Chapter 6: The Upgraded Application Templates for WSS

The application templates for Windows SharePoint Services are out-of-the-box site templates that can be used to create applications based on specific business scenarios.

If your group or organization has been using one of the WSS 2.0 versions of the application templates to create new sites, you may find when you upgrade to WSS 3.0 that the application template does not work correctly in a WSS 3.0 environment.

This solution accelerator provides upgraded versions of the WSS 2.0 application templates that function in a WSS 3.0 environment and contain the new WSS 3.0 features. If you have been using one of the WSS 2.0 application templates, select and install the equivalent upgraded version of the application template on your WSS 3.0 server.

About the Upgraded Application Templates for WSS

The Upgrade Toolkit for Windows SharePoint Services Sites and Templates includes a set of application templates that:

Are based on the original set of WSS 2.0 application templates offered on Microsoft TechNet.

Have been upgraded to function in a WSS 3.0 environment.

Include WSS 3.0 features. These  application templates include  WSS 3.0 upgraded functionality, such as:

Recycle bin

Folder item level security

E-mail to list

Site Actions button

Breadcrumbs

Mobile views

RSS feeds

Versioning in document libraries

For more information about these features, read the “WSS 3.0 Features Enabled in the Upgraded Site Templates” section in Chapter 2 of this guide. Other WSS 3.0 features may be available as well, depending on the configuration of your server.

Descriptions of the Upgraded Application Templates

The following table describes the functions of each of the upgraded application templates. Many of these application templates come in two versions:

Basic. This version uses the traditional WSS user interface.

Customized. This version uses a changed look and feel.

For the application templates that come in two versions, both versions may be upgraded.

This template creates an application that can be used by a Board of Directors or Executive Board to track required tasks, keep member information, manage a calendar of meetings and activities, host discussions about key issues, and store mission, financial, business, meeting minutes, and other information.

Case Work Management Application Template

This template creates a single site for case workers to manage their case loads and client information. This site is intended for one case worker managing multiple cases and is designed to simplify the process of executing new case interviews, creating reports, organizing case information, and managing case load issues.

Change Management Application Template

This template creates an operating environment for managing the Change Order process for a professional services project and serves as a mechanism for tracking past changes along with their reasons and effects.

Classroom Management Application Template

This template creates a site where teachers can post information about a single class including lesson plans, assignments, tasks, key contacts, grading forms, and student information.

Competitive Intelligence Dashboard Application Template

This template creates an application that is designed to improve the organization of Competitive Intelligence-related materials and communication about competitive issues among sales, public relations, marketing, product or service management, and executive personnel.

Discussion Database Application Template

This template creates an application that allows team members to create, review, and reply to discussion topics. Team members can send discussion items to other team members for review, attach documents to discussion items, and set alerts to receive notification when a discussion item is added or changed.

Document Library Application Template

This template creates an application that allows team members to create, upload, check out, review, and modify documents.

Employee Absence Request and Vacation Schedule Management Application Template

This template creates an application that provides a central place for managers and employees to see when team members will be out of office, make vacation requests, and find links to individual job sites so that a co-worker can easily cover for someone who is out.

Employee Activities Site Application Template

This template creates an application for employees to communicate about organization clubs, teams, and events. Using this application, employees can sign up for activities, access contact and schedule information, participate in discussions and surveys, and view activity photos.

Employee Timesheet and Scheduling Management Application Template

This template creates an application that managers of businesses with hourly employees can use for reviewing and approving timesheets, posting shift and schedule information, making announcements, storing key documents, and surveying their teams for feedback on various issues. Employees can use this site for submitting their timecards, viewing their assigned shifts, getting updates on job-related information, and requesting schedule changes using discussions.

Employee Training Application Template

This template creates an application that employees can use to easily find and sign up for training opportunities related to their roles or departments. Human Resources or Training managers can track such information as training location schedules, numbers of attendees, and required reading materials. They can also post announcements and send surveys about training issues.

Event Coordination Application Template

This template creates an application for managing event coordination—from event scoping to organizing tasks and key dates, storing vendor information, posting event-related documents, inviting attendees, and evaluating the event.

Expense Reimbursement Request Application Template

This template creates an application for managing the expense report process. It allows users to submit new expense reports, post and find expense guidelines and helpful links, and view expense reports by department, person, type, date, or status.

Help Desk Dashboard Application Template

This template creates an application that features several tools to assist a help desk or customer service team in managing requests and in improving team communication.

HR Programs and Services Forms Application Template

This template creates an application that employees can use to sign up for Human Resources (HR) programs and services. HR managers and benefits administrators can also use the application to view new requests and keep track of all past requests.

IT Developer Team Site Application Template

This template creates an application that provides a central place for developers to access code snippets, track assignments and key dates, manage issues, store contact information, maintain a knowledge base, and communicate through discussions, surveys, and announcements.

Legal Document Review Workflow Management Application Template

This template creates an application for organization legal departments to post legal documents and templates, communicate requirements and processes, and provide contact information. It also features a legal document review tool for managing, prioritizing, and tracking employee requests to review contracts and documents.

Loan Initiation Management Application Template

This template creates an application to help small brokers and banks track documentation and progress on home, car, and other loans. It provides a central site for accessing financial calculators, forms, announcements, team surveys, and discussions.

Marketing Communications Campaign Site Application Template

This template creates an application for marketing managers to manage the creation of marketing plans and presentations, track tasks, maintain a campaign events calendar, organize contacts, and communicate the goals, objectives, and key deliverables for a particular marketing communications campaign.

Meeting Management Site Application Template

This template creates an application for meeting facilitators to post announcements, schedules, attendee lists, supporting materials, objectives, location information, and past meeting minutes.

New Product Development Application Template

This template creates an application for product development teams to share contact information, links to important sites, tasks, calendar, and new product planning documents. It also provides a place for executive management to view details about a new product development process and status.

Performance Review Management Application Template

This template creates an application for Human Resource managers to manage the performance review process across an organization. It is a central site for organizing performance review forms, employee performance history, and related information.

Professional Services Contractual Setup Management Application Template

B, C

This template creates an application for professional services organizations to manage the initiation step of a client engagement. It provides a collaboration platform for team members to communicate on the timeline, process, and issues related to the drafting, approval, and completion of engagement contractual documentation. It also includes InfoPath forms to simplify and automate the creation of new Statements of Work and other project initiation documents.

Professional Services Site for Engagement Team Resourcing Application Template

This template creates an application for Windows for organizing the resource request and approval process using simple-to-use InfoPath forms with built-in request and approval functionality. It also provides the capability to search for resources according to specific business areas or other criteria.

Project Team Site Application Template

B, C

This template creates an application for a project manager and team to collaborate during all phases of the project life cycle from initiation to close out. It is designed to help the project manager easily track the status of tasks, issues, key dates, deadlines, costs, and best practices through the use of customized lists, document libraries, surveys, and discussions.

Public Official Activity and Issue Management Application Template

This template creates an application that allows public officials to keep track of their key tasks, calendars, documents, links, and communications with constituents and special interest groups.

Public Relations Work Site Application Template

This template creates an application for PR departments to centrally organize media contacts; store press releases, market research, and other data; collaborate on PR campaigns, documents, and activities; track tasks and events; and communicate goals and objectives.

Publication Editorial Review Application Template

B, C

This template creates an application that provides a central place for editors, staff, and contributors to collaborate on the editing process for a publication such as a magazine, newspaper, or book.

Recruiting Resource Center Application Template

B, C

This template creates an application that provides an easy, organized way to handle the recruiting process including opening job requisitions, reviewing résumés, managing candidates, facilitating interview cycles, and collecting post-interview feedback.

Request for Proposal Management Application Template

B, C

This template creates an application for managing the Request for Proposal (RFP) process—from writing the RFP document to inviting prospects, managing the timeline and project plan, tracking RFP responses, and evaluating the proposals submitted.

Room and Equipment Reservation Application Template

This template creates an application for organizing conference room, conference call, and meeting equipment availability, and for making requests to reserve these facilities.

Team Work Site Application Template

This template creates an application for team members to keep informed of important news, monitor team tasks and their progress, schedule team meetings, and store and retrieve important team reference documents.

Travel Request Application Template

This template creates an application for travel requests and approval processes. The application includes a calendar that indicates when workers are out and where they are, a travel request form, and summaries of requests that must be approved.

*B stands for the basic version of the template

**C stands for the customized version of the template

Install the Upgraded Application Templates

The upgraded WSS application templates are available as downloads on the Upgraded Application Templates for Windows SharePoint Services page at http://www.microsoft.com/sharepointapps

After you download the templates, you upload them to the site template gallery of the top-level SharePoint site where you want them available.

To download the upgraded application templates

1.

On the Upgraded Application Templates for Windows SharePoint Services page, select the download package.

2.

On the Microsoft Download Center page, click Download.

3.

In the File Download dialog box, click Save, and then save the program (.exe) file to your WSS 3.0 server.

4.

Open the folder containing the downloaded program file, and double-click it.

5.

In the Open File box, click Run.

6.

In the license agreement box, click Yes to accept the terms of the license agreement.

7.

In the location box, specify a location on the WSS 3.0 server where you want to place the extracted template files, and then click OK.

The template (.stp) files are extracted.

To upload the extracted template files to the WSS 3.0 server

1.

In a browser window, open the top-level WSS 3.0 site where you want to upload the extracted templates, and then click Site Settings.

2.

On the Site Settings page, under Galleries, click Site templates.

3.

On the Site Template Gallery page, click Upload.

4.

On the Upload Template page, click Upload Multiple Files.

5.

On the Upload Document page, in the left pane, navigate to the location where you saved the templates.

6.

In the right pane, select the check box next to each template you want to upload, and then click OK.

7.

On the Site Template Gallery page, to change the name, title, or description of the template, click the Edit  TWSSST11.gif icon next to the template title.

8.

On the Edit Item page, change the default value in the Name, Title, or Description box, and then click OK.

The templates are uploaded and appear in the site template gallery.

To create a new site using the application template

1.

In a browser window, open a SharePoint site in which the application template is available in the site template gallery.

2.

Click Site Actions, and then click Create.

3.

In the Web Pages section, click Sites and Workspaces.

4.

Complete the information for the new site, selecting the application template from the Template Selection list, and then click Create.
