How to create and work with tasks

Keeping a list of tasks is a great way to keep track of what you have to do and to prioritize which items are most important. When you free up your brain from worrying about what you have to get done, you have more brain power to actually accomplish the tasks on your list. Fortunately, Windows phones come with a built-in Tasks application that you can use to create, update, and mark tasks as complete on your phone anywhere you are.

Tasks tips for touch screen Windows phones

Create, edit, and delete tasks
  • To quickly create a new task, select Start > Programs > Tasks. Type the description of your new task in the text entry box at the top of the Tasks window, and tap Enter.
  • To create a more complex task, tap Menu > New Task. With this method, you can create a new task with a priority (High, Normal, or Low), a start and due date, a recurrence (for example, “Take out the garbage” occurs every week), a reminder, and a category. Categories are helpful if you’re a heavy task user because you can assign tasks to business and personal categories so that they’re easier to find and prioritize.
  • To edit a task, tap it to open it, and then select Edit in the lower-left corner of the screen.
  • To delete a task, tap and hold on the task, and then select Delete from the menu that appears.
Mark tasks complete, get reminders, track tasks, and more
  • When a task is finished, you can mark it complete by tapping the box next to the task. A check mark appears, marking the task complete.
  • Need to be reminded about a task that’s due? Tap the task to open it, select the Edit soft key, tap Reminder, and then select the date and time you want to be reminded about that task.
  • If your tasks are time sensitive and you want to keep track of when each one is due, you can configure the Tasks application to show the start and end time of each task. To set the start and end times, select Menu > Option, and tap the check box next to Show Start and Due Dates.
  • If you have a lot of tasks, you may find it helpful to sort and filter them.
    • To sort your tasks, select the Menu soft key, select Sort By, and then select Status, Priority, Subject, Start Date, or Due Date. Your task list is resorted based on the value you selected. If you want to reverse the order they’re shown in, repeat this procedure.
    • To filter your tasks, select the Menu soft key, and then select Filter. A list of category names and options for filtering active tasks and completed tasks appears. Use the combination of filters that works best for you.

Tasks tips for non-touch screen Windows phones

  • To quickly create a new task, select Start > Tasks. On some phones, the Tasks icon may be inside an Organizer folder. Type the description of your new task in the text entry box at the top of the Tasks window, and press down on the d-pad to create the task.
  • To create a more complex task, select Menu > New Task. With this method, you can create a new task with a priority (High, Normal, or Low), a start and due date, a reminder, and a category. Categories are helpful if you’re a heavy task user because you can assign tasks to business and personal categories so that they’re easier to find and prioritize.
  • To edit a task, select and open it by pressing down on the middle of the d-pad. Select Edit in the lower-left corner.
  • To delete a task, select the Menu soft key, and then select Delete Task from the menu that appears.

  • When a task is finished, you can edit the task, as described in the previous section, and mark the Status field as Completed. A check mark appears next to the task. When you are finished, press the left soft key (Done), and the task is marked complete.
  • Need to be reminded about a task that’s due? Open the task, select the Edit soft key, select the Reminder field, and then select the date and time you want to be reminded about that task.
  • If your tasks are time sensitive and you want to keep track of when each one is due, the Tasks application can be configured to show the start and end time of each task.
