Geap Saúde streamlines planning and auditing processes for healthcare insurance with Power Platform

Geap Saúde (Geap), a leading provider of healthcare insurance for public servants in Brazil, wanted to develop solutions to improve business processes without having to rely on limited internal developer resources.

Employees have used Power Platform to develop enterprise applications that now support key business processes including strategic planning and auditing.

An auditing app is saving Geap $500,000 a year by enabling employees to better identify inaccurate items in claims invoices. Another app has dramatically improved strategic planning, including AI capabilities that have automated report generation.

Geap Saúde (Geap) provides healthcare insurance for public servants and their families in Brazil, with more than 350,000 beneficiaries. The company proudly supports more senior citizens than any other insurance operator in Brazil, including almost 500 Brazilians who are over 100 years old.

Geap has become a leader in the supplementary health market in Brazil by investing in a pioneering care model focused on health promotion, disease prevention, and improving the quality of life of those assisted. This model is driven by effective strategic planning—which has recently been made more efficient with a solution built on Power Platform.

Previously, activities supporting strategic objectives were largely tracked and managed manually using spreadsheets. The process was time-consuming and error-prone and maintaining alignment across departments was challenging. “Since developing our strategic planning app on Power Platform, everything has changed,” says Alex Menezes Peral, Power Platform Specialist at Geap.

More effective planning—with an AI boost

The first version of the app began as a simple form that project owners would complete every month to record their latest status updates, which were stored in SharePoint. The form in Power Apps helped standardize the way employees reported on projects.

As the app evolved, the team transitioned from SharePoint to Dataverse to take advantage of its relational database capabilities and greater scalability to support data growth. Power Automate cloud flows were added to export reports and send reminders to employees to submit updates. A Power BI dashboard provides project status and employees and managers with a way to track a project’s progress, measure KPIs, and check the company’s budget enforcement. The information is also used directly by the company’s board for decision making.

Next, the team added powerful, AI components to the app using AI Builder in Power Automate. An AI model now generates summary reports automatically based on user-submitted updates. The model can also check for similar projects with the same objectives to avoid duplication and auto-fill fields based on related data entered. To test the model, the team compared samples of the summarized reports with the original content. “We were quickly impressed at how accurately our model in AI Builder was able to summarize content into meaningful reports,” says Peral.

The app has been equally well received by business users. “Now, each initiative is clearly defined, assigned, and tracked in real time. More importantly, the app has greatly simplified report generation and updates and helped create a culture of accountability and collaboration," says Alex Mansur, Strategic Planning Manager at Geap.

Smarter auditing for significant cost savings

The strategic planning app is just one of many innovative business apps built by non-technical makers at GEAP. Previously, the company lacked development resources for custom business solutions as the IT group focused on core business operations. That all changed with Power Platform. “Power Platform has enabled our employees to start building advanced business solutions and has opened the door to an exciting new wave of innovation across the company,” says Peral.

Another recent example is an application used to improve the company’s medical billing and reconciliation processes. When medical providers send an invoice to GEAP for a patient’s treatment, it enters an audit process to check if all items are covered by the patient’s insurance plan. The company’s ERP system performs some basic checks, but deeper analysis was complicated, and the system often didn’t flag invoicing errors.

Power Apps was used to create a more intuitive, user-friendly interface. The app has made it easier for employees to complete these audits and has enabled more accurate analysis of invoices. Using the app to help identify inaccurate items in claims invoices is saving GEAP over $500,000 a year.

To take auditing efficiency to an even higher level, the team is working on integration of the application with an OpenAI model that will perform much of the auditing process automatically.

This same type of AI integration through Power Apps is now being done with multiple applications across the company. A project planning app, for example, includes a custom AI model to help users complete a project plan. Based on the project description provided by the user, the model can pre-populate all the actions required to achieve the project goal.
