Synchronizing important information between your phone and your computer has obvious benefits when you can’t take your computer with you, but you need to have access to your e-mail. By using Windows Mobile Device Center, you can make sure that Microsoft Office Outlook information, such as e-mail, contacts, calendar appointments, tasks, and notes, is the same wherever you view it. Don’t forget: Windows Mobile Device Center is only compatible with Windows Vista and Windows 7. If you run Windows XP or an earlier version, you’ll want to learn about synchronizing your files with Microsoft ActiveSync.
During synchronization, Windows Mobile Device Center identifies the most up-to-date copy of an Outlook item and makes sure that an older copy doesn’t overwrite a newer copy. Windows Mobile Device Center also synchronizes items in both directions at the same time. For example, a new contact on your phone is updated on your computer at the same time that an e-mail you wrote on your computer is updated on your phone.

  • If you haven’t already installed Windows Mobile Device Center, download Windows Mobile Device Center.

    To set up Windows Mobile Device Center to sync content to your phone, you need to install Microsoft Outlook 2002, Outlook 2003, or Office Outlook 2007 on your computer if you haven’t already. To purchase a copy of Microsoft Office Outlook, go to Buy Microsoft Office Outlook 2007.

  • Plug your phone into your computer by using a USB cable or cradle.

    Note  The first time you use Windows Mobile Device Center to sync content, you must use either a USB cable or a cradle to connect your phone to your computer. You can’t sync for the first time by using either Bluetooth or infrared.


  • Windows Mobile Device Center opens automatically every time you connect your phone to sync, as soon as your computer detects it. If it doesn’t open, go to the Microsoft Forum: ActiveSync/Windows Mobile Device Center for possible solutions.
  • On your computer, click Set up your device.

    Note  Your phone can have partnerships with only two computers at a time. If you try to set up a partnership with a third computer, you’ll need to delete one, and then click Next.


  • Select the check boxes next to the information that you want to sync, and then click Next.

  • Enter a name for your phone, and clear the check box if you don’t want a shortcut for Windows Mobile Device Center on your desktop.

  • Click Set Up. Windows Mobile Device Center synchronizes the selected information.
  • To sync again, connect your phone to your computer, and then do one of the following:
    • On your phone, click Start > ActiveSync > Sync.
    • On your computer, in Windows Mobile Device Center, click Sync.

Notes

You have two options for setting up wireless sync between your phone and an Exchange server: through your phone or through Windows Mobile Device Center on your computer.

Set up wireless sync on your phone

  • Make sure you have a direct Internet connection by setting up a Wi-Fi connection or by using your phone’s cellular connection.
  • On your phone, on the Home screen, click Start > Programs > ActiveSync > Menu > Add Server Source.

    Note  If you’ve already set up a sync partnership with an Exchange server, the option appears as Configure Server instead of Add Server Source.


  • Enter your e-mail address.
  • Select Attempt to detect Exchange Server Settings automatically, and click Next.
  • In the Server address field, enter the name of the Exchange server.
  • If encrypted connections are supported by your Exchange server, select the This server requires an encrypted (SSL) connection check box, and click Next.
  • Enter your user name, password, and domain name.
  • If you want the phone to save your password so that you won’t have to enter it again when synchronizing, select the Save password check box, and click Next.
  • Select the check boxes for the information that you want to sync with the Exchange server.

  • To change available synchronization settings, select the type of information, and click Menu > Settings.
  • If you want to change the rules for resolving synchronization conflicts, click Menu > Advanced.
  • Click Finish.

Set up wireless sync on your computer through Windows Mobile Device Center

  • Connect your phone to your computer with a USB cable.
  • In Windows Mobile Device Center, if you haven’t set up your phone to sync with your computer, click Connect without setting up your device. Otherwise, go to the next step.
  • Move the pointer over Mobile Device Settings and click Sync wirelessly with Exchange server.

    Note  If you can’t see Sync wirelessly with Exchange server, click More to see all options in Mobile Device Settings.

     
  • In the Server address field, enter the name of the Exchange server.
  • Enter your user name, password, and domain name.
  • If you want the phone to save your password so that you won’t have to enter it again when synchronizing, select the Save password check box, and click Next.
  • Select the check boxes for the information that you want to sync with the Exchange server.
  • Click Set up.

  • Do one of the following:
    • If your phone does not have a touch screen, click Start > All Programs > ActiveSync.
    • If your phone has a touch screen, click Start > Programs > ActiveSync.
  • Choose what you want to do:

    • To start synchronizing, click Sync.
    • To stop synchronizing, click Stop.
    • To see the status of the last sync, click Menu > Status.

Notes

  • ActiveSync on your phone works with Windows Mobile Device Center on Windows Vista or Windows 7 and with ActiveSync on Windows XP.
  • You can only start and stop synchronizing if you have already set up a sync partnership between your phone and your computer or Exchange server.
  • If you are synchronizing your phone and your computer, you can also start and stop synchronizing and check the status of your last sync through ActiveSync on your phone.


Setting up a sync schedule for your e-mail can help you save money on your mobile phone bill. Typically, your phone bill has two separate charges: one for the calls that you make and a second for the data connection. You use your data connection anytime you are on the Internet or when you download content (such as files from the web, e-mail from your account, or text messages). Depending on how you set up your sync schedule, you can minimize the amount of time that you use your data connection, which can help lower your overall monthly phone bill.

Change the sync schedule

  • Make sure that your phone is disconnected from your computer.
  • On your phone, click Start > ActiveSync > Menu > Schedule.

Notes

  • You must set up your phone to sync wirelessly, before you schedule when it syncs. See Set up wireless sync with an Exchange server (on this page) for more information.
  • If the Schedule option is unavailable, set up an Exchange account with your phone and try again.

Schedule e-mail sync

  • Under Peak times, select when you want e-mail to arrive (manually, as items arrive, or during timed intervals—from every five minutes to every four hours).
  • When e-mail volume is low, select a longer interval between when your phone downloads e-mail in the Off-peak times list.
  • If you want to specify different settings for syncing e-mail at peak and off-peak times, you need to define what your peak times are. Peak times are when you usually send and receive the most e-mail. For example, when e-mail volume is low, in the Off-peak times list, select a longer interval between the times that your phone downloads e-mail.
  • To adjust the peak times, do one of the following:
    • If your phone does not have a touch screen, click Menu > Peak Times.
    • If your phone has a touch screen, click the peak times link at the bottom of the screen.

  • Select the days and the start and end times. Click Done if your phone doesn’t have a touch screen, or click ok if your phone does have a touch screen.

Tips

  • To minimize roaming charges, clear the Use above settings when roaming check box, and synchronize manually while roaming.
  • If you aren’t concerned about your data connection costs or if your plan allows for an unlimited number of data connections during the month, select As items arrive in both the Peak times and Off-peak times lists.
