Send and receive e-mail

You can send and receive e-mail with your device the way that you do on your computer. This includes e-mails with attachments such as text files, photos, sound files, and short videos. Your device can run multiple e-mail accounts at the same time.

You can reach all of your e-mail accounts through Messaging. This list shows when there are messages in the inbox(es) by displaying the number of messages next to the name of each account.

You can also access Internet e-mail accounts that you have set up on your computer through an Internet service provider (ISP) such as Hotmail or Yahoo! Mail. Messages sent to those accounts can be scheduled for automatic delivery to your device. For more information, see Set up synchronization with an Internet service provider or a mobile operator.

You can configure your device to notify you with a sound when e-mails are received.

In addition, you can use ActiveSync or Windows Mobile Device Center (WMDC) to synchronize directly with a Microsoft Exchange Server account or with Microsoft Outlook on your computer. This will enable you to synchronize Outlook e-mail, calendar events, contacts, favorites, and tasks. To send and receive e-mail for an Outlook e-mail account, begin synchronization through ActiveSync or WMDC.

Note
ActiveSync on your device works with WMDC on Windows Vista, and with ActiveSync on Windows XP.

Set up e-mail accounts

This section shows you how to set up different types of e-mail accounts.

Set up an Exchange Server account

Microsoft Exchange Server provides messaging and collaboration services that enable you to send and receive e-mail through a computer network. If your organization uses Exchange Server, you can synchronize your work e-mails, calendar updates, voice mail, and contact information between your device and the server while at work or traveling.

If Microsoft Outlook is installed on your computer, you can synchronize e-mail with either Outlook or Exchange Server.

To set up the account, you must obtain the name of the Exchange Server and the server domain name from your service provider or system administrator. You must also know your Exchange user name and password.

Notes

  • ActiveSync on your device works with ActiveSync on Windows XP, and with Windows Mobile Device Center on Windows Vista.
  • You can install only one Microsoft Outlook account on your device. If Microsoft Outlook is already installed on your device, you will be unable to perform the following procedure.
  • Tap Start > Messaging > New E-mail Account.
  • Enter your e-mail address, and then tap Next.
  • Under Your e-mail provider, tap Exchange server, and then tap Next.
  • Tap Next.
  • Enter the server address, and then tap Next.
  • Enter your user name and network password, and the name of the domain to which your computer is connected.
  • Select Save password to synchronize your device with your computer automatically, and then tap Next.
  • Select E-mail and any other data that you want to synchronize with Exchange Server, and then tap Finish.

Set up e-mail synchronization with an Internet service provider or a mobile operator

An Internet e-mail account is an account you access on the Internet through an Internet service provider (ISP) such as Microsoft Live Hotmail or Yahoo! Mail. If you already have an e-mail account with an ISP or a mobile operator, set up e-mail synchronization between your device and that account by using this procedure.
  • Tap Start > Messaging > New E-mail Account.
  • Enter your e-mail address.
  • To get e-mail server settings automatically, select Try to get e-mail settings automatically from the Internet.
  • Tap Next.
  • After Auto Setup has finished, tap Next.
  • Enter your name, and then tap Next.
  • Enter your user name and password for the Internet e-mail account.
  • Select Save password, and then tap Next.
  • In the Automatic Send/Receive field, select how often you want the device to synchronize with your Internet e-mail account.
  • Tap Finish.

Customize Internet e-mail account settings

  • Tap Start > Messaging, and then scroll to the Internet e-mail account.
  • Tap Menu > Options.
  • On the Accounts, Message, Address, and Storage tabs, change account settings as appropriate.
  • Tap OK.

Compose and send e-mail

If you have an e-mail account, you can compose and send e-mails. This section shows you how.

Compose and send an e-mail

  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Tap Menu > New.
  • In the To field, enter the recipient's e-mail address, or to insert an e-mail address from your contacts, tap Menu > Add Recipient, and then select a name.
  • In the Subject field, enter a brief description of the message content.
  • Scroll to or tap the message area and enter your message.
  • Tap Send.
Tip
To cancel a message before you send it, tap Menu > Cancel Message, and then tap No.

Change options when you send an e-mail

In the Message Options menu, you can change the message priority and language. For Outlook e-mail using an Exchange Server, you can also set permissions and change security options for encrypting and signing e-mails.
  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Do one of the following:
    • To create a new message, tap Menu > New.
    • To reply to an existing message, scroll to it, and then tap Menu > Reply > Reply.
  • Before you send the e-mail, tap Menu > Message Options.
  • Scroll to and select the options that you want to change.
  • Select the settings that you want for each option.
  • Tap OK.
  • Complete the e-mail and tap Send.

Send an e-mail from call history

You can send an e-mail to a phone number listed in your call history if you have an e-mail address associated with that phone number.
  • Tap Start > Phone > Call History.
  • Scroll to and then tap the contact to which you want to send an e-mail.
  • Tap Menu > Open Contact.
  • Scroll to and then tap Send e-mail.
  • Tap an e-mail account.
  • In the Subject field, enter a brief description of the message content.
  • Scroll to or tap the message area and enter your message.
  • Tap Send.

Send an e-mail to a contact

You can send an e-mail to a contact listed in Contacts if you have an e-mail address associated with that contact.
  • Tap Start > Contacts.
  • Scroll to and then tap the contact.
  • Scroll to and then tap Send e-mail.
  • Tap an e-mail account.
  • In the Subject field, enter a brief description of the message content.
  • Scroll to the message area and enter your message.
  • Tap Send.
Note
If the contact does not have an e-mail address, you will be unable to select it. Add the missing information for the contact and then send the e-mail.

Change e-mail sending options

You can save copies of sent messages on your device, and include the body of the original message when replying to messages.
  • Tap Start > Messaging.
  • Scroll to the e-mail account for which you want to change options.
  • Tap Menu > Options.
  • Tap the Message tab and change sending options, as appropriate.
  • Tap OK.

Add a picture to an e-mail

  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Tap Menu > New.
  • Tap Menu > Insert > Picture.
  • Tap the picture you want to add.
  • Complete the e-mail and tap Send.

Add an attachment to an e-mail

  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Tap Menu > New.
  • Tap Menu > Insert, and then tap a file type (Picture, Voice Note, or File).
  • Scroll to and tap the attachment that you want to add.
  • Complete the e-mail and tap Send.

Download a complete e-mail

The e-mail inbox on your device will display only the headers and part of the text of new e-mails. When you open an e-mail, it will display only part of the message unless the e-mail is very short. You must download the e-mail to retrieve the complete content.
  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Select the message to download.
  • Tap Menu > Download Message.
  • The complete message will be retrieved the next time that you synchronize or connect to your e-mail server to send and receive e-mail.
Note
If your company uses Microsoft Exchange Server 2007, your device will automatically try to connect to the server without waiting until the next time that you synchronize.

Tip
You can set the device to always download whole messages by changing the download size limit in ActiveSync. If your device is connected to your computer by a USB cable, disconnect it. Tap Start > Programs > ActiveSync. Tap Menu > Options. Scroll to E-mail, and then tap Settings. Change the Download size limit as you want.

Reply to or forward an e-mail

  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Scroll to a message, and then do one of the following:
    • To reply, tap Menu > Reply, and then tap Reply or Reply All.
    • To forward the message, tap Menu > Reply, and then tap Forward. Then enter a recipient in the To field.
  • Enter your message in the message area.
  • Tap Send.
Note
If you are replying to an e-mail in the Outlook E-mail account, you will send less data if you do not edit the original message. This may reduce wireless data transfer costs, depending on your service plan.

Download and view an e-mail attachment

  • In an open message that has an attachment to download, tap the attachment. The attachment will be downloaded the next time that you synchronize or connect to your e-mail server to send and receive e-mail.

Notes

  • If there are multiple attachments in the message, all attachments are downloaded.
  • If your company uses Microsoft Exchange Server 2007, the attachment downloads immediately, without waiting until the next time that you synchronize.
  • Only supported file types can be opened on your device.

Create or change an e-mail signature

  • Tap Start > Messaging, and then scroll to an e-mail account.
  • Tap Menu > Options.
  • Tap Signatures.
  • In the Select an account field, select the name of the e-mail account, if it is not already selected.
  • Select the Use signature with this account check box.
  • Select the Use when replying and forwarding check box, if you want.
  • Enter your signature and then tap OK. The signature will appear the next time that you send an e-mail.

Send and receive Internet e-mail

An Internet e-mail account is accessed through an Internet service provider (ISP), such as Microsoft Live Hotmail or Yahoo! Mail.

When you set up an Internet e-mail account, you can have it download e-mail automatically at certain intervals, or download e-mail only when you request it.

  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Tap Menu > Send/Receive.

Manage accounts

This section shows you how to manage multiple e-mail accounts.

Move quickly between messaging accounts

If you are working in one messaging account and have to switch to another, you can do so quickly through a menu option.
  • From your open messaging or e-mail account, tap Menu > Go To, and then tap the account you want to open.

Delete an e-mail account

  • Tap Start > Messaging.
  • Scroll to the e-mail account you want to delete, and then tap Menu > Delete.
  • Tap Yes to confirm.
Note
You can only delete personal e-mail accounts that you have added, such as a Microsoft Live Hotmail or Yahoo! Mail e-mail account. You cannot delete an Outlook e-mail account or other e-mail accounts that are managed by your company.

Manage e-mail folders

If you receive or send lots of e-mails, the advice in this section can help you manage your e-mail account(s).

Delete an e-mail

  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Scroll to the e-mail that you want to delete, and then tap Delete.
  • Tap Yes to confirm.
Note
Messages deleted from an Outlook E-mail account will be deleted from Outlook on your computer or Exchange Server the next time that you synchronize.

Move an e-mail to a different folder

You can move messages from the inbox or sent items folder to a default folder, or to a folder that you have created for a specific purpose.

To move an e-mail from the inbox to a different folder:

  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Scroll to the e-mail that you want to move.
  • Tap Menu > Move.
  • Tap the folder to which you want to move the message, and then tap Select.

To move an e-mail from another folder:

  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Tap Menu > Go To > Folders, and then tap the folder that contains the message that you want to move.
  • Scroll to the e-mail that you want to move.
  • Tap Menu > Move.
  • Tap the folder to which you want to move the e-mail, and then tap Select.

View e-mails in a different order

You can change the display order of e-mails in the inbox and other folders on your device, similar to the way that you would in Outlook on your computer.
  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Tap Menu > Tools > Sort By, and then tap one of the following:
    • Message Type, to arrange messages by kind, such as read and unread
    • From, to arrange messages alphabetically by senders’ names
    • Received, to arrange messages in chronological order
    • Subject, to arrange messages alphabetically by subject
Tip
To change the order of messages from ascending to descending or from descending to ascending, repeat step 3.

Mark an e-mail as read or unread

  • Tap Start> Messaging, and then scroll to and tap an e-mail account.
  • Scroll to the e-mail that you want to mark, tap Menu, and then tap Mark as Unread or Mark as Read.

Empty the Deleted Items folder

To free storage space, you can empty the Deleted Items folder in your e-mail account(s).
  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Tap Menu > Tools > Empty Deleted Items.
  • Tap Yes to confirm.

Manage drafts

You can save drafts of e-mails that you write, and send them later. This section shows you how.

Save an e-mail draft

  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Tap Menu > New.
  • In the To field, enter the recipient's e-mail address, or to insert an e-mail address from your contacts, tap Menu > Add Recipient, and then select a name.
  • In the Subject field, enter a brief description of the message content.Scroll to the message area and enter your message.
  • Tap Menu > Save to Drafts.

Send an e-mail draft

An e-mail message that you have saved in draft form can be sent from your Drafts folder.
  • Tap Start > Messaging, and then scroll to and tap an e-mail account.
  • Tap Menu > Go To > Folders.
  • Scroll to and tap Drafts.
  • Tap the draft e-mail that you want to send, and then tap Send.

Set up e-mail accounts

This section shows you how to set up different types of e-mail accounts.

Set up e-mail synchronization with Microsoft Outlook

You can increase your productivity when you are away from the office by setting up an account to wirelessly access Outlook e-mail, contacts, calendar appointments, and tasks from a Microsoft Exchange Server.

To set up the account, you will need to get the name of the Exchange Server and the server domain name from your service provider or system administrator. You must also know your Exchange user name and password.

  • Click Start > Messaging > New Email Account.
  • Enter your e-mail address.
  • Clear the Try to get email settings automatically from the Internet check box.
  • Click Next.
  • In the Your email provider field, select Exchange server, and then click Next.
  • Click Next.
  • In Server address, enter the name of the Exchange Server.
    To receive personal information more securely, select Require SSL connection, and then click Next.
  • To receive personal information more securely, select Require SSL connection, and then click Next.

    Note
    If you select this and your ISP does not support an SSL connection, you will be unable to receive e-mail.

  • Enter your user name, password, and server domain name.
    If you want the device to save your password so that you do not have to enter it every time that you re-connect, select the Save password check box, and then click Next.
  • Select the check boxes for the types of information that you want to synchronize with Exchange Server.
    • To change conflict-resolution and event-logging options, click Menu, click Advanced, make changes as appropriate, and then click Next.
    • To change settings for a specific information type, scroll to that information type, click Menu > Settings, make changes as appropriate, and then click Done.
  • Click Finish.

Set up a Windows Live Hotmail account through Messaging

You can set up your device to access your Windows Live Hotmail account for sending and receiving e-mail. Note
Your device must have an Internet connection before you can perform this procedure.
  • Click Start > Messaging > New Email Account.
  • Enter your e-mail address.
  • Make sure the Try to get email settings automatically from the Internet is selected and click Next.
  • Click Next again.
  • Click Accept.
  • Enter your e-mail address and password, and then click Next.
    Clear the Save password check box if you do not want the device to remember your password.
  • Clear the Live Search bar and Windows Live services check boxes if you do not want those options to appear on the Home screen, and then click Next.
  • Make sure the check boxes next to Contacts and Messenger and E-mail are selected if you want to synchronize that information. Make sure the Merge duplicates with Outlook check box is selected if you want your Messenger contacts to show in your on-device contact list.
  • Click Next. The device will attempt to synchronize with your Hotmail account.
  • Click Done if needed.

Set up e-mail with an Internet service provider or a mobile operator

An Internet e-mail account is an account that you access on the Internet through an Internet service provider (ISP), such as Windows Live Hotmail or Yahoo! Mail. Note
Your device must have an Internet connection before you can perform this procedure.
  • Click Start > Messaging > New Email Account.
  • Enter your e-mail address.
  • To obtain e-mail server settings automatically, select Try to get email settings automatically from the Internet.
  • Click Next. If you chose not to use the Auto Setup, go to step 6.
    Auto Setup tries to download necessary e-mail server settings so that you do not have to enter them manually.
  • When Auto Setup has finished, click Next.
  • Enter your name, and then click Next.
    If the Auto Setup failed or if you chose not to use it, you must enter your Incoming mail server and Account type information, and then click Next.
  • Enter your user name and password for the Internet e-mail account, select Save password, and then click Next.
    If the Auto Setup failed or if you chose not to use it, you must enter your Outgoing (SMTP) mail server information, and then click Next.
  • In the Automatic Send/Receive field, select how frequently you want the device to synchronize with your Internet e-mail account.
  • Click Finish.

Customize Internet e-mail account settings

  • On the Home screen, click Start > Messaging.
  • Scroll to your Internet e-mail account and press ENTER.
  • Click Menu > Tools > Options > Account Settings.
  • Change your Internet e-mail account information in the following screens, as necessary.
  • Click Finish.

Compose and send e-mail

If you have an e-mail account, you can compose and send e-mail. This section shows you how.

Compose and send an e-mail

  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Click Menu > New.
  • Enter an e-mail address, or to select an e-mail address from your contacts, click Menu > Add Recipient, and then select a contact from the list.
  • Enter the subject, and then enter your message.
  • Click Send.

Change options when you send an e-mail

In the Message Options menu, you can change the message priority and language. For Outlook e-mail using an Exchange Server, you can also set permissions and change security options for encrypting and signing e-mail.
  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Do one of the following:
    • To create a new e-mail, click Menu > New.

  • Before you send the e-mail, click Menu > Message Options.

You can send e-mail to a phone number listed in your call history if you have an e-mail address associated with that number.
  • On the Home screen, click Start > Call History.
  • Scroll to the contact to whom you want to send an e-mail.
  • Click Menu > Email, and then select an e-mail account.
  • Enter the subject and body text, and then click Send.

Send an e-mail to a contact

  • On the Home screen, click Start >Contacts.
  • Scroll to the contact you want to e-mail and press ENTER.
  • Scroll to Send email and then click Email.
  • Scroll to an e-mail account and press ENTER.
    A new e-mail form will open, ready for you to complete and send.
  • Enter the subject line and body text, and then click Send.
Note
If the contact does not have a phone number or e-mail address, you will be unable to select the contact. Add the missing information for the contact.

Change e-mail sending options

You can save copies of sent messages on your device, and include a copy of the original message when replying to messages.
  • On the Home screen, click Start > Messaging.
  • Scroll to the e-mail account for which you want to change options and press ENTER.
  • Click Menu > Tools > Options > Sending.
  • Select or clear the appropriate check boxes.
  • Click Done.

Add a picture to an e-mail

  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Click Menu > New.
  • Enter the recipient information, subject, and body text.
  • Click Menu > Insert > Picture.
  • Scroll to the picture you want to add and press ENTER.
  • Complete the e-mail and then click Send.

Add an attachment to an e-mail

  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Click Menu > New.
  • Enter the recipient information, subject, and body text.
  • Click Menu > Insert, and then select a file type (Picture, Voice Note, or File).
  • Scroll to the attachment you want to add and press ENTER.
  • Click Send.

Download a complete e-mail

Your device will display only the headers and part of the text of new e-mails in the inbox. When you open an e-mail, it will display only part of the content unless the e-mail is very short. You must download the e-mail to retrieve the complete content.
  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Scroll to the message that you want to download.
  • Click Menu > Download Message.
    The next time that you synchronize or connect to your e-mail server, the complete message will be retrieved.
Note
If your company uses Microsoft Exchange Server 2007, the device will automatically try to connect to the Microsoft Exchange Server without waiting until the next time that you synchronize.

Tip
You can set the device to always download complete messages by changing the download size limit in ActiveSync. On the ActiveSync screen, click Menu > Options, scroll to E-mail, and then click Settings. Change the Download size limit as you want.

Reply to or forward an e-mail

  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Scroll to a message, press ENTER, and then do one of the following:
    • To reply, click Menu > Reply > Reply or Reply All.
    • To forward the message, click Menu > Reply > Forward, and then enter a recipient in the To field.
  • Enter your message in the text area.
  • Click Send.
Note

Download and view an e-mail attachment

  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Scroll to the e-mail and press ENTER.
  • Scroll to the attachment and press ENTER. This message will appear: Attachments will download next time you connect and receive email.
    The next time that you connect to your e-mail server or computer, the attachment will be downloaded.
  • After the attachment is downloaded to your device, open the corresponding e-mail and then click the attachment to view it.
Note
Only supported file types can be opened on your device.

Create or change an e-mail signature

  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Click Menu > Tools > Options > Signatures.
  • Scroll left or right in the Select an account field to the account for which you want to use the signature.
  • Select the Use signature with this account check box.
  • If applicable, select the Include when replying and forwarding check box.
  • In the Signature field, enter the signature text or change the existing text.
  • Click Done.

Send and receive Internet e-mail

An Internet e-mail account is accessed through an Internet service provider (ISP), such as Windows Live Hotmail or Yahoo! Mail.

When you set up an Internet e-mail account, you can have it download e-mail automatically at certain intervals, or download e-mail only when you request it.

  • On the Home screen, click Start > Messaging.
  • Scroll to your Internet e-mail account and press ENTER.
  • Click Menu > Send/Receive.

Note
You can only delete some personal e-mail accounts that you have added. You cannot delete the default text messaging account or an Outlook account. To remove an Outlook account, go to ActiveSync on your device, click Menu > Options, and then clear the Email check box. The next time you synchronize, your Outlook account will be removed.

Manage e-mail folders

If you receive or send lots of e-mail, the advice in this section can help you manage your e-mail account(s).

Delete an e-mail

  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Scroll to the e-mail that you want to delete.
  • Click Delete, and then click Yes to confirm.
Note
Messages deleted from an Outlook e-mail account will be deleted from Outlook on your computer or Exchange Server the next time that you synchronize.

  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Scroll to the message that you want to move.

Change e-mail display options

You can customize message display options on your device just as you would in Outlook on your computer. Display options let you:
  • Show date and time in the message list
  • Sort messages by:
    • Date received
    • Subject
    • Sender
    • Message type
  • Sort in ascending or descending order
  • Select actions for after a message is deleted:
    • Show previous message
    • Return to message list
    • Show next message
  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Click Menu > Tools > Options > Display.
  • Change your display options, and then click Done.

Mark an e-mail as read or unread

  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Scroll to the e-mail that you want to mark, click Menu, and then click Mark as Unread or Mark as Read.

Empty the Deleted Items folder

To free storage space in your device, you can empty the Deleted Items folder in your e-mail account(s).
  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Click Menu > Tools > Empty Deleted Items.
  • Click Yes to confirm.

Manage drafts

You can save drafts of e-mail that you write, and send them later. This section shows you how.

Save an e-mail draft

  • On the Home screen, click Start > Messaging.
  • Scroll to an e-mail account and press ENTER.
  • Click Menu > New.
  • Enter the To address and the Subject.
  • You can also enter an address by pressing ENTER and selecting from a list of contacts.
  • Enter all or part of your message.
  • Click Menu > Save to Drafts.

Send an e-mail draft

An e-mail message that you have saved in draft form can be sent from your Drafts folder.
  • An e-mail message that you have saved in draft form can be sent from your Drafts folder.
  • Scroll to an e-mail account and press ENTER.
  • Click Menu > Folders > Drafts.
  • Scroll to the draft you want to send and press ENTER.
  • Make changes as needed, and then click Send.

Overview of Messaging

Messaging is where all of your e-mail accounts and your text message account are located. You can send and receive Outlook e-mail, Internet e-mail through an Internet service provider (ISP), and text messages. You can also access e-mail from work using a VPN connection.

E-mail in the Outlook e-mail account is sent and received through synchronization with a PC using ActiveSync.

Internet e-mail is sent and received by connecting to a Post Office Protocol 3 (POP3) or Internet Message Access Protocol 4 (IMAP4) e-mail server. When connecting to a POP3 or IMAP4 server, you use a modem to connect to your Internet service provider (ISP), or a modem or Ethernet card to connect to the local area network that your e-mail server is connected to. You can also use your phone to connect by using a cellular line connection.

Text messages are sent and received through your wireless service provider using a phone number as the message address.

Overview of Messaging folders

Each Messaging account has its own folder hierarchy with five default Messaging folders: Inbox, Outbox, Deleted Items, Drafts, and Sent Items. The messages you receive and send through the account are stored in these folders. You can also create additional folders within each hierarchy. The Deleted Items folder contains messages that have been deleted on the device. The behavior of the Deleted Items and Sent Items folders depends on the Messaging options you have chosen.

The behavior of the folders you create depends which type of Messaging account they are for:

  • If you use an Outlook E-mail account, e-mail messages in the Inbox folder in Outlook will be synchronized automatically with your device. You can select to synchronize additional folders by designating them for synchronization. The folders you create and the messages you move will then be mirrored on the e-mail server. For example, if you move two messages from the Inbox folder to a folder named Family, and you have designated Family for synchronization, the server creates a copy of the Family folder and copies the messages to that folder. You can then read the messages while you are away from your PC.
  • If you use a text message account, messages are stored in the Inbox folder.
  • If you use a POP3 account and you move e-mail messages to a folder you created, the link is broken between the messages on the device and their copies on the e-mail server. The next time you connect, the e-mail server will detect that the messages are missing from the Inbox folder on the device and will delete them from the e-mail server. This prevents having duplicate copies of a message, but it also means that you will no longer have access to messages that you move to folders created from anywhere except the device.
  • If you use an IMAP4 account, the folders you create and the e-mail messages you move are mirrored on the e-mail server. Therefore, messages are available to you anytime you connect to your e-mail server, whether it is from your device or PC. This synchronization of folders occurs whenever you connect to your e-mail server, create new folders, or rename/delete folders when connected. You can also set different download options for each folder.

Delete an e-mail account

  • Tap Messaging.
  • Tap Menu > Tools > Options.
  • Tap and hold the account name, and tap Delete.
Note
You cannot delete your text message account.

Receive meeting requests in e-mail

If you receive your e-mail messages through ActiveSync, you can receive meeting requests. When connecting directly to an e-mail server, the server must be running Microsoft Exchange Server version 5.5 or later for you to receive meeting requests.

If the server is running Microsoft Exchange Server 2000 or later, you will automatically receive meeting requests in your Inbox. However, to receive meeting requests on Microsoft Exchange Server 5.5, do the following:

  • Ask your system administrator to activate Rich Text Format (RTF) and TNEF support for your account.
    With TNEF enabled, you will not receive messages that are included in other messages as attachments, and you will not be able to tell if a message has an attachment until you get the full copy. In addition, download time may be longer.
  • Change e-mail download options if your account is not set up to receive attachments.
After you are set up to receive meeting requests, do the following:
  • Open the meeting request.
  • Tap Accept, or Menu > Tentative, or Menu > Decline. If you want, you can also include a message with the response. The response will be sent the next time that you synchronize or connect to your e-mail server, and your device calendar will be updated.

Set up e-mail accounts

Set up an Internet e-mail account automatically

  • On the Home screen, click Start > Messaging, and select an account.
  • Click Menu > Options > New Account.
  • In Your name, enter your display name for e-mail messages.
  • In E-mail address, enter the e-mail address for this account.
  • Select Attempt to obtain e-mail settings from the Internet and click Next.
Note
If the account is set up successfully, you will be prompted to send and receive e-mail. If not, you must click Next and set up the account manually.

Set up an Internet e-mail account manually

Before you set up your Internet e-mail account, ensure that you have the necessary information.
Setting Description
User name Usually the first part of your e-mail address, which appears before the at sign (@).
Password Choose a strong password. You will have the option to save your password, so that you do not need to enter it each time you connect to your e-mail server.
Domain The domain name. This may be required.
Server type The type of e-mail server that hosts your mailbox (POP3 or IMAP4).
Account name A name for this account. You must use a different name for each account that you set up.
Network The type of network your e-mail server connects to.
Incoming mail server The name of your e-mail server (POP3 or IMAP4).
Require SSL connection Select this to ensure you always receive e-mail for this account using an SSL connection. This enables you to receive personal information more securely. Please note that if you select this and your ISP does not support an SSL connection, you will not be able to connect to receive e-mail.
Outgoing mail server The name of your outgoing e-mail server (SMTP).
Outgoing server requires authentication Your outgoing e-mail server (SMTP) may require authentication. Note: Your user name and password from above will be used.
Outgoing server settings Your outgoing e-mail server may require different authentication settings than your incoming e-mail server.
Use different user name for outgoing server A check box that lets you enter separate settings for your outgoing e-mail server.
User name Your user name for the outgoing e-mail server.
Password Your password for the outgoing e-mail server.
Domain The domain name of the outgoing e-mail server.
Require SSL connection (Outgoing mail server only) A connection that enables you to send personal information more securely. Note that if you select this and your ISP does not support an SSL connection, you will not be able to send e-mail.

Now you're ready to set up your account.

  • On the Home screen, click Start > Messaging, and select an account.
  • Click Menu > Options > New Account.
  • In Your name, enter your display name for e-mail messages.
  • In E-mail address, enter the e-mail address for this account.
  • Click Next.
  • Enter the information above as appropriate until setup is complete, and click Finish.

Compose and send messages

Create an e-mail message

  • On the Home screen, click Start > Messaging.
  • Select an e-mail account.
  • Click New.
  • In To, Cc, and/or Bcc, enter recipient e-mail addresses. Insert a semicolon (;) between multiple addresses.
  • In Subj, enter a subject.
  • Enter a message.
  • Click Send. E-mail messages are stored in Outbox and are sent to recipients the next time you synchronize or connect to your e-mail server and send and receive mail.

Create a message from a contact card

  • On the Home screen, click Start > Contacts.
  • Click the contact.
  • Click the messaging address or phone number to use.
  • Select the account to use and click Select.
  • A new message opens ready for you to complete and send.
Tip
To cancel a message, click Menu > Cancel Message.
Tips
You can quickly enter text message numbers from your contact cards. In To, press ENTER and select a recipient from the list. Then, select the recipient's phone number.

To cancel a message, click Menu > Cancel Message.

Change how the message list displays

You can change the order in which messages are displayed and show the date and time that messages were received.
  • On the Home screen, click Start > Messaging, and select an account.
  • Click Menu > Options > Display.
  • Change the display options and click Done.

Create and add a signature to messages

For each account in Messaging, you can specify a signature to be automatically inserted into messages that you send.
  • On the Home screen, click Start > Messaging and select an account.
  • Click Menu > Options > Signatures.
  • Scroll to the account for which you are creating the signature.
  • Select Use signature with this account.
  • To insert a signature in every message you send, select Include when replying and forwarding. Otherwise, a signature is inserted only in new messages.
  • Click the Signature box, enter your signature, and click Done.

Delete a message

  • On the Home screen, click Start > Messaging and select an account.
  • Select the message to delete.
  • Click Menu > Delete.
Note
Messages deleted from the Outlook E-mail account will be deleted from Outlook on your PC or Exchange Server the next time you synchronize.

Download a complete e-mail message

  • On the Home screen, click Start > Messaging and select an account.
  • Choose the message to download.
  • Click Menu > Download Message. The complete message is retrieved the next time you synchronize or connect to your e-mail server and send and receive e-mail.

Download an attachment

  • In an open message with an attachment to download, click the attachment. The attachment is downloaded the next time you synchronize or connect to your e-mail server and send and receive e-mail.
Note
If there are multiple attachments in the message, all attachments are downloaded.

Edit predefined text

You can edit the predefined text included with the phone to create words or phrases that you frequently use in messages.
  • On the Home screen, click Start > Messaging and select an account.
  • Click New and scroll to the body of the message.
  • Click Menu > My Text > Menu > Edit My Text.
  • Select the text to edit.
  • Edit the text and click Done.

Empty the Deleted Items folder

  • On the Home screen, click Start > Messaging and select an account.
  • Click Menu > Folders > Deleted Items.
  • Click Menu > Empty Folder.

Forward a message

  • From an open message, click Menu > Forward.
  • Enter a message in the message area.
  • Click Send.

If you are forwarding e-mail from the Outlook E-mail account, you will send less data if you do not
