TekSynap automates mission-critical workflows with Azure AI, enabling 75% faster results

TekSynap, a leading IT solutions provider for government and defense, faced rising pressure to manage massive datasets and support its teams’ productivity across mission-critical projects.

Using Azure AI Services, the organization set out to address the challenge by streamlining internal workflows, reducing IT complexity, and equipping its people with intelligent, AI-driven tools.

TekSynap cut search time by 75%, eliminated outages, and empowered teams to work smarter, unlocking next-gen speed, scale, and satisfaction across its government customer base. The company also achieved an estimated $99,000 in hardware cost savings.

TekSynap

TekSynap is a leading IT solutions provider, partnering with government and defense customers to tackle mission-critical challenges. Guided by the credo "Technology Moving at the Speed of Thought," TekSynap delivers powerful, practical innovation tailored to the needs of the public sector. Already ahead of the curve, TekSynap is now pushing even further, embracing AI and automation to boost efficiency, lower costs, empower teams and help customers accelerate like never before. “Our mission is to provide technology-driven solutions that address real-world challenges and bridge the gap by connecting all the dots to make it possible,” emphasizes Kamran Jinnah, CEO of TekSynap.

That same forward-thinking approach fuels TekSynap’s internal operations. As demand surged and the organization expanded its capabilities, internal teams faced growing pressure, especially in managing ever-increasing volumes of data.

“We’ve seen a shift in the industry: from not having enough information to being overwhelmed by it,” explains David Gauldfeldt, President of TekSynap. “When we looked at our teams’ workflows, we asked ourselves: How can we filter this data to ensure they’re focused on what’s truly relevant?”

Partnership as a launchpad for innovation

To transform this idea into reality and build a more efficient, intelligent and scalable working environment, TekSynap leaned into a valued partnership built over years.

“Our collaboration with Microsoft began when we adopted Microsoft 365,” says Kamran Jinnah. “As long-time advocates of Microsoft, transitioning to its cloud solutions was the natural next step for us.”

TekSynap placed Azure at the core of its technology ecosystem, leveraging a robust suite of services, including Azure AI Search, Azure OpenAI ServiceAzure Virtual Desktop (AVD), Azure Cosmos DB and Azure App Service.

This allowed TekSynap to become an organization built on Azure and to establish a trusted alliance with Microsoft, relying on its secure, enterprise-grade infrastructure to meet strict compliance requirements in a highly regulated industry, while driving continuous innovation.

“We’re definitely seeing cost-effectiveness with Azure. It has also allowed us to avoid purchasing 60+ additional laptops – devices that typically cost between $1,500 and $1,800 – resulting in an estimated $99,000 in hardware cost savings.”

Making speed and accuracy the new standard

The decision quickly delivers measurable results, as TekSynap begins to reimagine how information is processed and accessed, making work both faster and smarter.

  • 75% faster search – Azure AI Search enables analysts to find relevant content instantly across more than 3 million documents.
  • Higher productivity – Azure OpenAI accelerates reporting and document workflows, which reduced review times from a month to just a few hours, allowing teams to handle significantly more in less time.
  • Uninterrupted service – Migrating to Azure has resulted in zero outages since 2015.

“What normally took hours of work and then hours of review, we were able to automate,” reflects Chris Schuster, Vice President at TekSynap. “Now, we have a single interface to act as the AI orchestrator for the organization and enhance performance,” adds Zachery Gardner, Head of Enterprise Architecture and IT Solutions, TekSynap.

Efficient today, scalable tomorrow

Beyond already achieved results, TekSynap continues to unlock even greater benefits. By leveraging Azure Virtual Desktop (AVD), the organization reduces infrastructure costs and simplifies IT management, providing secure, remote access to virtual desktops and eliminating the need for on-premises hardware.

“We’re definitely seeing cost-effectiveness with Azure,” confirms Chris Schuster. “It has also allowed us to avoid purchasing 60+ additional laptops – devices that typically cost between $1,500 and $1,800 – resulting in an estimated $99,000 in hardware cost savings.”

AVD also enables centralized management and greater workforce flexibility, allowing teams to work from anywhere, while maintaining full control over performance. Onboarding has been streamlined, with setup time reduced by 50% compared to traditional imaging and provisioning processes.

“This approach has improved our ability to scale rapidly and securely, supporting interns, remote workers and late transfers, without provisioning delays. It also reduces our dependency on VPN configurations and helps ensure consistent, policy-compliant environments across the organization,” explains Zachery Gardner.

From an operational perspective, centralized desktop management through AVD has led to a 30% reduction in IT maintenance hours, driven by fewer hardware-related support requests and less time spent managing physical devices.

Empowering customers at the speed of thought

Together, Microsoft and TekSynap are building solutions that meet customers where they are, supporting every step of their digital journey. “By working with Microsoft, we were able to collaborate at a much higher level and clearly demonstrate the competitive advantage to our customers,” adds Kamran Jinnah.

TekSynap continues to build on Azure, developing tailored solutions that meet its customers’ unique mission requirements.

For example, the Megatron chatbot leverages natural language processing to help users quickly locate and act on critical information. Meanwhile, ARDA (Advanced Driven Research Analytics) scans vast datasets to surface high-priority insights, especially in complex fields like geospatial intelligence and security.

With the power of Azure Cosmos DB and Azure App Service, TekSynap supports a scalable, serverless architecture that gives development teams the agility to build and launch new solutions faster, delivering even greater responsiveness and value to customers.

The feedback has been overwhelmingly positive, with users reporting faster response times, simplified search experiences and higher overall engagement.

What’s next: innovation with impact

TekSynap’s next milestone is to transform how people experience their daily tasks. By integrating gamification into AI interfaces, it aims to make routine analyst work more interactive, competitive, and engaging, boosting both productivity and morale.

“For our employees, we aim to make tasks more enjoyable, transforming the tedious work of sifting through thousands of pages into an engaging and even competitive experience,” explains Kamran Jinnah.

This gamified approach also supports TekSynap’s efforts to attract and retain top talent.

“Younger professionals entering the tech field want to work with cutting-edge technology, and gamification is particularly appealing to them,” reflects Toni Fisher, Chief Administrative Officer at TekSynap.

TekSynap is committed to staying ahead of industry trends, deepening its partnership with Microsoft and delivering long-term impact. Early initiatives, like deploying Microsoft 365 Copilot to support the proposal writing team, demonstrate that this vision is already taking shape.

“We are embracing new technologies to build a smarter future. With Microsoft, we’re confident we’ll continue solving even more specific and complex challenges,” concludes Kamran Jinnah.
