W&K Industriemontage identified several challenges due to the distinct nature of its operations, including the integration of HR and project data, dynamic warehouse resource management, and the coordination of complex logistics in the dispatch department. The most significant obstacle was ensuring full compatibility between all implemented modifications and external systems. The overarching goal was to design and implement solutions that would operate seamlessly within a unified environment while fully supporting the functional objectives of each department.

Tailored ERP implementation

To address these requirements, the NMI ERP team developed a suite of tailored solutions that enabled seamless data synchronization between Dynamics 365 Business Central and the ESOD electronic document circulation system, as well as integration with the eRecruiter platform to support recruitment processes. HR data was consolidated across Symfonia HR and Payroll and the e-Pracownik system, ensuring consistency and automation of HR operations. The overarching goal of the implementation was to ensure that all systems operated cohesively within a unified environment, while fully supporting the functional objectives of each department.

HR process optimization

Within the HR department, Business Central has optimized key workflows, including salary calculations, preparation of A1 form schedules, and monitoring of expiring employment contracts, medical examinations, and other mandatory documentation. By consolidating data into a single system, W&K has achieved greater transparency and operational efficiency.

The integration of Business Central with the ATS system further enhanced HR capabilities. The solution was tailored to W&K’s organizational structure and processes, incorporating a customized competency matrix that underpins ongoing monitoring of employee qualifications. This enables effective development planning and assignment of employees to suitable roles or projects, compliance with industry requirements, and rapid identification of competency gaps and planning of targeted training.

Recruitment processes have also been streamlined, from seamless candidate data transfer from the ATS to automated HR documentation workflows. Additionally, the system supports automated performance evaluations based on predefined criteria and schedules, ensuring consistency and reliability. It also monitors the validity of certifications and training, issuing automatic reminders for renewals.

Financial management and business intelligence

The transition to a new financial accounting system and migration to Business Central was a complex but critical step toward integrating data and processes across the organization. Real-time dashboards now provide easy access to data and analytics, enabling smooth tracking, reporting, and financial disclosure.

Power BI complements this by allowing advanced data analysis, transformation, and reporting, both within the application and through Microsoft Excel. Copilot in Business Central further enhances efficiency by automating posting and reconciliation of bank statements, purchase invoices, and other documents. By analyzing transaction details, Copilot improves accuracy and reduces manual effort for high-volume operations.

To address localization gaps, W&K’s implementation partner continues to develop custom tools, ensuring compliance with the Polish Accounting Act. Operating in a cloud-based environment also provides secure, anytime access to financial data.
