The British Ballet Organization (BBO) has limited resources for information technology. Staff used outdated software, which impeded mobile access to email, communication with BBO members, and internal document collaboration. “We outsourced our email to a hosting
provider, but we had reliability issues,” says Fiona Knower, Office Manager for the British Ballet Organization. “I spent hours every week backing up email messages and contacts. One outdated PC stored all BBO business information, so I had to back up that
data manually as well.”
The BBO subscribed to Microsoft Office 365, an online service that unites familiar Microsoft Office applications with the power of email, calendaring, collaboration, and communication solutions. “Our Finance Director was nervous about data security,”
says Knower. “We chose Office 365 over Google because we felt more secure with Microsoft hosting our email.”
BBO worked with Microsoft Partner Network member Penman, to migrate mailboxes to Office 365 and install Microsoft Office 365 ProPlus on all seven PCs. “The dance community is traditionally nontechnical, but the move to Office 365 has been easy!” says Knower.

Employees can access data on office PCs, mobile phones, or home computers. The boost in productivity helps save Knower two hours a week.
Knower has more time to focus on BBO projects now that she no longer has to back up everyone’s email.
BBO can retire the PC that houses business data, saving £3,500 (US$5,600) in replacement costs. “Office 365 reduces the risk of losing data—it’s not sitting on an aging PC in a historic building prone to power fluctuations,” says Knower. “We can access and
collaborate on documents more effectively. I feel like we’ve entered the twenty-first century!”
