IBE Consulting Engineers utilize Oracle’s Collaboration Suite as their main communication and collaboration platform. This platform is vital to managing their business processes, but unfortunately is a rather laborious and time consuming system to use. It requires
heavy IT involvement and does not adapt easily to the firm’s changing demands. Agito, a Microsoft Gold partner implemented a Business-Critical SharePoint solution for them - the first SharePoint 2013 implementation in Slovenia – by connecting SharePoint with
their Oracle ERP system. The implementation helped them reduce IT administration costs by more than 30% and improve cross-team productivity and decision-making.

IBE has been using Oracle Collaboration Suite as their communication and collaboration platform, which was connected with Oracle business data collection and all of their portals (website, intranet for employees, extranet for business partners). Furthermore,
this platform also served as a communication tool for exchanging files between employees, business partners and customers. Yet using the platform was time consuming and required heavy IT involvement. For example, when another department needed data from the
Oracle application, they had to request it via traditional channels, such as phone or email and depend on specially trained personnel to pull the report.
In addition, as IBE has been growing, the previous platform couldn’t be adapted to meet their changing requirements. Consequently, they were looking for a modern solution that would provide them with additional ways of leveraging the platform use and more
effective communication among all stakeholders.
When they decided for the new solution, their aim was not just to refresh their intranet, but they wanted to implement a standardized front-end platform, where intranet would become a central entry point for all other systems which are used in the company.
IBE also wanted to maintain the company’s corporate identity and establish a uniform editorial policy for intranet and internet portal. The future solution was expected to be affordable in comparison with the existing system and enable gradual development
of intranet and internet in several phases: capturing existing content in the first phase, while maintaining an open concept with the possibility of expansion in the next phases.
They turned to company Agito, a Microsoft Gold partner, specializing in software development for complex business demands.
Business-Critical SharePoint Solution
In four months, they have implemented a Business-Critical SharePoint solution where SharePoint 2013 is connected with the Oracle Enterprise Resource Planning (ERP) system. “Our vision is to ensure excellence, professionalism and quality for our customers
and we expect the same from our business partners,” said Mr.Danilo Pungertnik, M.Sc., Chief Information Officer in IBE. “For these reasons we decided to trust implementation of this solution to Agito”.
Connecting Business Applications
ERP system is the core business system for finance, accounting, financial controlling, human resources and project management and it serves as data source for the SharePoint platform. Integration between the applications, the SharePoint portal, and the Oracle
database is direct, without intermediate data storage. The application logic sends queries to the database through the Oracle connector to the Oracle Client. Integration of data connection from one portal to another (reference system) and integration with
the ERP system for independent reporting and calendar (rent of company assets have also been accomplished. Employees now have insights into reports on intranet and documents exchange is also available through the My Sites social network.

The migration of the more static external websites and intranet was carried out in a few days. However, the partner extranet migration proved to be more challenging, since active exchange of documents have been taking place during the project. IBE previously
used a simplified system for files exchange. With the implementation of project sites, they gained a more efficient platform for exchange, taking advantage of the full functionality of SharePoint document management. Now they have a separate repository for
each project and the possibility of granting individual access to each project with versioning of files, thus simplifying their team work.
Centralized Reference Management
IBE manages a very extensive and sophisticated collection of business references, which are available on their website. Agito has developed a central SharePoint system for managing references. A collection of references is now available on their website
like a product catalog and implemented with role-based security rights. While the general public has limited access to these references, authorized employees have visibility into all references.
The ERP System Feeding the Intranet
The IBE website is an entry point for customers and employees, providing links to the intranet portal, as well as project sites for documents exchange. The intranet is connected to an ERP system, serving as a source of information for report publication.
Content is available in three languages at the moment to support their international business needs, enabled by the multilingual SharePoint tool and functionality of integrated records.

The new solution provides IBE centralized content and significantly reduces required time for administration and editorial of the content. "With the implementation of a more modern platform, we achieved significant progress compared to the previous portal.
In addition to the improved corporate identity and technology, we acquired two additional advantages: extranet portal and portal for monitoring references. By implementing the new solution, IBE has established a new, modern and active communication channel
between the company management board, employees, business partners, customers and the public, which has increased information flow and availability of critical business and technical information within these groups as well as among them." said Pungertnik.
He continues, “SharePoint 2013 implementation project in IBE was the first in Slovenia on this new 2013 platform. It was a demanding project, from content, technological and organizational point of view. We are proud for successfully concluding this project,
which proves our high level of knowledge and professionalism.”

The new solution has a positive impact on efficiency, quality, costs and satisfaction. IBE managed to reduce IT administration costs by more than 30% and significantly increased efficiency in managing processes. Solution also increased efficiency due to
automation of manual activities and enabled savings from unified security/access controls. As Pungertnik summarizes the benefits, “Since the Business Critical SharePoint solution is available for only few months, we are expecting more ROI impact in the coming
years. It was not just about financial impacts in this case but more about needs and “must have” solution according to what we had before. We are proud, that we have created a single entry point for our business, enabling employees, partners and customers
to easily communicate with us.”
