Need to foster a superior employee experience

CitiusTech firmly believes that employee experience is critical to the success of any company. It is therefore committed to fostering a positive workplace culture that not only enhances employee morale and engagement across the organization but also leads to increased productivity.

However, when the Covid-19 pandemic necessitated a shift to working remotely, CitiusTech struggled to maintain its positive workplace culture. The lockdown and social distancing measures imposed by the pandemic eliminated in-person interactions and on-site corporate events, making it difficult to facilitate employee collaboration and engagement. 

The absence of a unified platform to share ideas, support causes, and encourage formal and informal interactions disrupted the overall employee experience. It was also difficult for new employees to find their footing as they did not experience seamless onboarding, networking, and training. 

With employees embracing diverse work arrangements in the post-pandemic era, CitiusTech recognized the need to adopt a holistic approach that combined both digital and physical experiences. The company’s recruitment process too had to change. Although the company had a communication platform in place, it was not cost-efficient and did not fully meet the internal and external collaboration requirements.

A unified solution for a more connected and tech-enabled workplace

Bhaskar Debiswas – Vice President, Business Apps, says, “We sought a solution that could offer internal and external collaboration at scale. It had to be a comprehensive and cost-effective solution for one-on-one conversations, team meetings, companywide meetings, external meetings, and the recruitment process.”

CitiusTech has always been an early adopter of cloud and other new technologies, and leverages them in innovative ways to drive better business outcomes. For example, it was the first company to implement Microsoft Dynamics 365 on the cloud. With its confidence in Microsoft solutions and its knowledge of the experience, expertise, and comprehensive support of the teams at Microsoft, CitiusTech decided to adopt Microsoft Teams on a larger scale across the enterprise. The company implemented several solutions on the Teams platform:

  • It deployed the app, Celebrate, to celebrate special occasions such as birthdays, anniversaries, etc., with features to plan parties and send custom wishes and greeting cards. CitiusTech also simulated the custom of setting up balloons for employees on their work anniversaries in the Teams environment.  In May 2023, it was estimated that over 4,200 employees had used it in a period of 90 days.
  • It used Viva Engage to provide an online platform to collaborate, share ideas, participate in interest groups, support a cause, connect with leaders socially, and more. 2,386 people had used it in a period of three months prior to May 2023.
  • Using Microsoft Viva Insights, the company encouraged employees to build better work habits such as maintaining a focus on work, task management, and developing an appropriate work-life balance. It also deployed the Jinie app for employee self-service. Around 2,600 users were active in the three-month range prior to May 2023.
  • It developed the application, PubliCT, within Teams to broadcast messages, announcements, company updates, and project deadlines so that employees could remain productive, engaged, and aligned with the business goals. It is a widely used app with over 5000 users using it when last calculated.
  • To streamline workplace allocation and communication on the employees’ work location, CitiusTech implemented WorkInSync, a system to manage desk booking and work mode so that the teams were aware of the employees’ status and could plan work accordingly. It had more than 3,500 active users for a 90-day range when evaluated in May 2023.

Enhancing employee experience with less

Nilesh Teli, Senior Vice President, CitiusTech, said, “We had acquired Microsoft 365 licenses before the COVID-19 pandemic. But the ‘Collaboration Quotient’ of the organization rose to the next level during the pandemic as we started using Microsoft Teams effectively for project-wide and organization-wide collaboration and communication and integrated it closely with other Microsoft applications, including OneDrive. In the last couple of years, the Microsoft 365 ecosystem has matured, significantly boosting the efficiency and productivity of CTzens and the organization. The USP of the platform is the integrated experience of the application ecosystem, which includes Microsoft Office apps, Outlook, OneDrive, Teams, SharePoint, Yammer, PowerBI, PowerApps, etc., that enables ease of doing things. As our CTzens use Teams comprehensively, Microsoft 365, particularly Teams, is seen as the hub for accessing all our business applications, including the intranet.”

Doing more with less: CitiusTech has leveraged Microsoft Teams to make it the default platform for collaboration. It is used as a project-management tool, for document-sharing, and to run various initiatives to improve workplace bonding. Moreover, with rapid expansion across locations, the allocation of seats has been automated by the Teams application, leading to better efficiency.
