Manage Dynamics Marketing updates

Because Microsoft Dynamics Marketing is an online service, most of the technical details of keeping it updated with the latest features and fixes are handled by Microsoft Support. However, the update process will cause a small amount of downtime (usually less than 30 minutes), and users at your organization may also need some time to get used to the new features. Therefore, you will be notified by email well in advance and are able to control the roll-out schedule for your organization’s Dynamics Marketing update so you can plan as needed and make sure that the update does not occur right in the middle of a critical event or campaign.


Important

Although you will be automatically notified and offered a tentative update schedule when an update becomes available, your instance will not actually be updated unless you explicitly approve the schedule. This means your organization will go without the latest features and functionality until you explicitly give approval for the update to happen.


How will I know my organization is ready to update?

Dynamics Marketing administrators will be informed of upcoming updates both by email and within the application itself.

A notification appears in your Dynamics Marketing application

When an update is scheduled, Dynamics Marketing displays a notification bar to all users, announcing that an update is available and providing a link to the Update Options page (for standard users the Update Options page is read-only, but for admins it provides approval, notification and rescheduling controls). This notification bar will continue to be shown until the update has been completed.

Update notification emails are sent to admins

Ninety days before the update becomes available, Dynamics Marketing sends an email to each address specified on the Update Options page (plus the primary administrative contact registered for your instance in Microsoft Office 365) informing administrators and other key personnel that an update is available and providing useful information and links about the update. Reminders are sent 90, 30, 15 and 7 days before the update begins.


Important

Links to important details about the upcoming update, including possible update issues, will be included in the email notifications that are sent to administrators announcing the upcoming update. Be sure to open these links and read them carefully; take special note of integration and connector issues if you are integrating with Microsoft Dynamics 365 and/or Microsoft Social Engagement. Also, pay special attention to new SDK and OData-feed details if you are taking advantage of these services via external systems and/or spreadsheets. Based on these details, contact all key personnel that are likely to be affected by the update and then plan and schedule accordingly.


Approve an update

When you have been notified that a new update is available, proceed as follows.

  1. Sign in to Dynamics Marketing as an admin.

  2. Choose the link in the “update available” notification bar (or go to Settings > Administration > Update Options).

  3. A proposed update schedule is shown. If this schedule fits with your organization’s plans, then choose the Approve Schedule button to accept it.


Important

You must explicitly approve the update using the Approve Schedule button, otherwise it will not occur on the scheduled date.


Reschedule an update

To change your update schedule, proceed as follows.

  1. If you have not already done so, sign in to Dynamics Marketing as an admin and choose the link in the “update available” notification bar (or go to Settings > Administration > Update Options).

  2. A proposed update schedule is shown. If this schedule conflicts with your organization’s plans, then choose the Reschedule update link to open the rescheduling controls.

  3. Use the calendar-input controls provided to choose new dates. You will be asked to specify both a preferred and an alternate update date. Not all dates will be available; see the on-screen text and calendar controls for availability details.

  4. Use the radio buttons provided to set an update window for each date. The schedule allows a window of up to 12 hours for the update, but the actual process should result in less than half an hour of downtime during that window.

  5. When the dates and times are correct, choose Next to continue. You now return to the Update Options page, which shows your new schedule.

  6. Inspect the dates to make sure they are right and then choose the Approve Schedule button.


Important

You must explicitly approve the update using the Approve Schedule button, otherwise it will not occur on the scheduled date.


Send email notifications to multiple recipients

By default, all Dynamics Marketing admins registered for your instance in Office 365 will receive update notifications. You can add others to receive update notifications at any time.

  1. Sign in to Dynamics Marketing as an admin.

  2. Go to Settings > Administration > Update Options.

  3. Choose the link under the Notification options heading to view/edit the list of email addresses to which update notices will be sent. We recommend that you include all of your Dynamics Marketing administrators here, plus any other key managers and users of the system. Separate each address with a semicolon (;).

  4. Choose Save to apply your settings and close the pop-up.

After the update

On the day that the corresponding Dynamics Marketing update is actually released, the following two help topics will be updated with details concerning the new version and any possible update issues: Help and Training and Updating from an earlier version. Be sure to review these two topics and take any appropriate actions to prepare your users and your site for the new update.
