Announced <a href=\"https:\/\/techcommunity.microsoft.com\/t5\/SharePoint-Blog\/Reinvent-business-process-in-SharePoint-and-OneDrive\/ba-p\/109490\"><u>earlier<\/u><\/a> at the Ignite conference, the panel allows you to add values to a flow before it runs. For example, a \u201cRequest new equipment\u201d flow might ask you to select a desktop, laptop, or a tablet, and send that selection to the team responsible for handling the request.\u00a0\u00a0<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic0.png\" style=\"width: 400px; height: 170px;\"\/><\/p>\n<p>In this post, we\u2019ll walk you through an example of how to create and customize a flow that uses the launch panel\u2019s capabilities using the <strong>For a selected item <\/strong>trigger. We\u2019ll also demonstrate how you can enable other members of your organization to run this flow using run-only permissions.<\/p>\n<h2>Create a flow<\/h2>\n<p>Let\u2019s imagine that you work at a travel agency called Contoso Adventures and you store images used in your brochures in a SharePoint document library. Using the Flow launch panel, you can quickly collect feedback from your colleagues by runing a flow on-demand that posts a message to Microsoft Teams with a link to the selected item. To get started, simply select the <strong>Flow<\/strong> menu followed by the <strong>Create a flow<\/strong> button.\u00a0<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic1-101.png\"\/><\/p>\n<p>This will open a pane on the right-hand side of the window listing several templates you can choose from, enabling you to connect your SharePoint data to OneDrive, Teams, Yammer, Planner, and more. Select the template titled <strong>Post a message to Teams for a selected item.<\/strong><\/p>\n<p style=\"text-align: center;\"><strong><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic2-101.png\"\/><\/strong><\/p>\n<p>Selecting the template will open a new tab in the Microsoft Flow site with additional details about the template. Click <strong>Continue<\/strong>.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic3-99.png\"\/><\/p>\n<p>In the flow, you\u2019ll notice a new trigger for SharePoint called \u201c<strong>For a selected item.<\/strong>\u201d The trigger is modeled after Flow\u2019s button trigger, allowing you to run flows on demand and capture additional inputs that will be populated by the invoker of the Flow. These inputs can be of type Text (either a single choice or a list of options), File, or Email. We\u2019ll learn more about customizing inputs later in this post.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic4-101.png\"\/><\/p>\n<p>For now, create the flow by specifying a Team and Channel to post your message to.\u00a0 If you click on <strong>Edit, <\/strong>you can customize the content of the message to be posted. By default, we include the text description entered by the invoker (Message) followed by a link to the selected item.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic5_a.png\"\/><\/p>\n<p>Save the flow by clicking the <strong>Create flow <\/strong>button.<\/p>\n<h2>Run a flow using the Flow Launch Panel<\/h2>\n<p>Back in your SharePoint document library, select a document and click on the Flow menu. Then, choose the newly created flow &#8211; \u201cPost a message to Teams for a selected item.\u201d<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic6-101.png\"\/><\/p>\n<p>Clicking on the flow, opens the Flow Launch Panel. The first time you run this flow, you\u2019ll be asked to confirm your credentials. You can also learn more about what this flow does. Click <strong>Continue<\/strong>.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic7_a.png\"\/><\/p>\n<p>Now, enter a message to send to your team, requesting feedback. Click <strong>Run flow.<\/strong><\/p>\n<p style=\"text-align: center;\"><strong><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic8_a.png\"\/><\/strong><\/p>\n<p>Voila! A new message is posted to Teams on your behalf including the note you added in SharePoint and a link to the selected item.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic9-100.png\" style=\"width: 337px; height: 291px;\"\/><\/p>\n<h2>Share a flow with run-only permissions<\/h2>\n<p>Now that you\u2019ve created the flow, you can share it with colleagues either by adding them as an owner of the flow or as a run-only user. The latter allows you to maintain ownership of the flow, while enabling your colleagues to run it. In Flow, head over to <strong>My Flows <\/strong>and choose the <strong>Post a message to Teams for a selected item. <\/strong><\/p>\n<p style=\"text-align: center;\"><strong><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic10-101.png\" style=\"width: 518px; height: 84px;\"\/><\/strong><\/p>\n<p>Under <strong>Manage Run-Only Users, <\/strong>click on the <strong>Add another person <\/strong>button.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic11_a.png\" style=\"width: 394px; height: 238px;\"\/><\/p>\n<p>Here, you can enter individuals or AD security groups. We will be adding support for Office 365 groups in the future. \u00a0For each connector used in the flow, you can decide whether the invoker should bring their own credentials (\u201cProvided by run-only user\u201d) or use your credentials (\u201cUse this connection\u201d). Click <strong>Save<\/strong> to add the user as a run-only user.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic12-101.png\"\/><\/p>\n<h2>Customize the flow<\/h2>\n<p>Let\u2019s customize the flow you created earlier and ask the invoker whether they want to send the selected file for review to their manager or post it to Teams. In the <strong>For a selected item <\/strong>trigger, let\u2019s add a text \u00a0input called <strong>Destination. <\/strong>Let\u2019s replace the hint text for this input with a custom message \u201cSelect Email to manager or Post to Teams\u201d.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic13-101.png\"\/><\/p>\n<p>Then, click on the ellipsis followed by the <strong>Add a list of options<\/strong> button.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic14-101.png\"\/><\/p>\n<p>For the first option, enter \u201cPost to Teams\u201d and for the second option, enter \u201cEmail to manager.\u201d<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic15-101.png\"\/><\/p>\n<p>Now, let\u2019s add a condition after the Get item step that checks whether the Destination is equal to Post to Teams. And, let\u2019s drag and drop the Post a message action into the Yes branch.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic16-101.png\" style=\"width: 438px; height: 202px;\"\/><\/p>\n<p>Let\u2019s finish off our flow by adding a Get manager and a Send an email action in the No branch. You can get the Invoker\u2019s email, OID, or display name by referencing dynamic content such as User email, User id, and User name respectively.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic17-101.png\" style=\"width: 359px; height: 197px;\"\/><\/p>\n<p>Now when you invoke the flow in SharePoint, you\u2019ll be asked to select a Destination and the flow will act (post a message to Teams or send your manager an email) depending on your selection.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" alt=\"\" src=\"https:\/\/www.microsoft.com\/en-us\/power-platform\/blog\/wp-content\/uploads\/2024\/06\/pic18-101.png\"\/><\/p>\n<p>We hope you enjoy this new update.
