Work with Word Mobile

You can use Microsoft Office Word Mobile to create, view, and edit documents while you are away from your desk. This section explains creating and saving documents, formatting text, and spell-checking.

Get started with Word Mobile

View Word files by type in the file list

  • Tap Start > Office Mobile > Word Mobile.
  • From the program file list, tap Menu > Options.
  • In the Display in list view field, tap All Known File Types to view all files Word can open, or tap Word Files, Rich Text Files, or Plain Text Files to view specific file types.
  • Tap OK.

Set the default Word template

By default, when you create a file or note in Word Mobile, the Word Document (.docx) template is used. If there is another template that you frequently use, you may want to set that template as the default.
  • Tap Start > Office Mobile > Word Mobile.
  • From the program file list, tap Menu > Options.
  • In the Default template field, tap the template.
  • Tap OK.

Note

If you create your own template, you must save it in the Templates folder and in your device's main memory in order to make it available for selection as a default template.

Open and view a Word document

  • Tap Start > Office Mobile > Word Mobile.
  • In the program file list, tap the file that you want to open.

Note

Word Mobile does not fully support some features, such as revision marks and password protection. Some data and formatting may be lost when you save the document on your device.

Tip

To change the size of the display, tap View > Zoom, and then tap a percentage.

Note

If you do not see the file that you want in the program file list, you may have to open File Explorer and navigate to the appropriate folder or use Search to locate the file.

Tip

To show all items in the file list, tap All Folders. You can also find a note by searching for a particular word that you know is in the note that you are looking for.

Move or copy text in a document

  • Select the text you want to move or copy.
  • Tap Menu, and do one of the following:
    • To copy the text, tap Copy.
    • To move the text, tap Cut.
  • Tap in the document to position the pointer where you want to paste the text.
  • Tap Menu > Paste.

Note

Word Mobile does not support moving or copying pictures.

Create a list in a document

  • Select the text that you want to add bullets or numbering to.
  • Tap Menu > Format > Paragraph.
  • In the List field, do one of the following:
    • To create a bulleted list, tap Bulleted.
    • To create a numbered list, tap Numbered.
  • Tap OK to return to the document.

Format text in a document

  • Select the text you want to format.
  • Tap and hold the text, and then tap Font.
  • Select the desired formatting options.
  • Tap OK.

Align text in a document

You can center text, or align it to the right or left margin.
  • Position the pointer in the text you want to align.
  • Tap Menu > Format > Paragraph.
  • In the Alignment field, tap Left, Right, or Center.
  • Tap OK to return to the document.

Tip

You can also use the Formatting toolbar to align text. To show the toolbar, tap View > Toolbar. A check mark appears next to Toolbar when the toolbar is visible.

Indent paragraphs in a document

  • Position the pointer in the paragraph you want to indent.
  • Tap Menu > Format > Paragraph.
  • Under Indentation, do one of the following:
    • To change the left indentation of the whole paragraph, increase or decrease the number in the Left field.
    • To change the right indentation of the whole paragraph, increase or decrease the number in the Right field.
    • To indent the first line in the paragraph, in the Special field, tap First line. Then, in the By field, increase or reduce the size of the indentation.
    • To create a hanging indent, in the Special field, tap Hanging. Then, in the By field, increase or reduce the size of the indentation.
  • Tap OK to return to the document.

Tip

To indent text in lists, you must use the Formatting toolbar. To show the toolbar, tap View > Toolbar. A check mark appears next to Toolbar when the toolbar is visible.

Zoom in or out in a Word Mobile document

In Word Mobile, you can zoom in to look more closely at a section of a document, or zoom out to see more of the document at a reduced magnification.
  • Tap View > Zoom, and change the zoom level as you want.

Check spelling in a document

  • Tap and hold anywhere in the document, and then tap Spelling.
  • When an unknown or misspelled word is encountered, Word Mobile offers a list of suggested words.
  • If the word is spelled incorrectly, tap the correct word in the list. If the word is spelled correctly, tap Ignore.

Tips

  • To check the spelling of specific text, select it, tap and hold, and then tap Spelling.
  • To add a new word to the spelling dictionary, tap Add in the menu that contains the list of suggested words.

Unsupported features in Word Mobile

Word Mobile does not fully support some features, including revision marks and password protection, that are supported in Word. Some data and formatting may be lost when you save the document on your device.

Features that Word Mobile does not display or keep in documents that are opened and saved on a device:

  • Backgrounds
  • Picture bullets
  • Revision marks
  • Smart tags
  • Table styles—Some or all of the formatting defined in the style will be lost when a document is saved by Word Mobile.
Features that Word Mobile may convert, replace, or restrict in documents that are opened and saved on a device:
  • Bi-directional text—Indentations and alignment may be displayed and saved incorrectly.
  • File conversions—Files that have Office 2003 extensions (.doc, .dot, and so on) cannot be saved with 2007 Microsoft Office system extensions (.docx, .dotx, and so on) and vice versa. However, these file types can be saved as .rtf and .txt files.
  • Legacy Pocket Word files—You can open *.psw files in Word Mobile. However, if you edit a file, you must save it in *.doc, *.rtf, *.txt, or *.dot format.
  • Metafiles—These are not retained by Word Mobile. A graphical representation of the object is displayed instead.
  • Page borders—Artistic page borders are converted to lined borders.
  • Protection settings—Your ability to work with files in Word Mobile will be affected by the following protection settings:
    • If you must have a password to open a document, you cannot open the document in Word Mobile. If you must have a password to modify a document, you can open the document in Word Mobile but not modify it.
    • You can view but not edit a document to which Information Rights Management (IRM) restrictions have been applied, even if you have edit rights for that document.
      Note: To view an IRM-protected document on your device, you must activate IRM on your device. For information about how to use IRM-protected documents on your device, see Overview of Information Rights Management (IRM).
    • The digital signature will be removed from any digitally signed Word file that is opened in Word Mobile. A digital signature confirms that the file originated from the signer and has not been altered.
  • Rights-managed and password-protected file conversions—These files can be saved only in their original format.
  • Underline styles—Underline styles not supported by Word Mobile are mapped to one of the four supported styles: regular, dotted, wavy, or thick/bold/wide.
Features that Word Mobile displays differently than they appear on a computer, but keeps after you save a file so that they appear in their original form on the computer:
  • Fonts and font sizes—Fonts not supported by the device are mapped to the closest font available, although the original font will be listed on the device. When a document that has been edited in Word Mobile is opened on a computer, text is displayed in the original font.
  • Lists—Indented lists are not displayed on the device in the same manner that they are displayed on the computer. They are mapped to the closest indentation level supported by Word Mobile. However, the list information is retained in the document so that when it is opened again on a computer, lists are displayed in their correct form.
Features that Word Mobile does not display, but keeps after you save a file so that they appear in their original form on a computer:
  • Charts
  • Comments
  • Footnotes, endnotes, headers, and footers
  • Page breaks—Word Mobile does not display breaks between pages. However, all page breaks, except a break at the end of a document, are retained in the document.
  • SmartArt, shapes, and text boxes

Get started with Word Mobile

Open and view a Word document

  • On the Home screen, click Start > Office Mobile > Word Mobile.
  • Scroll to the file that you want to open, and press ENTER.

Note

Word Mobile does not fully support some features of Word. This includes revision marks and password protection. Some data and formatting may be lost when you save the document on your device.

Tip

To change the size of the file on the screen, click View, and then click a percentage. To close the document, click Menu > Close File.

Zoom in or out in a Word document

  • On the Home screen, click Start > Office Mobile > Word Mobile.
  • Scroll to the file that you want to open, and press ENTER.
    • Click View, and then click a percentage.

Use accelerated scrolling in a Word document

  • On the Home screen, click Start > Office Mobile > Word Mobile.
  • Scroll to the file that you want to open, and press ENTER.
  • Click Menu > Scroll Up/Down > By Page.
  • Press and release the down or up navigation key to scroll up or down one page at a time.

Note

To change back to single-line scrolling, click Menu > Scroll Up/Down > By Line.

Format new text in a Word document

  • Bold
  • Italic
  • Underline
  • Highlight
  • On the Home screen, click Start > Office Mobile > Word Mobile.
  • Scroll to the file that you want to open, and press ENTER.
  • Click Menu > Edit.
  • Scroll to where you want to enter the new text.
  • Click Menu > Format, and then select the format you want to use.
  • Enter the text.

Unsupported features in Word Mobile

Word Mobile does not fully support some features, including revision marks and password protection, that are supported in Word. Some data and formatting may be lost when you save the document on your device.

Features that Word Mobile does not display or keep in documents that are opened and saved on a device:

  • Backgrounds

  • Tap and hold the text, and tap Font.
  • Select the desired formatting options.

You can also use the Formatting toolbar to increase or decrease the indentation in lists.

Align text in a document

You can center text, or align it to the right or left.
  • In a Word Mobile document, place the cursor in the text you want to align.
  • Tap Menu > Format > Paragraph.
  • In the Alignment box, tap Left, Right, or Center.
  • Tap OK to return to the document.

Indent paragraphs in a document

  • In a Word Mobile document, place the cursor in the paragraph you want to indent.
  • Tap Menu > Format > Paragraph.
  • Under Indentation, do one of the following:
    • To change the left indentation of the entire paragraph, increase or decrease the number in the Left box.
    • To change the right indentation of the entire paragraph, increase or decrease the number in the Right box.
    • To indent the first line in the paragraph, in the Special box, tap First line. Then, in the By box, increase or decrease the size of the indentation.
    • To create a hanging indent, in the Special box, tap Hanging. Then, in the By box, increase or decrease the size of the indentation.
  • Tap OK to return to the document.

Move or copy text in a document

In Word Mobile, you can easily move, copy, and paste text within a document and between documents.
  • In a Word Mobile document, select the text you want to move or copy.
  • Tap Menu, and do one of the following:
    • To copy the text, tap Copy.
    • To move the text, tap Cut.
  • Tap in the document to place the cursor where you want to paste the text.
  • Tap Menu > Paste.

Note

Word Mobile does not support moving or copying pictures.

Tip

To select all text in a document, tap Menu > Edit > Select All.

Check spelling in a document

  • In a Word Mobile document, tap and hold anywhere in the document, and tap Spelling.

Unsupported Features in Word Mobile

Word documents created on your PC can be opened and edited on your device. However, Word Mobile does not fully support some features, such as revision marks and password protection. Some data and formatting may be lost when you save the document on your device.

The following features are not supported in Word Mobile.

  • Backgrounds—Word Mobile does not display or save backgrounds.
  • Bi-directional text—While Word Mobile will open documents containing bi-directional text, the indentations and alignment may be displayed and saved incorrectly.
  • Document protection—Word documents can be protected from unauthorized changes by using Protect Document on the PC. Word Mobile does not support displaying files that have been protected in this manner.
  • Metafiles—These are not retained by Word Mobile; instead, a graphical representation of the object will be displayed.
  • Page borders—Lined page borders are supported; however, artistic page borders are not. The graphics will be converted to lined borders.
  • Password-protected files—Word Mobile does not support opening password-protected documents. You must first remove the password protection in Word on the PC if you want to view the document on the device.
  • Shapes and text boxes—These are not displayed or saved by Word Mobile.
  • Smart tags—These are not displayed or saved by Word Mobile.
The following features are partially supported in Word Mobile.
  • Picture bullets—While regular bullets are supported, picture bullets are not. The picture bullets are not displayed or saved by Word Mobile.
  • Revision marks—These are not retained. When a document with revision marks is opened in Word Mobile, the document will appear as though all revision marks have been accepted. When the document is saved, revision marks will be lost.
  • Table styles—Some or all of the formatting defined in the style will be lost when a document is saved by Word Mobile.
  • Underline styles—Underline styles not supported by Word Mobile are mapped to one of the four supported styles: regular, dotted, wavy, or thick/bold/wide.
  • Legacy Pocket Word files—You can open *.psw files in Word Mobile; however, if you edit a file, you will need to save it in *.doc, *.rtf, *.txt, or *.dot format.
The following features are not supported on the device; however, they are retained in the file so that when a file is opened on the PC again, they appear as expected.

  • Page breaks—Word Mobile does not display breaks between pages. However, all page breaks except a break placed at the end of a document are retained in the document.
