| Synchronizing important information between your phone and your computer has obvious benefits when you can’t take your computer with you, but you have to have current Microsoft Office Outlook information. By using Microsoft ActiveSync, you can make sure that Office Outlook information, such as e-mail, contacts, calendar appointments, tasks, and notes, is the same wherever you view it. Don’t forget: ActiveSync is only compatible with Windows XP or earlier. If you run Windows Vista or Windows 7, you’ll want to learn about synchronizing your files with Windows Mobile Device Center. |
| | During synchronization, ActiveSync identifies the most up-to-date copy of an Outlook item and makes sure that an older copy doesn’t overwrite a newer copy. ActiveSync also synchronizes items in both directions at the same time. For example, a new contact on your phone is updated on your computer at the same time that an e-mail you wrote on your computer is updated on your phone. |

| If you haven’t already installed ActiveSync, download Microsoft ActiveSync 4.5. To set up ActiveSync to sync e-mail, contacts, and calendar information to your phone, you need to have Microsoft Outlook 2002, Outlook 2003, or Office Outlook 2007 installed on your computer. To purchase a copy of Office Outlook, go to Buy Microsoft Office Outlook 2007. Plug your phone into your computer by using a USB cable or cradle. The Synchronization Setup Wizard appears on your computer.  ActiveSync opens automatically every time you connect your phone to sync, as soon as your computer detects it. If ActiveSync doesn’t open, go to the ActiveSync support page for possible solutions. Note The first time you use ActiveSync to sync, you must use either a USB cable or a cradle to connect your phone to your computer. You can’t sync for the first time by using either Bluetooth or infrared. If you have an Exchange Server e-mail account, enter your server address and logon information. If you don’t have an Exchange account, the wizard will go directly to the Synchronization Options page. On the Synchronization Options page, select the information that you want to sync, and then click Next. Click Finish.

| To sync again at any time, connect your phone to your computer, and then do one of the following: | On your phone, click Start > ActiveSync > Sync. On your computer, on the ActiveSync screen, click Sync.

| | | On your phone, on the Home screen, click Start > Programs > ActiveSync > Menu > Add Server Source.  Note If you’ve already set up a sync partnership with an Exchange server, the option appears as Configure Server instead of Add Server Source. Enter your e-mail address. Select Attempt to detect Exchange Server Settings automatically, and click Next. In the Server address field, enter the name of the Exchange server. If encrypted connections are supported by your Exchange server, select the This server requires an encrypted (SSL) connection check box, and click Next. Enter your user name, password, and domain name. If you want the phone to save your password so that you won’t have to enter it again when synchronizing, select the Save password check box, and click Next. Select the check boxes for the information that you want to sync with the Exchange server. To change available synchronization settings, select the type of information, and click Menu > Settings. If you want to change the rules for resolving synchronization conflicts, click Menu > Advanced. Click Finish.

| | | ActiveSync on your phone works with Windows Mobile Device Center on Windows Vista or Windows 7 and with ActiveSync on Windows XP. You can only start and stop synchronizing if you have already set up a sync partnership between your phone and your computer or Exchange server. If you are synchronizing your phone and your computer, you can also start and stop synchronizing and check the status of your last sync through ActiveSync on your phone.

| | Setting up a sync schedule for your e-mail can help you save money on your mobile phone bill. Typically, your phone bill has two separate charges: one for the calls that you make and a second for the data connection. You use your data connection anytime you are on the Internet or when you download content (such as files from the web, e-mail from your account, or text messages). Depending on how you set up your sync schedule, you can minimize the amount of time that you use your data connection, which can help lower your overall monthly phone bill.
Change the sync schedule | Make sure that your phone is disconnected from your computer. On your phone, click Start > ActiveSync > Menu > Schedule.

| | You must set up your phone to sync wirelessly, before you schedule when it syncs. See Set up wireless sync with an Exchange Server (on this page) for more information. If the Schedule option is unavailable, set up an Exchange account with your phone and try again.

| Schedule e-mail sync | Under Peak times, select when you want e-mail to arrive (manually, as items arrive, or during timed intervals—from every five minutes to every four hours). If you want to specify different settings for syncing e-mail at peak and off-peak times, you need to define what your peak times are. Peak times are when you usually send and receive the most e-mail. For example, when e-mail volume is low, in the Off-peak times list, select a longer interval between the times that your phone downloads e-mail. To adjust the peak times, do one of the following: If your phone does not have a touch screen, click Menu > Peak Times. If your phone has a touch screen, click the peak times link at the bottom of the screen.
Select the days and the start and end times. Click Done if your phone doesn’t have a touch screen, or click ok if your phone does have a touch screen.

| | To minimize roaming charges, clear the Use above settings when roaming check box, and synchronize manually while roaming. If you aren’t concerned about your data connection costs, or if your plan allows for an unlimited number of data connections during the month, select As items arrive in both the Peak times and Off-peak times lists.
