Adaptic boosts productivity through Deltek Dela AI built on the Microsoft Azure AI Platform, saving hundreds of hours per week

Time management processes like time sheets are vital to a company’s success. Adaptic, a government defense contractor with a focus on tech-driven efficiencies, is using Costpoint®, an enterprise resource planning (ERP) solution from Deltek, with Microsoft Teams and AI to streamline these routine processes and enhance its employees’ work experience.

Building a foundation of efficiency for employees

Adaptic is a woman-owned small business formed in 2019 to support the intelligence community within the government security space. As Adaptic cofounders Aaron Solar and his wife, Sarah Dabney, quickly discovered, keeping meticulous records of how government contractor employees spend their time requires detailed and accurate data. They recognized the potential of putting ERP and AI technology at their employees’ fingertips to boost the efficiency of the company’s time management processes. “We needed all hands on deck to generate revenue to make sure that everyone gets paid,” says Solar, Chief Financial Officer at Adaptic. “We thought, ‘Where can we automate? What can we do with the tools we have?’”

Using automation to enhance employee workflows

Adaptic has been using Deltek’s Costpoint ERP solution for four years to drive time management and accounting processes. To boost productivity even further, the company adopted the Costpoint Microsoft Teams app. The integration of Microsoft Teams, which is part of the Microsoft 365 family of products, and Costpoint gives Adaptic employees the ability to enter, submit, and approve time sheets and workflows in one convenient and secure location. 

For Adaptic, which was already working with an entire Microsoft 365 ecosystem, the decision just made sense. “All the people who are boots on the ground—whether an embedded developer or a systems engineer—they know Microsoft tools,” says Solar. “They’re already logged into Microsoft Teams, so they can quickly do a time sheet right on there, and it makes everyone happy.”

Adaptic also adopted Ask Dela, Deltek’s AI digital assistant, which is accessible from Costpoint and the Microsoft Teams app and is built on Microsoft Azure offering Azure OpenAI Service. Ask Dela gives Adaptic employees instant and secure access to data stored within their ERP system. “One theme in impressive innovation stories is when there are advancements on multiple fronts that come together in a single solution,” says Dmitri Tyles, Senior Director of Engineering at Deltek. “That’s where the jump in productivity happens. And that’s exactly the case with Adaptic.”

Improving time management and streamlining infrastructure for a rapidly growing team

As Adaptic has grown from 5 to 75 employees in five years, its time management processes remain streamlined with the help of Deltek’s AI capabilities, saving an estimated 100 hours per week collectively. Employees can focus more on the work that matters and get paid on time. “By automating or utilizing the tools as much as we can, we don’t need a bloated infrastructure,” says Solar. “This means more bottom-line dollars to employee salaries, compensation, and benefits.”

Adaptic is also using the Microsoft Teams app and Ask Dela for real-time access to employee rate information for projects and cost data. “Sarah could be on the phone with a candidate, and she can quickly type in ‘What’s the software engineer Level 3 bill rate for this program?’ And it’s going to come back with the answer,” says Solar. “This allows her to secure potential high-level candidates in real time.”
