Need for effective organizational communication
The importance of effective communication between the leadership team and employees in an organization cannot be overemphasized. For PEL, regular and consistent communication from the leadership became even more crucial during the COVID-19 pandemic as the organization's employees needed to be updated on rapidly evolving developments.
At an organizational level, PEL was looking for a pre-defined template for sending messages or communicating with all employees concurrently. The process of defining the target audience for every communication was long, tedious and cumbersome. For making key announcements, PEL's leadership team used several mediums such as e-mail and other platforms, however, it was challenging to get responsive feedback from employees. Further, due to lack of appropriate analytical provisions, it was difficult to gauge the reactions or responses to employee surveys being conducted. PEL’s leadership team felt the need to streamline the process of organization-wide communication as well as drive employee engagement especially during the pandemic.
Unifying communication on a digital “Bulletin”
Piramal Enterprises had successfully deployed Microsoft Teams in <2020> and feedback received by end users for over two years of the implementation had been satisfactory. This prompted Piramal Enterprises to explore the possibility of developing a solution that would blend with the existing Microsoft Teams platform. Elaborate discussions with Microsoft partner Embee Software led to the conceptualization of a company communicator application integrated with Microsoft Teams. That is how the Bulletin app was conceived as a digital platform that would unify PEL’s communication efforts.
The app is easy to use and offers pre-defined templates for various user segments. Through Bulletin, it is also easy to analyze the quantum and response of recipients. Bulletin provides a one-stop messaging platform to communicate with all employees in a unified, standardized manner, helping drive employee engagement and enhancing the overall employee experience.
Bulletin offers a few distinct advantages:
● One-stop destination for company news, policy updates, market wins, alerts etc.
● One can easily broadcast or send messages using different customized templates
● Bulletin provides flexibility of selecting the target audience as required
● Additional features can also be embedded while composing a message
Driving efficiency and engagement amidst the pandemic
Today, Bulletin is widely used across the organization and the app has made it much easier for PEL to collate responses from employees. For 15 memos sent through Bulletin, the company would otherwise generate 12,000 mails per message!
The leadership team has leveraged the platform to deliver timely, regular and consistent communication to reinforce the organization’s mission, vision, and culture. Bulletin has also helped PEL build internal brand recall and enhance employee engagement.
“An effective, standardized communication process is critical for organizations to enable employee engagement. With proven success of Microsoft Teams, adopted widely across our organization, the integration of the Company Communicator App into the platform has further streamlined employee communication at Piramal Enterprises. We appreciate Microsoft’s partnership and support in helping us set up this communication tool successfully, which is receiving a positive response across the board.”
