icons that I want to be able to click on during my powerpoint
presentation which will bring me to the Excel workbook. Is this possible?

Try adding an action setting, Hyperlink to:, Other file and pick your XLS file.

When you click on the link during a slide show, PPT will launch the XLS file.

Depending on version and your settings, it may insist on displaying a warning
message about viruses and stuff before it lets you launch the XLS file.

There's a fix for that, at least on your own PC.

  Thanks. I did the same thing to 3 icons that I have, and one of them works
great, opening the Excel workbook, while the other two give me a box that
says "Cannot open the specified file". Do you know how to fix this problem?

Try editing the hyperlink and put quotes around the filename.

  Thanks. My links work now! I right clicked on the icon, went to Action
Settings, and instead of clicking the bullet for "Hyperlink to:", I clicked
the bullet "Object Action:" and put it on Edit in the drop-down menu.

  Right-click the icon, choose Action Settings.

On the Mouse Click tab, click Hyperlink To and choose Other File from the
dropdown list.

Navigate to your Excel file and choose it.

Run the presentation in slide show view to test the links.

  Yes - got that thanks. Do you know why two of my three icons won't work in
my powerpoint presentation? I get a "Cannot open specified files" box instead
when I click on them. The other icon works perfectly.

  Sorry, I don't know. (Apologies for my late post, too. My signature block is
making posting spotty.)

Anyway, only thing I can think of is spaces in the file name. I think
Steve's suggestion to add quotation marks around the file name is a good
thing to try. Either that, or rename the files, as I suppose it could also
be an issue of path length, and a really long file name could contribute to
that.
